Before you leave home


Immigration and Visas
Please be sure that you understand your legal situation. Depending on your nationality, you
might need a visa. You must have a valid passport when traveling internationally. Passports
shouldbevalidforthedurationoftheSSPandatleastsixmonthsbeyondyourreturndate.

Advice: Make two photocopies of your passport identification page and leave a copy with a
trustedfriendorrelativewhoisnottravellingwithyou.Keeptheothercopywithyouwhenyou
travelandleaveitinasafeplaceseparatefromyourpassport.

Note:Allparticipantswillneedavalidpassporttoentercertaingovernmentbuildingsandother
facilities.

Important: All participants must submit their fully completed SSP Logistics
online form before the 15 April, 2015 in order to be granted access to the
NASA Glenn Research Center facilities during the field trip on 5 & 6 July,
2015.

Health Insurance
Health Insurance is MANDATORY for ALL SSP participants. ISU requires participants to be
coveredbeforetheirarrivalattheconferencesite.Healthemergencytransportationandhealth
caremustbecoveredbyyourtravelinsurance.ItisstronglyrecommendedthatSSPparticipants
subscribe to travelers insurance to be sure that they are sufficiently covered for medical and
liabilityincidents.

Beforeyouarrive,youmustcompletetheonlineregistrationformonwhichitisrequiredthat
youidentifyyourTravelInsurancecoverage.
Ifyoudonotalreadyhavecoverage,ISUstronglyrecommendsthatyoupurchaseatemporary

ShouldyouarriveattheregistrationonJune6withoutaproofofinsurance

Participants wishing to stay outside of the period agreed to by ISU must make their own

Departure Information
Everyone must checkout on departure day that will be for all participants is the Saturday
August 8th, 2015. All rooms must be vacated by 12:00 noon. Accommodation will not be
availablepastthisdateandtime.
Transportation will be provided only through bus shuttle that will be arranged at 6:45am,
09:15am, and 11:00am. Participants are responsible for their transportation to the airport in
accordancewith

The nearest airport is CMH Port Columbus International Airport. It is located at about 1h30
drivefromtheSSP15hostsite.
Participants will be welcomed at the airport during the arrival day, Saturday 6th June, 2015.

The Shively Dining Hall will accommodate all the meals during the SSP15. It is at a walkable
distance of the Core Lectures Hall, Residence, and other SSP15 facilities at the Academic
ResearchCenter(ARC)nexttoStockerCenter.

Although the Shively Dining Hall staff will try their best to accommodate special dietary
requirements,ISUcannotguaranteethatallspecialdietaryrequirementscanbemet.

Bicycles
Bicycling is a fun and affordable form of transportation in and around Athens. Cyclists must
comply with driving regulations and are encouraged to wear helmets. It is essential that you
lockyourbicyclewheneveryouleaveitunattended.
Participants may rent bikes from a local bike shop, Athens Bicycle, for $230 per unit for the
durationoftheSSP15program.Thispriceincludesalock,ahelmet,andserviceattheshopfor
any adjustments that need to be made to the bike (there will be extra charges for damaged

Host Site Resources


You may need documents not held by the ISU Library. In that case, our cooperation with the
OHIO host site gives you access to the Ohio University Libraries. You can borrow books, read
online journals, and access online databases. Computers will be available at your disposal for
bibliographicalsearches.
Opening Hours
Yourneedsforthelibraryresourceswillvarythroughouttheprogramandthelibraryhourswill
vary accordingly. The opening hours will be posted at the entrance of the library, and on the
librarywebsite,onaweeklybasis.
Stocker Center and the Academic & Research Center (ARC) will be available to SSP15
participants,faculty,andstaffatanytimeusingtheirOHIOIDcardforaccess.

Cultural Adjustments
Ifyouarecomingfromoverseasorfrommorethanafewtimezonesaway,expectjetlagand
a little culture shock. Get your body on the new schedule by drinking plenty of water, eating
plenty of nutritious food, exercising, and resting. Culture shock is a natural effect of being
exposedtonewlifestylesandvalues,sodontbesurprisedifyoufeelabitimpatient,confused,
oranxious,orifyouhitemotionalhighsandlowsasyouadjust.Timeusuallytakescareofit,
butifanyproblemspersist,consultyouronsiteprogramdirectororgethelpfromacounselor
ordoctor.

fire alarm system. In addition, all OHIO facilities are smoke free, and violations of the smoke
freepolicyaresubjecttomonetaryfinesupto$250USDperoccurrence.
ISU and SSP15 participants shall not obstruct sidewalks, doors, passages or way of access or
egressto,fromorthroughfacilitiesortoanyotherpartofOHIO.OHIOreservestherightofits
personnel,employeesandagentstoenteranyofthefacilitiesatanytimeasdeemednecessary.

Policy 03.004: Sexual Misconduct
OHIO does not intrude upon private choices regarding personal relationships when these
relationships do not violate the policies of the university, cause harm to the safety and
wellbeing of members of campus community, or increase the risk of harm to the safety and
wellbeing of members of campus community. OHIO prohibits sexual misconduct in any of its
employment situations or educational programs and activities. Sexual misconduct can occur
between any persons associated with the university, e.g., an employee and a supervisor;
coworkers; faculty members; a faculty, staff member, or student and a customer, vendor, or
contractor; students;or astudentandafacultymember;etc.Therequirementsofthispolicy
areapplicableregardlessofsexualorientationofpersonsengaginginsexualactivity.

Consentmustbeinformed,knowingandvoluntary.Consentmustbeclearandunambiguousfor
eachparticipantthroughoutanysexualencounter.Consenttosomesexualactsdoesnotimply
consent to others, nor does past consent to a given act imply ongoing or future consent.
Consentcanberevokedatanytime.Consentcannotbeobtainedfromsomeonewhoisasleep
orotherwisementallyorphysicallyincapacitated,whetherduetoalcohol,drugs,orsomeother
condition. Consent cannot be obtained by threat, coercion, or force. Agreement given under
suchconditionsdoesnotconstituteconsent.Inordertogiveeffectiveconsent,onemustbeof
legalage.ThelegalagetoconsentinOhioissixteen(OhioRevisedCode2907.04).
Sexualexploitationoccurswhenapersontakesnonconsensualorabusivesexualadvantageof
anotherforhisorherownadvantageorbenefit,ortobenefitoradvantageanyoneotherthan
the one being exploited, and that behavior does not otherwise constitute one of the other
sexualmisconductoffenses.Examplesofsexualexploitationinclude:nonconsensualvideoor

this policy. Immediately upon learning of potential campus sexual misconduct, any OHIO
employee with a duty to report violations of this policy who receives a complaint of sexual
misconductorwhoobservesorlearnsofconductthatisreasonablybelievedtobeinviolation
of this policy, is required to report the alleged conduct to the Office for Institutional Equity
(equity@ohio.edu,7405939132,OfficeofInstitutionalEquity,101CrewsonHouse,AthensOH
45701).ThoseaffiliatedwithISUorSSP15maycontacttheOfficeforInstitutionalEquitywith
questions.
In addition to the duty to report sexual misconduct to the Office for Institutional Equity as
identifiedabove,insomecircumstancesthereisadutytoreportallegationsofcriminalconduct
tolawenforcement.Ohiolaw(OhioRevisedCode2921.22)requireseverypersonwhoknows
thatafelonyhasbeenorisbeingcommitted,toreportittolawenforcement.Itisacriminal
offensetoknowinglyfailtomakethereport.
Anypersonwhobelievesheorshehasbeenharmedbyconductprohibitedbythispolicymay
file a complaint with the Office for Institutional Equity. Third parties may file a complaint on
behalfofpersonswhomtheybelievehasbeenadverselyaffectedbyconductprohibitedbythis
policy.
Policy 44.113: Smoking
OHIOprovidesasmokefreeenvironmentforallemployees,students,andvisitors.Thispolicy
covers the smoking of any tobacco or other plant product; it applies to employees, students,
andvisitorsofOHIO.

OHIOprohibitssmokinginallOHIObuildings;onappurtenantrooftopsandterraces;inpublic
buildings directly or indirectly under the control of OHIO; and within 10 feet of University
buildings, including windows and ventilation intake openings. OHIO prohibits smoking in
universityownedorrentedvehicles.
Thefineforsmokinginprohibitedareasis$250USDperoccurrence.Prohibitedareasinclude
residencehalls.Repeatedviolationsmayresultintheterminationofhousing.
No person shall refuse to immediately discontinue smoking in an OHIO controlled space,
adjacentareawithin10feetofanOHIObuilding,facility,oroutdoorareadeclarednonsmoking
underOhioRevisedCodesection3794.05whenrequestedtodosobyanyOHIOrepresentative
oranyemployeeofOHIO.
Smoking shall not be permitted, nor shall a person smoke, throw, or deposit any lighted or
smoldering substance in any place where "No Smoking" signs are posted. Lighted matches,
cigarettes, cigars, or other burning objects shall not be discarded in such a manner as to risk
ignitionofothercombustiblematerial.
Policy 24.001: Alcoholic Beverages on University Property
Anyindividualwhoislegallypermittedtoconsumealcoholicbeveragesmaydosoresponsibly
intheprivacyofhisorherownroomortheroomofanotherpersonoflegalage.Apersonmust
be 21 years old to drink beer, wine, mixed beverages and/or spirituous liquor per Ohio law
(OhioRevisedCodesection4301).
Alcoholic beverages may be permitted at social events in university housing units. For the
purposesofthispolicyan"event"isdefinedasanygatheringofpeoplewhichtakesplaceinan
areawherealcoholicbeveragesarepresent.Inordertoholdaneventwithalcoholicbeverages,
the majority of individuals who reside in the living unit(floor section,mod, or residence hall)
must be at least 21 years of age. It is the responsibility of the residents to ensure that no
underage drinking takes place at these events. The organizers of the event will be held
responsibleforanyviolationsorinfractionsoflaworuniversitypolicies.Onlyoneservingofthe
alcoholicbeverageatatimemaybedispensedtoanyindividual.
Policy 41.135: Workplace Violence
OHIO is committed to the goal of maintaining a safe, violencefree workplace. OHIO will not
toleratethreats,violentbehavior,ofanykindbyanyfacultymember,staffmember,students,
orvisitors.
Prohibitedbehaviorexhibitedintheworkplaceincludesthefollowing:

Directthreatsofviolence.
Impliedthreatsofviolence.
Stalking.
Possessionofweaponsofanykindunlesssuchpossessionoruseisarequirementofthe
job.

An employee who is the victim of violence in the workplace, or believes he or she has been
threatened with violence in the workplace, or witnesses an act or threat of violence in the
workplace,shalltakethefollowingsteps:

dialing 911, and may take whatever emergency steps areavailable and appropriate to
protecthimself,herself,orothersfromimmediateharm.
