Club Business Meeting Minutes
November 16, 2010
President Kaye Hotsenpiller called the meeting to order at 12:05 pm. A quorum was present as evidenced by
Attachment A.

GUESTS/MEMBER NEWS/BRAGS/ANNOUNCEMENTS:
Ginny Spaven introduced guest Darcy Arnold
Kylee Smith announced that Keller Williams open house will be held Thursday, 11/18 from 4-7pm
– all are invited
Judy Copeland bragged that her son Scott was recently married and she now has two new grand-
daughters
Kylee Smith reminded everyone of the Turkey Trot at Oak Grove School on Thanksgiving
Marge Keehfuss reminded everyone that after the Turkey Trot they should plan on attending the
Thanksgiving Community Dinner that is open to all. Bring pies if at all possible the morning
of or night before to Friendship Hall
Kaye reminded everyone that there is no meeting next week
Nancy Morton-Kaiser advised the club that Holiday Festival is ready for the event Friday, November 19. The bank is decorated
and looks great.
Jeanne Kuchynka reminded members that she is collecting the money pledged for appetizers
Lynda Wareham advised that the Salvation Army Bell Ringing is scheduled for December 4 – there are 17 slots still available.
Be sure to sign up today or at the meeting on November 30
Lynda Wareham also reminded everyone that the club Holiday Party is scheduled for December 14 from 11:30-1:00 at the Elks
Lodge. In addition to bringing canned goods, members are encouraged to bring an item for the Baby Boutique at Life
Choices Center
Elaine Moore reminded everyone that Season’s Readings is kicking off this week

SECRETARY REPORT:
The minutes of the October 19, 2010 meeting were approved as corrected.
Correspondence included a Thank You notes from Delta Altrusa Club, Norm and Lexy Stevenson, Montrose County School
District and Bosom Buddies

TREASURER REPORT:
Allison Nadel presented the Treasurer’s Report and Financials for October 2010. The Financials will be filed as presented.

FOUNDATION REPORT:
Foundation Financials presented by Alice Vest. Susan Woody asked if there was a specific purpose for Restricted Funds Liter-
acy Donation and also what the Montrose Community Foundation Restricted Funds were to be used for. Alice was not aware
of any specific project for Literacy. She had checked her records for Montrose Community Foundation and they did not specify.
Kaye Hotsenpiller will check with Melanie at Montrose Community Foundation for information. Foundation Financials will be
filed as presented.

ASTRA – Lori Michaels


ASTRA will be cutting and collecting boughs for wreath making on November 28. Interested members can meet at 1:20 at the Library to
carpool. Wreath making will take place on December 5 with a tentative location of TEI Rock Drills from 11-3. Anyone interested in
helping is welcome. She will check inventory of bows/decorations and advise the club if we need to make more.

OLD BUSINESS:
2009-2010 Audit Committee – Kaye reported that they have met and are working on setting up procedures for the Treasurer and pa-
rameters of auditors.
Nut Sales – Margaret Goodhue sold nuts at the meeting today and there are more available. If members would like to place an order
she will deliver. She will also be selling them at the Basement Boutique November 26 and 27 at Montrose Pavilion. She would
like help manning this booth from 8-5 both days.

NEW BUSINESS:
Botanical Society Request – Susan Woody presented information on the Valley Garden that will be the next phase of Montrose Bo-
tanical Gardens. They have partnered with the City of Montrose in the amount of $4500 for labor to install the irrigation system.
The cost of materials for this phase is $3600 and she would like Altrusa to sponsor half of this amount. This garden is historical
in nature for our area and will provide an outdoor space for educational and social purposes. It will benefit Montrose Botanical
Gardens with a source of funding for future development if this space is rented out for occasions. Judy Copeland MOVED that
Altrusa Int’l Inc. of Montrose grant $1800 to Montrose Botanical Gardens. MOTION PASSED.
Dena Brooks announced that a grant from DMEA was received in the amount of $250 to be used for Love Hug Bears.
Kaye prompted discussion of How to Keep New Members Engaged. Suggestions included providing more explanation and informa-
tion of projects/events, more member mixers at meetings, encouraging questions if there is doubt, sponsors maintaining contact
with new members and getting new members involved on committees.
District Ten Board Nominations are due December 15. Donna Herman, Governor-Elect informed the club that it is a privilege and
honor to be a member of the District Board and it does carry responsibility.

Jeanne Kuchynka reminded members who had signed up for setup and serving/cleanup at Holiday Festival

Altrusa Speaker’s Bureau Formed

You may ask….what is a “Speaker’s Bureau”? It is simply a group of folks that


make themselves available to speak to others about a particular topic.
Since there are many people who do not understand Altrusa and we have so
much great information to share, the Altrusa International, Inc. of Montrose
Speaker’s Bureau will take on this task and be instrumental to the Club’s future
communication and public relations efforts.
Examples of the groups the Altrusa Speaker’s Bureau has initially targeted
include Rotary, Montrose City Council, Newcomers Club, Montrose County
Commissioners and Kiwanis.
Approved as a permanent Committee under Communications, the Altrusa Speaker’s Bureau will strive to
accomplish several goals through its ongoing interaction with the community such as:
• Attracting interest from prospective Members
• Strengthening fundraising efforts through Sponsors, as well as event participants
• Generating more partnership opportunities with other organizations
• Identifying new Club service projects

The initial Altrusa Speaker’s Bureau Committee includes Lita Sargent (Chair), Molly Feddersen, Elaine Moore,
Allison Nadel, Ginny Spaven, Sandra Tyler, James Wilkinson and Diane Winger. Stay tuned as this exciting new
Committee gets off the ground in 2011!

Service Committee Mid-Year Report


Recently – amidst the preparation for Thanksgiving - I stopped to think about the daunting responsibility of
our Service Committee. We are tasked with making recommendations about how the club’s ‘undesignated
funds’ will be spent. The term ‘hard earned money’ is overused and often tossed around lightly. But anyone
who has worked on a Holiday Festival, Spring Luncheon or Golf Tournament knows what it takes to generate
these funds year after year after year.
Over the past six months Carolyn, Dorinda, Dorothy, Erin, Joyce, Karen, Linda, Lita, Lorie, Marge, Natalie, Pat
and Roberta have worked together with me to make sure that your hard work and fund raising efforts actually
translate into ‘Building a Stronger Community.’ I am thankful to have each of these Altrusans on the Service
committee. And, to each of you, I send a huge ‘thank you’ for being there at the table with me each month!
We began the fiscal year on June 1, 2010 with a nice round number - $8977! (Don’t ask – you had to be there!)
We have responded to eleven funding requests in our first six months, totaling $3,888 or just over 43% of our
budget. Surprisingly, the depressed economic times have not translated into a flood of requests for the
committee. As a result, this position will allow us to respond to requests from our community in a similar
manner going forward.
Thanks for placing your trust in us and we pledge to be good stewards of your ‘very hard earned money’ in the
2011. Happy Holidays!

All the numbers are not in yet, but it looks like our Club will net nearly
$15,000 from our Holiday Festival! Thanks go all Altrusa members who
decorated, sponsored, made food, donated funds and generally made
the event a success once again!
