Sweeny Independent School District Library Cataloging Policy Manual 1. Overview a.

Introduction: This cataloging manual and policy is for Sweeny High Schools library. Library and Collection Description: Sweeny High Schools library contains18,000 items (included are nonfiction and fiction books, reference books, audiovisual equipment and supplemental materials). The reference section books are available for use in the library. Several newspapers and various magazines are also available for use in the library. The library has 18 computers for student use. Circulation a. All circulating materials from the library are available for 15 school days. b. Students are limited to three material loans at a time. c. Reference materials are not allowed to circulate. d. Fines will begin starting two days after the due date. The fine will be $.05 a day with a maximum fine of $1.50. e. Lost materials will be replaced at full replacement cost. Processing of Materials a. Pre-Processed Materials: i. Materials arriving pre-processed should be: 1. verified against the packing slip 2. be processed within 2 weeks 3. be stamped with Sweeny High School stamp in the front cover, the back cover and on page 25 4. have the cost of the book written on the title page 5. have the barcode placed on the outside back cover, facing against the spine, the barcode should be covered with clear, protective tape 6. a spine label should contain the call number, the Dewey Decimal number , the reading counts points and lexile level 7. Books in a series should have the barcode placed on the outside back cover, facing the spine and covered with clear, protective tape. Books will also have name of the series and the series number on the back left corner of the book. Books will be shelved in order of placement in series. b. Unprocessed Materials: i. Unprocessed materials should be processed by the library staff 1. materials should be processed within 3 weeks 2. be stamped with Sweeny High School stamp in the front cover, the back cover and on page 25 3. have the cost of the book written on the title page 4. have the barcode placed on the outside back cover, facing against the spine, the barcode should be covered with clear, protective tape 5. a spine label should contain the call number, the Dewey Decimal number, the reading counts points and the lexile level

Cataloging of Materials a. Procedures: 1. AACR2 will be the authority control for bibliographic records, the standards to be followed. 2. All materials should receive Level 2 cataloging 3. MARC records will be purchased whenever possible 4. Subject headings follow the Sears List of Subject Headings using a minimum of two subject heading when completing original cataloging 5. Call numbers with Dewey call numbers 6. Capitalize all main entry letters 7. Nonfiction call numbers will be printed to first prime mark 8. 3 main entry letters under a nonfiction call number 9. Fiction call number will be marked with the letter F 10. Entire surname will be used for fiction call number 11. SC will be used for story collection call number 12. Easy fiction/picture book will use EASY for call number 13. Individual biography call number will use 92 14. Entire surname will be used for biographees name 15. Collective Biography call number will be 920 16. Reference materials will use REF 17. Professional materials will use PRO 18. Paperbacks will use PB 19. Books will be labeled with Reading Counts information in the inside front

Review of Material a. Procedures: 1. Upon arrival, pre-processed materials will be checked against the MARC record for correct spelling and any additional subject headings that are often used in our library. 2. All fields will be checked to make sure no additional information is needed. 3. MARC records will be reviewed annually during the summer months when the library is closed to students. 4. Records will be reviewed for typos, authority files and subject headings. Inventory of Library a. Inventory will be conducted by the librarian at the end of each school year.
