Reference Check Guide

Guidelines for conducting the call:

Ensure written permission has been provided from the applicant


to conduct a reference check
Obtain a written confirmation that the referees can be contacted
Obtain a copy of the job description
Use credible sources only such as past work supervisors.
Ensure the accuracy of notes taken during the phone call
Structure the reference check around job related criteria
Use the same set of questions for each applicant
Provide instructions to the referee to what is to be expected from
the call
Contact the referee and ensure that it is a good time for them
and if not reschedule for a different day/time
Initiate a conversation with the referee explaining the reason for
the call and what will be discussed throughout
Be prepared for refusals; state that the applicant approved the
process of the reference check. If the individual still refuses you
can ask the applicant for another reference to be contacted.
Take detailed notes
Listen for hesitations throughout the call
Listen for hidden phrases with hidden meanings such as
individualist meaning perhaps they may be an employee who
does not work well with others
