Ineffective Meetings

 Drag for hours or days without any significant


result
 Discussion goes to an unimportant and
unrelated subject
 The participants start to talking mindlessly,
shouting to each other, banging tables and
acting crazy
WASTING TIME
PREPARATION

 Invite a person who has an important role in


the meetings
 Determine a clear objective of your meeting
 Send a clear meeting invitation
MEETING INVITATION

 Make sure you include the meeting objectives


and the agenda
 Give some background explanation about the
problem that will be discussed
 Send the invitation at the right time, give the
participants a time to make a preparation
THE ROLE OF A MINUTE-TAKER

 A person who record any decissions or notes


during the meeting
 Assign a person who has a writing/typing skill

Notes:
talking is faster than writing, make sure the minute-
taker can write fast with a readable writings
Others…

 Prepare a suitable room for the meeting


 Make sure all items in the agenda are disscused
 Don’t forget to thank everybody for their
participation
 Send the meeting notes to every participants
after the meeting is over
 Remember! decision must followed with action
We held a meeting to solve a
problem, so don’t turn it to a
new problem
