Project Management
What do we mean by project management with EPDM

Scheduling and Resource Planning

Project Data Management Providing structure and organization of data: e.g.: folder consistency Automation of creation and reuse: Data entered at beginning is reused Permissions based on project status e.g.: Lock files upon stage completion

Introduction

Definition: Stage-Gate Project Management (or Phase-Gate Process)

Technique in which an project is divided into stages separated by gates. Continuation of the project is decided by a manager or a steering committee.

Google stage-gate wiki for more details and traditional stage information.

Who Needs This?

Regulated manufacturers e.g.: Pharmaceutical (FDA 21 CFR Part 11), Nuclear, etc. or Product Line Manufacturers (not build to order)
Typically medium size businesses seek this structure

Simple Project Management

Standard folder structure and files

Focus on engineering data

Initial project data reused later Life Cycle Workflow controls design data (Editing, Reviewing, Released)

Stage-Gate Project Management

Deeper level of organization

Beyond managing engineering data

Project workflow controls stages Stage requires approvals to proceed

Simple Project Management

Template Template Card captures user input data

Template Variables Store Template Card values Create system generated values (e.g.: Project numbers, date stamps) Pushed to: Folder / File Names Folder / File Cards

Stage-Gate Project Management

XML document handling (record sheet)

Workflows with conditions and set variable actions

Advanced folder card techniques (as advanced as you need it to be) Dispatch and API scripts to Update stage on folder cards and folder names Prevent data changes after stage is closed

XML Document Handling

Data updated on data card is updated immediately in file.

Preview window formatted using HTML (use stylesheet). Again, automatically updated.
XML is not a frequently used format. Works well for catagory definition and workflow routing Can create a unique file card that unlikely used by project data

Workflows with conditions and set variable actions

Workflow is applied to summary sheet.

As project progresses (state changes), approvals variables are set (initials / dates)
Condition examples Cant move to next stage without proper approvals Cant apply the same approval twice

Advanced Folder Card Techniques

Tab Control controlled by variable Tab names must be identical to project stage names Stage Variable is updated by Workflow Transition Actions

Dispatch Scripts Prevent Data Editing

Prevents change state from completing if the file is in a closed stage.

Compares information in main and stage folder names.

Need separate script for each transition Must trigger script before transition is completed (need to cancel EPDM command). Includes a message to let user know cant transition.

Dispatch Scripts Update Folder Cards

Updates project stage value on folder cards when Project Summary Sheet transitions to a new stage. Just used to display stage information on folder cards. Need separate script for stage transition

API Script
Renames project main folder (updates stage value) when the stage changes. Must have permission to rename folder Restrict to add-in use or Temporarily change folder permissions through add-in
API Method:
IEdmUserMgr7::SetFolderPermissions
