Planning Committee for Weinland Park Neighborhood Festival


Summary of Meeting of February 8, 2016
Present: Diane Dixon, Ashley Dixon, Terry Althouse, Jean Pitman, and Steve Sterrett.
Diane Dixon, committee chair, called the meeting to order at 4:15 p.m. at Godman Guild
Association.
The committee members reviewed the suggestions for the 2016 festival that were made at the
festival planning committee meeting last October where members critiqued the 2015 festival.
Festival date & location. The 2016 festival is scheduled for Saturday, August 6, from noon to 4
p.m. in the city park behind Weinland Park Elementary School. Ms. Dixon has already reserved
the park that day for the festival.
Food. Ms. Dixon reported Paddy Wagon food truck and Konoa ice truck are coming to the 2016
festival. The Mojos Tacos truck, which came in 2015, is interested in returning in 2016, but Ms.
Dixon has not had confirmation. The committee members agreed the festival will charge $50 for
each food truck. The committee members also agreed the festival should provide free ice water
from coolers with paper cups and sell popcorn and cotton candy, as was done last year. Steve
Sterrett will check to see if he still has some popcorn and cotton candy supplies.
Entertainment. Ms. Dixon reported DJ Carl B (Carl A. Bogan, Jr.) is asking for $400 this year
because he must rent a truck to bring larger equipment. The sound system needs more power.
Committee members felt the DJ did a good job and more sound is needed, so they agreed to offer
him $400. They also agreed to offer $30 for zumba and $50 for line dancing. Other suggestions
to consider for entertainment were to have a tug-of-war, pie-eating contest, free throw basketball
contest, dunk tank, and school versus community kick ball game. Jean Pitman said a central Ohio
farm family has a Bring the Farm to You program that could highlight farm animals at the
festival. She will check on the possibility of the farm animals. Terry Althouse said the bounce
house could be supplemented with a large hamster ball. Committee members liked the idea of the
hamster ball, which could appeal to teenagers and adults.
Vendors and information tables. The committee members agreed to charge $20 for vendors,
who may be selling jewelry, cosmetics, and other items. The non-profit organizations with
information booths will not be charged. Vendors and non-profit organizations must provide their
own tables. Susan Colbert will not be organizing the information tables and vendors this year.
Ms. Dixon will handle this task.
In other matters considered by the committee members:
Ashley Dixon said Rock City Church is interested in participating in the festival and in
preparing school backpacks for distribution.

The 10 canopy tents purchased for the festival last year will be used this year, saving the cost
of renting a large tent. The festival, however, will rent a dance floor and more than the 35
tables and 60 chairs rented last year.
The committee hopes to recruit more neighborhood residents as volunteers to help run the
festival this year. Ms. Dixon will ask Cecil Brown to chair the Clean-Up Committee, and she
will contact the Columbus YWCA about volunteers assisting as they did last year.
Ms. Pitman agreed to design a festival flyer for 2016 and a card to be used in the giveaway of
Proctor & Gamble products (assuming the products are available this year). Ms. Pitman also
will contact Jen Mankin to see if she has large boxes used for trash and recycling.
The cost for the festival in 2015 was about $3,400. The festival this year likely will have a
budget of about $3,500. Mr. Sterrett agreed to draft a festival budget for review at the next
meeting.

Ms. Dixon adjourned the meeting about 5:05 p.m.


The next meeting of the festival planning committee will be Monday, March 14, at 5 p.m. at
Godman Guild Association, 303 E. Sixth Avenue.
