Dear Prospective Position Seeker,
I would like to begin by saying that you have made an excellent choice in
choosing to apply for a leadership position within Medical Club. Being a part of the
Medical Club board is an extremely rewarding experience that is fun as well! Your
actions will help to make a difference in the lives of people throughout our
community, and ultimately, around the world.
Being in a position of leadership in the medical club is a great deal of work,
however; every minute of it is worthwhile. Between weekly planning meetings,
numerous service events, and late nights trying to wrap up reports for district
board, you will certainly be busy! On the other hand, I have found the most of the
time the hours of work seem more like fun times hanging out with friends.
Choosing to make Medical Club one of your priorities in your life will be both
meaningful and enjoyable.
To decide what position is right for you, take a look at the descriptions of
each role on the following pages. If you have any questions about the duties of any
officer, dont hesitate to contact your officer board. Use blue or black ink or type
the application.(legible handwriting any non-legible application will not be
reviewed). This application is due SEPTEMBER 14 AT 1 p.m. In addition, Be

prepared for an interview date from sep 15-18th at @2:45 in room 211A
. (only a few minutes). All members present will vote on the officers. You will be
informed on September 18 on our decision. As a position seeker, it is required that
you have a flexible schedule to attend all board meetings and charity events.

Position Tasks

Assistant Secretary
This position is deemed as assistant because it is
essentially training for the following year to take
over the following year. It is nothing personal
against our seniors that you cannot apply to this
position, we just wish to have a underclassmen
leading in this position to keep the club strong once
our founders graduate this year.
The assistant secretary's position is one of the most
important in the functions of the club. As secretary,
you are expected to devote sufficient time, each
week, to the various details of your office. Your work
is doubly important since you are a main contact
with the Charities/Foundations and the schools
administration . One of the first requirements
necessary is to be thoroughly familiar with the
duties of your position and what is expected of you.
You must be organized, have an excellent
memory and flexible schedule! It is suggested
that you keep a three-ring binder, separated by tabs
for the different reports and information you are
required to maintain. You will find, in a great
majority of cases, when information is desired by
officers, committee, or club members, the question
will be directed to you as secretary. The secretary
should have knowledge of the functions and the
purpose of Medical Club so that you will be able to
assist the president or any other member of the club
when a question arises. The secretary should also be
familiar with the rules and regulations as stated in
the mission statement and rulebook to quickly
locate a needed piece of material.
Objectives of the Secretary

to the board of directors.

General Meeting Duties


Ensure all aspects of the club meetings are in order.
Manage the display of banner, and the clubs hallway board.
Send the speaker(s) a thank you note.
Keep attendance records.

Assistant Historian
This position is deemed as assistant because it is
essentially training for the following year to take
over the following year. It is nothing personal
against our seniors that you cannot apply to this
position, we just wish to have a underclassmen
leading in this position to keep the club strong once
our founders graduate this year.
It is the duty of the assistant historian to keep a
record or history of the clubs activities and
achievements during the year. This person should
take pictures at projects, socials, and special events.
It is recommended that this individual be in contact
with the historian in charge and develop skills that
will be useful for future years. Duties should be
clearly outlined and the assistant historian should be
at all meetings, including board meetings, in a
nonvoting capacity.
General Meeting Duties
1. Ensure all aspects of the club meetings are in
order. .
2. Record minutes of all board meetings and club
business meetings.
3.These records should include members present,
guests present, presiding officer, speaker and
subject, highlights of address for newsletter (this
should be provided to the public relations
coordinator), and any business conducted.
4. Keep attendance records.
5. Excellent note taking skills

Assistant Treasurer
This position is deemed as assistant because it is
essentially training for the following year to take
over the following year. It is nothing personal
against our seniors that you cannot apply to this
position, we just wish to have a underclassmen

leading in this position to keep the club strong once


our founders graduate this year.
In general the Assistant Treasurer has two duties to
fulfill. First, he or she is responsible for maintaining a
constant and accurate record of all club financial
transactions. This applies even with fundraising
events and or donations. Second, he or she is
responsible for leading projects which will help
improve the financial position of the club. The
Assistant Treasurer should be an effective leader
and should take an active role within the club. As a
member of the board of directors, he or she should
participate in the decision making process. The
Assistant Treasurer should always be in close
contact with the secretary, advisor and club
president. There are certain procedures which, when
followed, can assist the Assistant Treasurer. The
following is a list of general rules which can help the
Assistant Treasurer set his or her own structural
procedures.
1. Obtain the financial records of the past treasurer
and make certain all records are in order.
2. Organize all accounting and budgeting procedures
for the coming year.
3. Never retain cash. Be certain the club bank
account is in proper order.
4. Deposit all funds immediately.
5. Always obtain a receipt for any expenditure of
funds.
6. Always give a receipt upon receiving payments to
the club treasury.
7. Transact all club business by check.
8. Keep an organized journal to show the
chronological flow of funds.
9. Keep the club president and all others concerned
informed of the clubs financial position.
10. Collect club dues and other money from club
projects, gifts, etc.
11. Keep all records up-to-date and accurate.
Budgets
Budgets are a tool to assist in managing club funds.
They help your club to project needs and
expenditures. An operating budget should be
prepared for presentation to the board. To prepare
the budget, a club must have a plan for how many
members will be enrolled, what projects it will
undertake, what expenses will be encountered, etc.
A permanent file should be maintained to include
member dues payments, authorization for payments

from the club account, copies of bills, and any other


documentation which effects the club's financial
position.

Advertising Coordinator Officer


1. Taking responsibility in updating club members on any upcoming event or
meeting on social media
2. Maintain an organized response and update system to club members of
future events or meetings
3. You must be organized, have an excellent memory and flexible schedule!

Editor
1. Edit and proofread all outgoing flyers, letters, and assist in med talks
2. Posses proper organizational skills

Publicity Officer :
Makes and distributes flyers, posters in an organized
manner in a diligent manner in a 1 week time prior to any
events or meetings.
Class Officer
The class director is elected at the beginning of the school
year (to allow the freshman class to elect a director). Each
class votes only for their own director (i.e. the Sophomore
class votes for the Sophomore Director). The duties of a
class director are as follows:

WEEKLY DUTIES
Attend all meetings
Gather suggestions from class members, in an organized manner to
be presented to the board
Represent class with proper/respectable behavior , and organization
Always be on your best behavior when attending meetings or any
other club events
MONTHLY DUTIES
Attend all board meetings of the Club
Give suggestions about how to make your club better; relay
suggestions from members to the board
Provide input to the board
Support decisions of the board and represent your class at board
meetings
Inform club members of your class of their necessary roles of being a
member
-i.e. attending meetings, paying the club fee, assisting in fundraising.
YEARLY DUTIES

Recruit new Club members from class


Publicize Club to your classmates; work to bring new students to
meetings
Train new class officer at the end of your term
Let them know what else can be done to better your role; keep them
informed about your class members. Remember, as a Class officer , you are
entrusted with the happenings of the Medical Club members in your class.
