Court List

Do NOT Process Until after Midnight 00:00


Start by opening OMS-Main then use the Tools Tab. Open Global Reports for the following
Reports. Docket Listing (#6), Bail set (#15), and New Charge Notification with Felony (#33)

Docket Listing (#6)


Start by Entering the Previous Date in the Drop down box then click submit. Once The report is
up Click Print. Close the report screen and set the printed report aside until Bail Set (#15) report
is printed.

How to work Docket Listing (#6)

This Report will provide a complete listing of all inmates booked into the ADC during
the previous day.
Each entry/inmate listed will need to be checked to determine if the inmate was booked
on New charges, Warrants, or Holds.
Use a Red marker and Cross off each listing of inmates that show Released. This can be
found to the right side of the Report with a Date showing released.
Open up OMS-Main and use the search tab and within that tab use the Booking Number
Tab to input booking numbers from the Report. This is the fastest way to process this
report.
Use the Case Manager tab to view charges to determine whether or Not to cross off the
inmate name from the list. Cross off the inmate if the charges belong to but not limited
to: US Marshall Holds, ICE Holds, Federal Detainers, APP Hold, and Warrants. A
quick note to know if the inmate will be crossed off, from the Case management tab if
you see a Court Case Number then you automatically know to cross the name off. New
Charges will Not have a Court Case Number.
While moving through the report Note on the report the Charge Degree whether Felony
or Misdemeanor. (F for Felony M for Misdemeanor)
Finally once done Check each uncrossed off name to the Bail set Report (#15). You want
to Match each name from The Docket Listing Report (#6) to the Bail Set Report (#15)
making sure each name is listed.

Bail Set (#15)

This report is found just like the Docket Listing Report (#6).
The Parameters for this report are Previous day 00:00 to Previous day 23:59.

This report will list New Charges by bail types: No Bail CG/WA, No Bail
DV/POV/NCV, or Bail. This is all determined during Booking.

What to look for:

All No Bail CG/WA, No Bail DV/POV/NCV Should not have a Pre-file date or
Judge listed. If so remove it by going into case manager and delete the incorrect
information and then Run Report #15 again to refresh the list.
Bail Cases should Have Pre-file Dates (This is two Business days from booking date) and
a Judge listed, which should read: PRE BAIL SEHEDULE.
If a prisoner is missing from the report verify in OMS case details for the correct booking
date and/ or bail type.
Use this Report (#15) and Docket Listing (#6) and Check each uncrossed off name
from Docket Listing and Bail set Report (#15). You want to Match each name from The
Docket Listing Report (#6) to the Bail Set Report (#15) making sure each name is listed
and Each degree you marked is correct.
Lastly, make a copy of this report, and e-mail a copy to Detective Dan Troaster and
Monte Kartchner and then stamp one copy with Sent to Troaster/ Kartchner and hang on
wall by copy machine.

New Charge Notification with Felony (#33)

New Charge Notification with Felonies


Parameters are the same as report # 15 previous day 00:00 to previous day 23:59. Hit view
button.

This report will list new charges as well as warrants for each jurisdiction. This information is gathered
from entries made during the booking process. The offense jurisdiction entered on the charge level will
determine which court the case shows up on.
The report consist of case #, so #, type, F/M, inmate name, charge code, charge description, pre-file date,
and court date/time.

The following is the information we need to check this report:

Case #: This will be filled in if inmate came in with a warrant. If type is showing as wa/bw this
field must be filled in. Check OMS and correct any entry errors on the case level.
SO #/Type: So # is the unique number assigned to each individual that has been booked in Salt
Lake County Jail. Type: CG-New Charge, WA-Warrant, BW-Bench Warrant.
CG charges will be shown in Bold Type, if a case number is showing refer to original paperwork
and correct entry error in OMS.
F/M: This is the designation for a felony or misdemeanor. This should be filled in for ALL
charge types.
Pre-file Date: This will only be filled in for New misdemeanor charges. Make sure the date
listed is correct.
Court Date/Time: This field should be blank.

Using the hanging file folders located on the front desk you can now prepare the court list to be
faxed.
You need to match up each jurisdiction from report # 33 (New Charge Notification with Felonies)
with paperwork from the hanging file. All new charges (which will be in bold type on report #
33) must have the corresponding PC and booking sheet sent to the court. If the jurisdiction only
has warrants for that day, only the page from report # 33 will be faxed. Warrants do not need to be
copied and sent to the court.
Fax report(s) to the appropriate court. Be sure to include copy of PC and booking sheet on all new
charges to the court. Manila folders located in the hanging file lists the fax numbers to each
court. The fax machine(s) also are preset with the courts fax numbers.
Global report # 15 also needs to be faxed to warrants division (pc statements and booking sheets
do not need to be faxed to warrants division).

Enter the next days date.

Print report
The report will list all inmates that are due to time serve on date chosen. In some instances they will be
going out to the streets and in some instances they will be time serving on just one case or multiple cases.
The report includes inmate name, booking #, so #, booking date, projected release date.
The report also includes the case # that is due to time serve.
Also included on this report are inmates that are due to time serve with AP&P and Immigration. (Case
numbers will not be listed for AP&P or immigration).
Open other user file in outlook.
The address is ADC Court Liaison1.
Print e-mail from classifications.
Print the individual time serve cards from classifications.
Mark report # 48 to indicate which SO# you have TMS cards for.
Run inmate for warrants (only those who have TMS cards). Be sure to check all alias(s). If new warrants
are found serve them and add them to OMS.
Mark TMS card with: warrant checked, include your name, date, and IS#.
Pull packets that you have TMS cards for.
Search for inmate record in OMS.
When the correct case number is found make the following changes:
On the case level enter discharge date, discharge type (TMS), releasing officer.
On the charge level change offense disposition to TMS and change the disposition date.
Make sure you are entering the correct date for TMS.
Pull the commitment(s) and all other paperwork pertaining to that case. Put all paperwork in order: cgwa-cm-disposition.
Mark commitment with TMS, the date, and your IS#.

Print new booking sheet.


If the inmate is now ready to be released put the packet together and give to Asst. Supervisor for approval.
Make sure you have changed inmate status to Court Liaison Pre-release.
If the TMS noted on report does not clear inmate of all cases do the following:
Pull commitment and all other paperwork pertaining to that case and mark TMS with date and IS#.
Print new booking sheet. Discard old booking sheet except for original booking sheet.
Put packet on check off rack for Asst. Supervisor to sign off.
When inmates listed on report # 48 are all properly TMS put original copy of report and email from
classifications in TMS book (located on the packet wall).

Things to remember:
AP&P do not TMS until 1700. (Send notification to AP&P if hold is due to time serve).
TMS cards received from classifications must be correct (proper case number, release date, proper
sentence entered, etc.). Inmates cannot be released with an incorrect time serve card or without a time
serve card. (Exceptions would be released to ICE or USP).
If TMS card is needed for inmates that are being released put post-it note on packet and put on front desk
rack as a pass down.
All paperwork must include your IS# and date and TMS.
Inmates that are here on commitment(s) only will be released at the same time they were booked.
Inmates that are here on warrants and commitments will be released at 0500.
Mark booking sheet with TMS time and housing location.
TMS can be started before midnight. Make sure you are using the correct date when entering
disposition/discharge.
If the inmate only has out of county charges holding them after the TMS is completed them follow out of
county procedure.
If inmate only has ICE detainer holding them after TMS is completed sentence the detainer and follow
notification procedure for ICE.
If inmate only has USM detainers holding them follow notification procedure for USM.
Remember to verify TMS date on sentencing tab.
It is always a good idea to check with Pre-trial to see if they will take inmate on remaining charges.
When all TMS cases are done, run report # 48 again. Report should be blank except for AP&P cases that
do not TMS until 1700.

Problem Files / Missing Paperwork


Prisoner records that require research or follow-up on incorrect
documentation such as case numbers, charges, signatures, court stamp, bail
amounts, etc.; Missing paperwork (commitments / orders of release), or questions
for the court such as, court dates or clarification on documents.
Problems are identified while entering documents, verifying video
arraignment paperwork, answering prisoner inquiries, taking phone calls, and
while performing record audits.

Filling Out the Problem File Tracking Log:


1. Identify the problem, question or if a court date is needed.
2. Initiate the Court Liaison Tracking Log.

Record the date and time for each entry.
Record IS# at the end of each entry.
Write a brief but complete explanation of the problem and set file in
problem section on the table in the middle of the court liaison office.

Working Problem Files:


1. Take the following steps to correct each problem:
a. Determine if problem is missing paperwork, incorrect paperwork
or just needs a court date.
2. Missing paperwork that needs to be tracked:
a. Commitments Jail or Prison
b. Order of release
c. Dismissal
d. Diagnostic evaluation
e. Sentencing
f. Bail amount changes.
3. The first attempt is to look up case on court link to determine if it is a
problem. If there is a problem, call the judges clerk and ask: leave a
voice mail message if necessary.
4. Always record steps taken on how the problem was resolved. Include
emails, court link documents, and names of judges or clerks contacted.
5. If the problem is not resolved by the end of the shift, leave the tracking
log standing upright in the prisoners packet and store the record in the
problem file rack.

Contacting the Courts:


Courts can be contacted via phone, email, or fax.
1. Pull all copied dispositions for one judge and contact the judges court
clerk.
2. Record the name, date, and time of the conversation and any details the
court clerk gives you.
3. Leave a voice mail if the clerk cant be reached. Record the date, time
and name of the person the message was left with.
4. Follow up the voice mail by faxing a copy of the disposition and a brief
request for information.

5. Email the court clerk with a brief request for information and put a copy
in the prisoners packet.
6. Keep a copy of the fax confirmation with the fax cover sheet and the
dispositions.
7. Always specify whether contact was made through phone, email, or fax.
8. Document on the problem file tracking log when corrected paperwork
was received.
