North Texas Coalition of Uniformed Service Academies’

17th Annual Holiday Ball

Dear Sponsor,

On December 22nd, the North Texas Coalition of Uniformed Service Academies will hold its’ 17 th annual Holiday
Ball. This event will host over 800 attendees and will honor the North Texas area cadets and midshipmen that
attend the US Military Academy (West Point), the US Naval Academy, the US Air Force Academy, the US
Merchant Marine Academy, and the US Coast Guard Academy. This event is highly regarded in our
community, as we have the privilege and opportunity to honor these bright young men and women who have
made the commitment to preserve and defend our great country.

Attached is a detailed account of what our Holiday Ball event entails. Detailed here are the activities that we
are planning and of course, the fundraising that is needed to help make this worthy event a great success.

Today I am asking for your support of this event in one or more ways: On November the 6th, we will hold a
Bar-BQ dinner and silent auction at the Cotton Creek Tennis Club in Arlington. This is also a “game watching”
event, with the Air Force Falcons playing the Army Black Knights at West Point. All of the North Texas families
with sons or daughters that currently attend or recently graduated from one of the five service academies will
be invited to attend this day-long celebratory event and to raise money for the Holiday Ball. Your donation of
an item(s) for the silent auction would be greatly appreciated!

A second item for your consideration: In order to show our thanks and appreciation to the young cadets and
midshipmen who attend the Holiday Ball, we give each of them a gift bag. This ensemble includes useful items
donated by North Texas area merchants and or gift cards that can be used to purchase items of their choice.
We expect between 200- 250 cadets to attend the Holiday Ball and we would be most appreciative if your
company would be willing to help us fill these gift bags with donated items! Anything that a typical
college student would find useful would be appreciated, as well as items that would be handy for young people
that spend a great deal of time working and training outdoors. Examples would include small LED flashlights,
water bottles, knit hats, hand warmers, and etc. We will happily accept items imprinted with your company
name or logo.

All of the individuals and companies that provide donations for either the silent auction fund-raiser or the gift
bags will be properly recognized in the 2010 North Texas Coalition of Uniformed Service Academies Holiday
Ball program that each attendee receives. It is important that everyone attending the ball know who provided
the critical financial support that helped to make the event a success. Please also note that our organization
is a registered 501(c)-3 non-profit group and so all donations are tax deductible.

Thanks so much for your time and consideration of our 2010 Holiday Ball and our upcoming fundraising
activities and needs. I am very anxious to answer any questions that you might have and, of course, we are
most appreciative of any contribution that you might be willing to make.
