Organizational background

The World Food Programme activities include food assistance for nutrition,
livelihoods, relief and emergency school feeding, while also supporting
humanitarian air and logistics services, food security coordination and
infrastructure rehabilitation projects, also based on an official request from
the Government of Egypt, WFP is providing food assistance to Syrian
refugees residing in the greater Cairo area, Alexandria and Damietta through
a voucher Programme. This position is open to qualified Egyptian
candidates.
JOB PURPOSE:

To perform and apply appropriate procurement and administrative


procedures and policies that support the efficient and effective procurement
services.
KEY RESPONSIBILITIES:
Perform administrative procurement activities in a timely and efficient
manner, to support Professional staff in the acquisition of goods and services
for efficient field operations.
Compile data, prepare and distribute documents, to support successful
procurement programs and operational activities, (e.g. issue tenders, evaluate
offers and negotiate/award contracts), ensuring standard processes are
followed.
Track purchases, deliveries and issues in a systematic manner and run
analyses (mainly in MS Excel) for performance management and reporting.
Data verification on invoices and reports submitted by suppliers and
inspection companies.
Review, record and prioritize purchasing requests, ensuring all supporting
documentation is received, and funding is available, in order to enable the
procurement of goods and services.
Coordinate and monitor the delivery of procurement requisitions, verifying
receipt and inspection of deliverables, and performing follow up actions to
ensure supplies reach HQ and field operations.
Research and compile information in standard formats, to enable informed
decision-making and consistency of information presented to the

stakeholders.
Update, manage and maintain relevant databases and records, to ensure the
information is accurate, organized, and available for others to access, and
supports reporting requirements.
Liaise with internal counterparts to support the alignment of procurement
activities with wider programmes and ensure a coherent approach to meeting
food assistance needs.
Administer and review supplier applications as a part of supplier registration
and management.
Provide technical support to other Procurement staff in order to assist them in
completing standard tasks to agreed standards and deadlines.
Assist the team with any filing and administrative requirements
Set up meetings and coordinate conferences
Take meeting minutes, edit documents, translate emails and short letters as
required.

MINIMUM QUALIFICATIONS:
Education:
Experience:

Completion of secondary school education.

Language:

Fluency in both oral and written communication in the UN language in use at the
duty station (English) and in the duty stations language, if different.

Desirable
skills/experi
ence:

At least three years of progressively responsible support or secretarial work


experience, including at least one year in the field of finance, accounting,
procurement, evaluation, audit or administrative services or other related field
and at least one year at the G3 level or equivalent.

Proficiency with excel and running data analyses and developing


reports.
Experience on procurement activities.
Ability to organize work and multi-task tasks simultaneously.
Have good command of written and oral communication in both
English and Arabic.
