Project Proposal: Internship Information Packet
CP: American Red Cross/CP Contact: Mira Batchelor
MISSION: The American Red Cross exists to provide compassionate care to those in need. Our
network of generous donors, volunteers and employees share a mission of preventing and
relieving suffering, here at home and around the world, through five key service areas: Disaster
Relief, Supporting Americas Military Families, Health & Safety Training & Education, Lifesaving
Blood, and International Services.

Current internship task: The local affiliate will host a Ball fundraiser on April 18, 2015.
Students will help in contacting previous years auction item donors/businesses to ask to help
again. Work on a big spreadsheet requiring work in the office on the supervisors computer so
email comes from her. Interns will email, follow-up, coordinate supporting documents, identify
and solicit repeat businesses. They will need to be available to set up and attend (enjoy) the ball
What is the need: Our CP currently is overburdened with multiple tasks and aspects of holding
two positions at Red Cross. Her time is very valuable and if she can have more of it to do other
tasks, than focus on receiving donations for an annual ball, the better.
Project Proposal: Create a system that utilizes an excel spreadsheet to create mass emails.
Essentially it would insert data from a spreadsheet into specific fields in an email, such as name
and previous years donation. This would expedite the emailing process, possible allowing
interns to take on other aspects of the organization besides purely fundraising. Alongside this
would be the creation of a folder that would have directions for incoming interns on what is
expected of them and what to do,where to find information, and where to look if they need
assistance. There will be a designated area for all in-kind forms, donations, and copies of
emails. This will be created by either having a filing cabinet for these items, or some portfolio
case to house these materials. Additionally there will specified instructions on how to put
information into the large excel sheet that all interns enter data in, so that it is uniform and able
to be read by all. There will also be a place for an online schedule , that can be accessed by all
so if interns cannot make it on a specific day they can alter their times on an online google
calendar, and Mira will always have access to see who is coming in and when. This can also be
used to track hours and a spreadsheet for intern hours will be kept online as well.

The last step will be to print all documents to have a hard copy to go along with the soft copy
version on Miras computer.
Important: The full team for Red Cross consists of Ashley Ranaudo, Rachel Mintel, and Alyssa
Fea. Alyssa will be submitting a separate project proposal for Red Cross, in addition to working
on this project with Rachel and myself, as a way for her to create a strong project for a graduate
admissions project. Alyssa has spoken to Miss Mindy prior; however, we would like to make
sure that this is made known.
