1. INTRODUCTION
You can now sell and redeem SAVVY gift cards through Legend.

1.1. MAIN FEATURES


Gift cards can be used to purchase any item through Front of House. The same gift card can be topped up as many
times as you like. Maximum and minimum top up values can be configured, and a maximum balance for the gift
card can be set.
Currently, the only gift cards supported are SAVVY cards. You must have a relationship with SAVVY who will provide
you with the credentials discussed below.

2. CONFIGURING GIFT CARDS


Before you can begin using SAVVY gift cards you will need to provide Legend with the following information from
SAVVY:

Customer ID
Service URL
Encryption Key
MID

MID, Encryption Key and Customer ID all relate to the merchant account configured with SAVVY. You may have
multiple merchants, one for every club, or you may have one merchant for the whole enterprise you will need to
confirm this with SAVVY.
You will need to specify whether you would like gift cards to be configured at an Enterprise, Regional or Club level.
Once Legend have this information, a Legend Support engineer will add these settings to Control Panel >>
Enterprise/Group/Club Settings >> Gift Cards. They will notify you once this is complete and you can continue with
your configuration.

2.1. INVENTORY ITEM SET U P


You will need to firstly create a new inventory item of Item Type Gift Card. This is just used for reporting, you do not
need to worry about adding a price or discounts, as the user will be prompted to set the top-up value in Front of
House.
You can configure a tax rate for this item if you wish; tax will be reported in all Legend applications in the usual way.

2.2. TENDER TYPES SET UP


Once your inventory is set up, you will need to configure tenders that can be used to top up a gift card, and one to
use when a member wishes to pay using their gift card. Both are configured in Control Panel >> Data >>
Inventory/POS >> Configure Tenders >> Tender name.

2.2.1. TOPPING UP A GIFT CARD


To allow a tender to be used to top up a gift card, browse to the appropriate tender, select the properties tab and
tick the option for Can be used to Top up Gift Card.

Once this has been set up the tender will be available in Front of House when a user attempts to top up a gift card
(see Topping Up Cards below).

2.2.2. PAYING WITH A GIFT CARD


You will need to create a new tender type to be used when a member wishes to pay using their gift card. To do this
open Control Panel >> Data >> Inventory/POS >> Configure Tenders and click New. You will need to set the FOH
Tender Type to ElectronicGiftCard.

Once this has been set up the tender will be available in Front of House when a user attempts to pay with a gift card
(see Redemption below).

2.3. ENTERPRISE/GROUP/CLUB SET UP

Gift Cards can be enabled at Enterprise, Group or Club level, through the Gift Cards tab in Control Panel >>
Club/Group/Enterprise settings. Note that at Enterprise level Gift Card Integration can only be set to Yes or No; at
Group and Club level it can be set to inherit.

Enter a:

Gift Card Provider (currently only SAVVY is supported)


Card Prefix the first 6 characters shown on the cards provided to you by SAVVY
A Minimum Top Up value (whole number only; you cannot enter 0.50 for example)
A Maximum Top Up value (whole number only)
A Maximum Balance (whole number only)

Note that the Minimum Top Up value, Maximum Top Up value and Maximum balance should exactly match the
settings youve provided to SAVVY to prevent conflicts. These settings will take effect as soon as you click either
Apply or OK.

3. USING GIFT CARDS IN FRONT OF HOUSE


3.1. REDEMPTION
Gift cards can be redeemed against anything that can be added to the basket. To use a gift card add items to the
basket as usual, then select the Gift Card tender (see Paying with a Gift Card above). The user will then be asked to
swipe the gift card:

Once swiped they will see the Gift Card Payment pop up. To pay with the gift card select Pay - xx.xx:

The balance on the card will be reduced appropriately, and the payment screen will close.
If the balance on the card is not sufficient the user will see an Insufficient Balance warning, and will be unable to
proceed:

Gift cards can be used for split payments in the usual way. Note that Gift Card payments cannot be laid aside.

3.2. TOPPING UP CARDS


To top up a card open Front of House and scan the gift card. The Gift Card Top up window will open:

If this is the first time a card has been used its status will show as Inactive and the text on the rightmost button will
read Activate and Top Up rather than Top Up. There are no other differences between topping up a new card
and an active card.
If the user attempts to enter more than the maximum top up or less than the minimum top up, a warning will
appear in red and the user will be unable to proceed. A warning will also appear if topping up will put the balance
over the maximum balance configured.

You can top up multiple cards in one transaction, by swiping the other gift cards and adding their top ups to the
basket.

4. REPORTING
Income from gift cards will be reported when the card is topped up. When the gift card is used as payment the full
amount for the transaction will be recorded as if it had a 100% discount.

4.1. CATEGORY SUMMARY REPORT


The Category Summary report will show gift card payments in the Misc column.

5. FREQUENTLY ASKED QUESTIONS


5.1. WHAT CAN BE PURCHASED WITH A GIFT CARD ?
Anything through Front of House can be purchased using a gift card. That includes paying for bookings, buying POS
items and paying off debt. You could even use a gift card to pay off the purchase of a membership.

5.2. DO GIFT CARDS RESPECT TAX?


Yes, if you assign tax to your top up inventory item, tax will be recorded appropriately whenever that item is used
in Legend.
