Gambang Project Community Assistance Procedures

1 Objective
This procedure is meant to deal with proper implementation of community assistance for all stakeholders not covered by the Memorandum of Agreements (MOAs) for Phases 1, 2, and 3.

2 Coverage
Community Assistance covers all stakeholders requests not included in the MOAs for Phases 1, 2, and 3. Approval of the requests will be at the discretion of the Vales management.

3 Identification of Requests for Community Assistance


Requests for Community Assistance may come from the different stakeholders in and outside the identified host communities.

4 Requirements and Procedures


1. All stakeholders requesting community assistance shall submit a formal letter to Vale addressed to the Project Manager. 2. All requests submitted to the Community Relations Office shall be recorded in a logbook. 3. The requesting party shall fill up the Request Form (see Annex A) and attach with it all the necessary documents related to the request.

4. The Community Relations Office shall access and evaluate the request for assistance based on Vales company policy and available resources within seven (7) days upon receipt of the request. 5. The Community Relations Office shall endorse and recommend the action to be taken by the Project Manager. For actions beyond the authority of the Project Manager, the request shall be elevated to higher management. 6. For requests needing additional requirements and information, requesting party shall be notified accordingly as soon as possible. 7. For approved requests: a) The Community Relations Office shall send a written notification to the requesting party. b) The Community Relations Office shall facilitate the release of request and have the requesting party sign an acknowledgement receipt form (see Annex B). 8. For disapproved requests, the requesting party shall be notified in writing.
