The Latin American Music&Dance Festival report

Executive summary
We organised a two-day music festival on the northwest of Brno (near the dam) focused on Latin
American music and dance. During those two days the visitors could see 14 different bands from 6
countries on two stages. We had more than 4 000 visitors although we were expecting only about
2000 of them, so there arose some problems with facilities.

Introduction
This report will look at:

the weather, preventive measures in case of bad weather

the quality of the services and sanitary facilities

the quality of sound, the size of the dance floors

Findings
1. The weather was great although we were prepared for rainy weather and we brought many
folding pavilions to be quickly built.
2. Sanitary facilities and food stalls were not prepared for so many people and there were long
queues for toilets and also for food and drinks.
3. The sound system on the first stage had no problem, but there appeared slight problems
with it on the second stage and we had to call a technician to repair it. Because of that, all
of the concerts were delayed for about an hour.
4. The dance floors were quite crowded.

Conclusion
Despite smaller problems, the festival was very successful.

Recommendations
It would help a lot to know the number of festival visitors in advance, so it would be better to sell
the tickets in advance, too. According to a number of visitors, it would be easier to pick up the size
of the dance floors, the amount of food, the number of toilet etc.
