ABSTRACT

Centralized Mail Management System is a web-based project which acts a bridge between
clerk and lecturer or staff in Universiti Sultan Zainal Abidin (UniSZA). Organizations in
UniSZA are divided into departments and faculties. In the fast growing world the information
is needed as fast as possible. This can be accomplished by passing the information quickly.
So we need a system is both quick and accurate. This can be achieved by developing a
web-based Centralized Mail Management System. Present System is manually providing
services to employees of departments of an Organization. The information about the mail
and receiver is keep into log book. Then the dispatch sends the mail to the receiver and
need to confirm it to departments. This manual system will take time to pass the information
and sometimes it causes loss of information also. Thus the present system stated is time
taking, insecure and costly. The proposed system will serves organizations need in a
consistent manner. It should easier the process of mailing and secure the information of
mail. Its will helping the clerk to minimum the time consuming for mail management. In order
make the mailing system become efficient, the Android system will be applied. So whenever
the dispatch had sent the mail to the receiver, they will update the mail received confirmation
with their smartphones and clerk that managing the mail will receive the update
automatically. Thus the proposed system Centralized Mail Management System caters
spontaneous needs of the organization.
