Contingency Plan

Participants or contestants loss of valuables.

Make sure that there is a safe place for the valuables of the participants. Assigned a security personnel from your event team to guard the valuables of the contestants. Do not allow any person to enter the dressing room or make-up area except for the event staffs in order to avoid any loss. Make sure that there is a substitute or back-up judge in case one of the judges didnt arrive during the event.

Weather Condition: There is a typhoon on the day of the event.

Contingency Plan
If there is a typhoon, the guests might not attend the event. It is better to postponed it and plan for another day to conduct the event. Approach the contestant and make an apology for the fault that happened and give them a consolation. Check all the equipments and materials to be used in the event ahead of time or a day before the event takes place including lights and sounds in order to avoid inaccuracies or technical difficulties.

Mistakes in announcing the winner of the contest.

Technical errors that might occur during the event.

There is a shortage of food for the VIP guest.

If there is a shortage of food, there should be a staff or a member of the event in charge for buying foods. There should be an allowance or extra food allotted in case there will be a shortage for food. A smart way to get around this is a great event management system that is not only mobile but also flexible to use. Information and instruction is easily disseminated to the right people. If possible, use a CB radio system to stay in touch with venue staff and your team-members. This gives you immediate access to help when you need it. If thats not possible use the mobile phone list above.

Team miscommunication and coordination.

Unexpected accidents like participant slipped while walking around the stage. Changes in plans and scope before the big day.

Make sure that there are medical team or staffs that will assist the participant in case of accidents. Arrange for all your event organizer team-members to arrive early. This will buy you some extra time if changes need to be communicated. Arrange a meeting room in which you can brief the team.
