    Meeting Minutes, Monday 02 June 2014



    Present: Jane Fitch, Rowan Woodward, Vicky McGrail, Katherin Schebli, Jenni Barker

    Agenda

    School Picnic

    School Picnic
    The School Picnic is planned for the evening before the last day of term, as a fun evening
    for parents, children and prospective pupils. It replaces the idea of a school disco. If we
    make any money, it will be a bonus.
    Note, all children must be attended by an adult.

    When: Thursday 17 July, 6 - 8 pm
    Where: School eld at the top of the tennis courts

    Issue of bad weather was discussed. PTA decided to purchase a marquee for 500, which
    can be reused for Bonre night and other events. It was conceded that, depending on how
    well it is looked after, it may only last a limited time, but the cost out-weights that of hiring a
    marquee for each event if it can be used for just two.

    Actions

    Conrm date of 17 July is ne with the Head - Jane

    Conrm using the eld on this date is OK with Martin Steel - Jane

    Ask Mr Wilson if he could help us organise school bands - Vicky and Jenni

    Send poster content to Amanday Mylles and Vicky for printing and for yers to
    prospective parents - Jenni

    Ask Mark Ridley to upload picnic promo on website - Vicky

    Purchase a marquee - Rowan

    Investigate the PTA cupboard for cool-drinks and cups, and let Jenni know stock -
    Rowan

    Find volunteers to erect and deconstruct the marquee - Rowan

    Purchase a small events license - Jenni

    Investigate ice-cream vendors - Jenni

    Stock the bar - Jenni

    Bring strong bin bags for clean up - Jenni

    Source volunteers for the evening - Jenni




    AOB
    1. On the schools request, the PTA intends to purchase another table tennis in the new
    academic year.
    2. Jane Fitch will unfortunately be stepping down as PTA chair from the end of this
    academic year. Jane will still be involved in some PTA events, e.g., the May Fair and
    possibly the Bonre Night, but is no longer able to chair the PTA. A new chair must be
    found for next academic year.


    ADDENDUM
    Following this meeting, the PTA members present discussed the issues around the
    suggested date again, and concluded the following on June 5th:

    Preferable to choose a date on which the Head can attend and say a few words to
    parents

    Date moved back to the original suggestion of Tuesday 15 July.

    Note, shortly afterwards the Head conrmed she could attend.
