This document contains instructions on how to add your Heriot Watt email account into Outlook on your personal

PC / laptop. These instructions are relevant to Windows 7 and Outlook 2010.

Adding HW Email account to Outlook

Michelle Ritchie 09/08/2012 1. Open the 'Control Panel' and then select 'User Accounts'

2. Select 'Mail' 3. On the 'Mail' window click on the 'Add' button to set-up a new profile. Note: if you already have a mail profile configured you can add your HW account to the current profile by choosing Properties, Email Accounts, New and then skipping forward to step 5.

4. On the 'New Profile' window enter a name for the profile, for example HW Email. Select OK. 5. On the 'Add New Account' window choose the 'Manually configure server ' option then select 'Next'.

6. Select the 'Microsoft Exchange .' option and then select 'Next' 7. In the Server box enter: mail.win.hw.ac.uk 8. Ensure that 'Use Cached Exchange Mode' is ticked and then enter your username in the 'User Name' box.

9. Click on the 'More Settings' button 10. Select the 'Connection' tab

11. Tick the 'Connect to Microsoft Exchange .' option and then select 'Exchange Proxy Settings'.

12. In the 'Use this URL to connect .' box enter the following: webmail.hw.ac.uk 13. Tick the box beside 'On fast networks .' then select 'OK'.

14. Select 'Apply' on the Connection window and then select 'OK' followed by 'Next' on the 'Add New Account' window. Page 3 of 4

15. You will then be prompted to enter your email login details. In the username box enter your username in the following format: hw-mail\username

16. Enter your password and select 'OK'. 17. If you are prompted with a Check Name window please select your name from the list. 18. Click on the 'Finish' button 19. Close the remaining open windows and then launch Microsoft Outlook 20. You will be prompted to login to your HW email. Ensure that the username field is in the same format used in step 15 hw-mail\username. 21. Enter your password and click 'OK'. 22. Please note that it may take some time for Outlook to show your email the first time you open it. This is due to Outlook creating a local copy of your email.
