CLUB. The Secretary of the Society Mr Laxmi Ghising commenced the meeting at 1230 hours by welcoming Advisors, Committee Members and Area Representatives. Discussion AGM approved Societys Constitution and recently written Niyamawalis 2009 were presented by the President. Points raised by advisors and members regarding the Constitution have been noted for the next AGM. Unclear financial issue from the previous Committee was discussed in a separate sub-meeting by the former President, GenSecretary, Secretary and the current Treasurer and Vice-Treasurer.

Action Point/Decision Mr Hindu Moktan, Head of the Bidhan Adhyan and Niyamawali writing Sub-Committee will submit written report for the next AGM. This financial issue is being checked by Mr Kuldip Shrestha (Treasurer), Mrs Amrita Palungwa (ViceTreasurer) and Mrs Kopila Limbu (former Gen-Secretary). All Committee Members

New and Old Committees Handing/ Taking over took place as planed. Action will be taken as per the Niyamawali No. 5 of the Niyamawali 2009 of the Constitution of Taplejung Society 2009. The Society has received an appeal letter from Mrs Sanu Siwa Pahari in which she has highlighted her medical condition and requested for financial help.

INTRODUCTION The Taplejung Society UKs Winter Get -together Party is one of the major social functions of Taplejunges which will take place on the 24th of January 2010 at Oakfarm Community Hall, Ballantyerd, Farnborough, Hampshire, GU14 8SS. The party will start at 1030 hours. AIM AND OBJECTIVES The aim and objective of this get-together party is to bring Taplejunges in one place and share their past and present Sukha Dukha ko Kuraharu which hopefully create a joy and happiness in day to day life of UK. ADMIN, TASK AND RESPONSIBILITIES Food and Drinks. Mr Khem Maden and his team will arrange food, cutlery and Tato Chiso i.e. Tongba and Kodoko Tinpane! for the day. The detail information is in annex A to this instruction. Cultural Programme. Mr Bhim Kangbha-Bokhim and Mr Ashraj Maha-Bokhim will arrange and coordinate entertainment and entertainment related equipments such as sound box and system synchronizer, etc for the day. The detail information is in annex B to this instruction. Health and Safety. Mr Kiran Kumar Thebe will give Health and Safety brief. In addition to this, he will be responsible for Health and Safety for the day. First Aid and Security. Mr Suren Bardewa and Hem Limbu are requested for First Aid and Security for the day. Decoration of Function Hall. Mr Buddhiman Darnal, Khadananda Sunwar and Damber Maden are requested for decoration of function hall. Treasurer Team. Societys Treasurer Mr Kuldip Shrestha and Assistant Treasurer Mrs Amrita Palungwa are responsible for ticketing, membership process and accurate account keeping. 1

Reception. This is a vital part of the event. Therefore, V/Presidents Mr Nanda Chongbang, Mr Rajendra Khimding, Ms Samikchya and Ms Gayetri are requested for this task. They are also requested to wear Nepali dress. Silver Service for Guests. The Secretary will arrange silver service for guests. Media/Photographer. Mr Kiran Kumar Thebe and Bharat Chongbang are requested for photographing and media coverage of the event. Sitting Plan. Mr Jagat Gurung and Narprasad Limbu are requested for this task. Area Representatives. Area representatives are requested to provide party attendance figures of their areas to Mr Rajendra Khimding on 07956368860 Mr Khem Maden 07912548625 Mr Lokendra Tabebung 07846592906 by Wednesday, 20th January 2010 for food preparation and planning.
