Planning Committee Meeting Minutes
Date: Wednesday, June 9, 2010
Time: 6:30 pm to 8:00 pm
Location: Perkins Restaurant
Highland Heights, KY 41076

1) Budget Update
a. Currently 70 people registered for the reunion.
b. Sound financial ground and all costs for the facility, dj, photographer, and class
reunion memento have been covered.
c. All funds held in official reunion non‐profit status account held in a reputable
financial institution.
d. All budget and forecasts are available to anyone upon request.
2) Silent Auction Vote
a. A vote was placed regarding the decision of a silent auction as opposed to a
raffle.
i. The purpose of either will be to raise funds for the class gift.
ii. A unanimous vote for silent auction was cast.
iii. A silent auction will be held during the reunion program.
b. A large number of items have been collected through committee solicitation
efforts of area businesses.
i. The committee will continue to work on obtaining donations.
3) Deadlines
a. An official count of event attendees is due to the Syndicate on July 17.
i. Deadline is restricted due to the banquet services preparation and
staffing.
b. Extensive measures have been taken by the committee to afford all ’96 – ’98
graduates a welcoming invitation for the reunion.
i. Methods have included word of mouth, social media contacts, social
media ads, and a personalized formal mailed invitation to all who were
not reached with the previous methods.
c. Faculty Invitations
i. Faculty invitations have been sent out and the committee has received
confirmation of attendance for the following:
1. Bill Gottschlich
2. Grady Brown
3. Connie Gorman
ii. Grady Brown will be performing the class roast.
iii. Bill Gottschlich will perform the champagne toast.
iv. Susan will invite Jack Patterson to attend and speak at the reunion.
4) Committee Task Delegation
a. The required tasks to finalize preparation of the events were delegated to
planning committee members.
i. These tasks were delegated as:
1. Create Custom Nametags (Melissa Newman)
2. Invite Faculty (Melissa Newman and Susan Noel)
3. Create Award Certificates (Melissa Newman)
4. Layout Reunion Program (Melissa Newman)
5. Develop Song List for DJ (Angel Musk)
6. Develop Slideshow Presented During Dinner (Lisa Wagner)
7. Develop Memorial Presentation (Angel Musk and Nicole Phillips)
8. Develop Military Presentation (Angel Musk and Nicole Phillips)
9. Create Memory Board(s) with Mementos (Naomi and Susan)
10. Silent Auction (Everyone)
11. Project Procurement (Susan Noel)
5) Event Program
a. The tentative event program was developed.
b. Through the next couple of weeks, the committee will decide who wants to
speak and of those people, who will present which section of the program.
6) Class Gift
a. Based on the availability of funds currently obtained and fund forecasts, the class gift
will be in the form of four separate scholarships, one for each class year.
i. This decision was reached with a unanimous vote.
ii. Each class year will have a scholarship fund created and named in their honor
(i.e. Class of 1998 Scholarship).
iii. The scholarship will be divided equally amongst the four classes from the final
revenue collected.
iv. Melissa Newman will be in contact with Ms. Flynn, a guidance counselor at
Newport High School concerning follow up and initial implementation of the
scholar ship fund.
v. If possible, the committee will implement the scholarship application process
and select recipients.
7) Class Memento
a. Each guest attending the reunion will enjoy a champagne toast from which the class gift
will be derived.
i. The champagne glass with a Newport insignia will be kept by attendees a special
thank you for attendance and in memory of the reunion.
b. At this time, it appears as though the budget will not allow for the purchase of a
memento for attendees. Melissa and Kevin Newman will donate toward this
initiative rather than the Class Gift.
8) Event Projector
a. A projector will be required for the program to avoid a $150 rental fee.
b. Several sources will be looked into for the projector procurement.
