Responsibilities
In any accounting environment, data integrity is paramount and is dependent on various factors.
Due to that fact, it becomes crucial that the following roles are fulfilled within the organisation
and that the checks and balances are applied. This is not a finite list and can be performed by one
or more persons or reshuffled to suit an organisations existing structure.
Super User
Must be able to perform any, and all, transactional processes;
Be familiar with all business processes;
Act as first line of support for transactional and business process support purposes.
System administrator:
Monitor and manage the following:
Creating users and assigning to user groups managed by financial administrator;
Software set up on user machines;
Connectivity set up and control;
Backup strategy management;
Disaster recovery management;
Troubleshooting system problems in terms of the Evolution software;
Security administration;
Database backup schedules;
Manage and communicating maintenance schedules;
Ensure network and FTP stability;
Performing system upgrades;
Assist with identifying raining needs;
Perform client and server software installations;
In a branch accounting environment:
o Check that sync is active on the different servers;
o Sync errors, where not able to resolve, to be escalated to the Pastel Support team.
Financial administrator
Monitor and manage the following:
Creating and managing masterfiles (AR, AP, GL, Stock);
Creating and managing transaction types;
Creating and managing inventory groups, sales reps, projects etc.;
Opening and closing periods;
Capturing of daily forex rates;
Managing module defaults;
Managing group permissions;
Confirming the following in data volatile/ branch accounting environments:
o Trial balance is in balance;
o Trial balance at branch is equal to trial balance at head office;
o Sub-ledger balances between head office & branch;
o Sub-ledger balances to control account.
