Host Ward Duties & Responsibilities

Meetings: Attend Ward Assignment Meeting and Return & Report Meeting with your Ward Young Men & Young Women Presidencies and Laurel class & Priest Quorum Presidencies. Chaperones: Provide 8 couples (16 people) for chaperones for the night of your dance with an arrival time of 7:30pm. Please assign areas and train chaperones on their duties. (See chaperone assignment areas and description of duties attached). Bring completed chaperone list (names and phone numbers) to Return & Report Meeting on the Sunday before your dance. Make follow up phone calls to chaperones during the week prior to the dance to confirm all chaperones will be in attendance. Find replacements as needed for any cancellations before the night of the dance. Decorations: Plan, Purchase, Set Up, and Clean Up all Decorating of Cultural Hall and Foyer based on the instructions from Dance Committee and the theme given. Stay within your $200 budget. Set Up Time-- 9:00 am Saturday Morning of Dance. Contact person: Laurie Hunter 824-9360 Refreshments: Plan, Purchase, Set Up, Serve, and Clean Up all Food and Drink provided on the night of your dance. This includes clean-up of Kitchen and Cultural Hall. Any dishes or utensils used from the Stake Building must be washed, dried, and put away in their appropriate cupboard or drawer. Any tables or chairs set up for the dance must be put away in their appropriate cupboard under the stage. Budget and Reimbursement: On the night of the dance, submit ALL receipts for food and decorations totaling no more than $200.00 along with appropriate green Stake Reimbursement form filled out and signed by Ward Leader. Building Clean Up: Remove all decorations, balloons, signs, tape, etc. from inside and outside of building. Remove all garbage to outdoor receptacles. Sweep cultural hall and kitchen. Mop areas if needed. Wash and put away all tables and chairs. Vacuum the foyers (and halls if needed). Do not leave building until all clean up is complete.
