HANDLING GUE ST FACSIMILE SE RVICE S

Purpose
Ensuring the employee can handle guest fax messages are transmitted properly

Procedures
Ensure that there are sufficient supplies of fax paper and/or fax sheets.

Upon the guests request and unless he hasnt already stated the guests destination, ask to the guest where the fax message is to be sent. (This is will help us in ensuring the correct country and/or area code is used and in calculating the charges to be made).

Procedures

Repeat the details of the guest request. (To avoid any mistakes on the guest request).

Calculate the charges and inform to the guest about the charges before we do the facsimile services.

Procedures
If the guest agree with the charges, fill out the miscellaneous form and ask the guest to sign the miscellaneous form.

After the fax is transmitted, check the status of the transmission to ensure it went through. Attach the transmission report from the facsimile machine to the document sent.

Procedures
If the fax number given by the guest does not respond or busy, advise the guest and/or ask the guest if he has another fax number to use.

Once the document has been sent, give it back to the guest. (otherwise, put the document in an envelope, write the guest name in front of the envelope and also the room number of the guest if the guest is in-house guest). in-

Ask the bellboy to deliver the envelope to the guests room.
