First things first


IMAP & SMTP Server Details
1. Make sure you have fully functional IMAP & SMTP servers.
2. Obtain the IP address and hostname of the IMAP and SMTP server from your
Sysadmin.

Dedicated Email ID
3. Request the Sysadmin to create a dedicated email id to configure Workflow
Mailer.

The above test validates the email sending functionality of the SMTP server. Check
the inbox of mine@abc.com and make sure you had received the email.
In some organizations, additional policies might be imposed at the SMTP server level
to restrict emails being sent to non-official ids (in our assumption it is anything other
than @abc.com ie., mine@def.com ).
Now lets do a test to check for any such policies. Repeat all steps as mentioned in
the above table. For command 4 Replace mine@abc.com to mine@def.com
Error message 554 Relay rejected for policy reasons. , will be reported, if
restrictions are imposed.
A message like this 250 mine@def.com ... Recipient OK means you are good to go.
Even the 554 Relay rejected error message is not a show stopper to configure
the workflow mailer, provided this error message is reported only for non @abc.com
email id. You can still go ahead and configure the workflow mailer, with the only
drawback being you wont be able to send any notification to non-official email id.
This will pose as a threat if you are planning to use say, Oracle Supplier Module
wherein when you register a new supplier, workflow will send out email notifications
to your suppliers with the username and password details.
Ok now is that we had verified our email id and SMTP server, lets do two more tests.

Folder Creation
4. Login to the corporate email application using the newly created email id ie.,
ebswfmail@abc.com.
5. Create two folders called PROCESS and DISCARD (not necessarily these
names, it can be anything). In general two folders are required 1) To place
the emails that were processed by Workflow Mailer and 2) To place spam kind
of messages (received) which are meant to be discarded.
6. Try sending an email from erpwfmail@abc.com to your id (mine@abc.com)
and make sure you receive the email.

In the above table we verified two things 1) Access to IMAP Server 2) Accessibility to
the folders that will be used by workflow mailer.
Now you are all set to configure the Workflow Mailer.

Configuration of Workflow Mailer


Step 1
Login as Sysadmin -> System Administration -> Workflow

Step 2
Click on the x symbol Next to Notification Mailers

Step 3
Click on Edit

Step 4
Click on Advanced

Click Next

Represents the maximum number of times


oracle apps will try connecting to the smtp
server to obtain a connection in case of
dis-connectivity / error before stopping
workflow mailer.

Step 7
Make sure you had provided valid details for IMAP Inbound server name, Username,
password and SMTP Outbound Server Name, before clicking on next.
Click Next
At this stage following validation activities will be performed by Oracle Apps.

Connectivity to IMAP and SMTP server


Workflow mailer user Information (email id and password verification)
Verify Process and Discard folder

IMAP server name.

SMTP server name.

Verify Reply-to Address & HTML Agent value before clicking on Next and also enable
Autoclose FYI if its not checked.
Click Next

At this time, the workflow mailer should be started. To verify the status, Click on
Service Components.

Check for agents before starting Workflow Notification Mailer (if its still down).
Enter % in the search window.

Start Workflow Notification Mailer after making sure the agents are running (as in
the below picture).

Select Start and click Go.

To check on the status, click on the refresh button on the browser toolbar or F5 and

NOT FROM THE DROP DOWN LIST.

Step 19
The status for Workflow Notification Mailer should be with the tick mark and running.
