Job Title: Reporting to: Responsible for: Job Location: The Charity: ERIC is a registered charity, and company limited by guarantee which was set up in 1987. We work to improve the quality of life of children, young people and families in the UK who suffer from the consequences of childhood continence problems and are the leading charity in our field. Job Purpose: The Support Services Manager is responsible for the management, maintenance and development of the Charitys resources and business processes. The postholder will ensure ERIC is using the best and most efficient systems for ERIC to enable and support the organisation in order to achieve its vision and strategic plan and objectives. To be responsible for all support service elements of the Charity, including people and projects for Finance, Human Resources, Website and Database implementation, Resources and Office Management; Health and Safety, Administration, and Volunteers. The Support Services Manager is a member of the Management Team. Main Duties and Responsibilities Management Team To be a key member of the Management Team and to work with the Director and Management Team to review, develop and implement the annual and long term strategic business plan and operational targets. To lead on all team meetings, away days and all internal reports relating to ERICs activities. Support Services Manager Director No direct reports. Kingswood, Bristol

Team Management Lead, manage and motivate staff within the ERIC team to ensure smooth running of the day to day operations.

Human Resources Ensure that all HR policies and procedures and the Staff Handbook are up to date and comply with legislation and are communicated to staff. Provide advice and guidance to management and staff on all HR related issues. Responsible for benchmarking, setting and reviewing staff pay and benefits. Responsible for all HR administration (including absence recording) and HR Records keeping for all employees. Ensure internal communications are effective. Review current practise and make recommendations as appropriate. Ensure all recruitment (including volunteer workers) is carried out in accordance with company procedure and employment legislation and that all pre-employment checks are carried out to the required level. To ensure that all staff are performance managed, trained and developed to meet the requirements of the organisation. Ensure all employee relations issues are carried out in accordance with company procedure and risks are highlighted to the Director. Promote good practice in relation to safeguarding and ensure the charity is adhering to current practise.

Finance Ensure the management accounts are produced on a monthly basis, for Director approval.

Manage the contract with the outsourced Finance provider to ensure an accurate, efficient and timely service is provided. Monitor and manage income and expenditure according to the budget. Create monthly cash flow and forecast reports on a monthly or quarterly basis. Co-ordinate and lead the budget setting process in conjunction with the Director and Management Team. To ensure all reporting to external agencies such as Charity Commission are on time and accurate.

IT and Website Ensure the provision of an effective IT provision for the organisation, making recommendation for development and improvement to meet the needs of the organisation. Responsible for the management of ERICs database (Salesforce), leading the implementation and ongoing project management working with the ERIC Team. To lead on the implementation of the ERIC website, during transition to a new website. Management of outsourced IT contract. Responsibility and project management of all IT projects.

Office Management / Health and Safety Management of the contract with the property landlord. Management of all supplier contracts. Ensure insurance policies are reviewed and renewed annually. Ensure that robust health and safety arrangements are in place, including regular fire evacuation practices, and the provision and training of Fire Wardens and First Aiders. Constantly monitor, review and adjust health and safety arrangements as required Responsible for office space and working environment, for the ERIC team, so it provides and effective and attractive environment to work in.

Other:

Responsible for disaster recovery planning and implementation.

Performing any other reasonable duty as directed by the Director or Trustees.
