I have looked into your enquiry and unfortunately I am unable to provide you with any additional information on the nature of the repair for work order *****. The works order was instructed by a member of staff who is currently on maternity leave and the work undertaken by Mears who we no longer have a contract with. The instructions were to renew the padlock to the loft hatch and the works carried out were to force access and fit new locks. We would usually note on the work order the actual close where the work was to take place, however, unfortunately this information is not stated. According to the Deeds of Condition for your development, close repairs are split between *** & *** Cumberland Street depending on the proportionate share per flat which in your case is 10%. If you are sure the works were not carried out in *** Cumberland Street I can only assume the work took place in *** Cumberland Street. I am not sure if you were aware of the above information on how costs are allocated? This is in line with the Deeds which the Association follow when apportioning costs. Are there no records which advise who the call came from? Ngha hold the keys to the communal lofts so why were these forced and new padlocks put on? There are no new padlocks on 209 loft, of that I am certain. Please advise whether

I'm afraid your email does not instil confidence in the maintenance Dept if, because someone is on maternity leave, you cannot give a definitive answer. I look forward to hearing from you further. JintyD

Having another night to think things over doesn't make my understanding of the situation any easier. Surely the computer shows who raised the line as it should leave a footprint! I really don't understand it. As explained in my previous email our software shows that ***** ** ******* (who is currently on maternity leave) raised the work order. The job description should also have given the exact location of where the repair was carried out as the trades persons would need to know where they were going. As explained in my previous email unfortunately this information was not provided on the work order I can only assume a verbal conversation took place between ****** and the contractor as to the location. The main doors should also have been billed for the loft hatch not just the closes! As explained in my previous email, M/D properties do not get billed for internal close works as per the Deeds of Condition for your development. I also repeat, again, why did these communal lofts need new padlocks when NGHA are the ones who hold the keys? As explained in my previous email, I am unable to answer this question.

Please re-look into this situation as I am not paying for works not carried out nor works where you cannot verify the exact location of the works or who raised the job and shall take this to the factoring Ombudsman. The costs of these works will be deducted from your factoring bill, therefore, you can exclude the cost of this work when settling this quarters invoice. JintyD
