Effective Communication

Case Study II for Client Presentation :

Your client is a large public library. You have the following status report for this week after having spent a
total project time of 5 weeks.

There are four modules to the project whose status you are giving. One of them is an online module (5
programs to be coded new) while the remaining three of them are batch modules (Two of them with 10 new
programs to be coded while the third involves changes to 4 existing programs). Your work has proceeded
very well (above expectations) for 2 batch modules which require the new elements, according to schedule
for the batch module involving changes to existing programs. But the online module is proceeding 2 weeks
behind schedule because the requirements which need to come from the “Chief of Customer Satisfaction”
are not clear. Also, the liaison mechanism between the batch and online systems is not clear. So you have a
clear difficulty to proceed in face of ambiguity. You had already pointed this to the client in the last meeting
but nothing has changed over the past week. You need to get moving on the online module as quickly as
possible.

Please remember:

1. The client is American. As a result, he might not be very well versed with an Indian accent. So
please speak slowly and very clearly into the phone.
2. Your status must focus on the urgency for the requirements clarity so far as the online modules are
concerned. The two modules which are ahead of time must also not shown to be too far ahead for
fear of the client questioning your estimates. However you must paint a grave picture for the online
module.
3. You have 5 minutes.
