Comparing Core ECM Features of Documentum and SharePoint 2010 Which Platform is Right for You?
Complex, heterogeneous and fragmented Enterprise Content Management (ECM) landscapes across most enterprises trigger strong business drivers to converge to a smaller technology footprint. This needs to be justified with a compelling business case enumerating significant Total Cost of Ownership (TCO) reduction and Return on Investment (ROI). Enterprises with Documentum as their existing ECM standard and also considering (or implementing) SharePoint for collaboration and portal requirements need to objectively assess whether the latter can also fulfil ECM needs, potentially allowing convergence to a single platform for all information needs. The purpose of this white paper is to provide an objective comparison between the core ECM (Document and Records Management) features of Documentum and SharePoint 2010. This comparison will help ECM architects in establishing an evaluation scorecard to decide which of the two platforms would better suit or suffice an enterprises specific ECM requirements or if they should co-exist to provide complementary services.

Introduction
The ECM landscape in most organisations is complex, heterogeneous and fragmented. Lack of a unified view and platform for accessing and managing content leading to overall loss in productivity in information management and overheads on maintaining the ECM footprint both from an operational and capital expenditure perspective are few of the challenges associated with it. CIOs and Enterprise Architects are constantly faced with the need to critically evaluate options towards reducing this diverse footprint to the optimal extent that can result in reduction of TCO and increase in ROI. Narrowing this problem statement down to a specific area, organisations with heavy footprint of Documentum are increasingly challenged with the lack of a unified platform for all-round ECM, in addition to multiple, complex licensing options and associated costs, less than optimal user experience, customizability challenges, reduced developer productivity, lack of seamless interoperability and usability with Desktop productivity applications and weak offerings / roadmap for cloud-based ECM computing opportunities. Besides, many advanced features of Document and Records Management of Documentum are seldom used or complex to understand. It must also be acknowledged that SharePoint has assumed tremendous adoption in general, across most enterprises today as a platform for collaboration and intranet portals. Those that have not yet adopted SharePoint are seriously evaluating or planning to implement in the near future. Those that have already invested in earlier versions of SharePoint are looking to eventually upgrade to SharePoint 2010. These trends extend as much to organisations that have long standing implementations of Documentum. ROI calculations to determine the most optimal roadmap from a technology footprint perspective must critically and objectively evaluate the merits/demerits of maintaining both Documentum and SharePoint (as standalone or complementary platforms) versus converging to a single platform. SharePoint 2010, with its significant functional and scalability enhancements over MOSS 2007 in providing full-fledged ECM (Document and Records Management features) along with providing a capabilities-rich, unified ECM platform, its relatively simple licensing structure, strong interoperability with Office productivity suites and a definitive roadmap for cloud based computing, make it, all in all, a fairly strong contender for the ECM platform convergence road ahead. However, to make an objective assessment of what ECM roadmap to adopt, a detailed comparison of the two products namely Documentum and SharePoint is needed. The purpose of this white paper is therefore, to provide an objective comparison between the core ECM (Document and Records Management features) of Documentum and SharePoint 2010 that would provide guidance to ECM architects in establishing an evaluation scorecard to decide which of the two platforms would better suit or suffice an enterprises specific ECM requirements or in some cases, should co-exist to provide complementary services. The emphasis is on the term specific since not all features that either product offers (or lacks in) may be applicable or critical to an organisations needs. While the article does not claim to be an authoritative compendium on every granular aspect of Documents and Records Management features offered by either product, it makes for a reasonable guidance primer.

Documentum version 5.3/6.5 has been predominantly referred to for the comparison. The white paper first provides a listing of criteria that have been used for the comparison, followed by a detailed tabular matrix that compares both the products on specific Document and Records functionality and features under each criterion (head). The paper concludes with guidance on how to best utilize the comparison matrix to arrive at an evaluation scorecard.

In SharePoint 2010, documents in a Site Collection can be uniquely identified by Document IDs and therefore URLs to documents can be restricted to the site collection followed by the Document ID (regardless of which sub site, document library or folder that the document may be physically stored in). For the document numbering to be generated by SharePoint, the Document ID feature needs to be activated in the Site Collection. The URL pattern to refer to a document by its Document ID is as follows: http://<sitecollectionurl>/_layouts/DocIdRedir.as px?ID=<Document ID> Every content item in SharePoint is also identified by a GUID that changes once a content item is moved or copied to a different location. In Documentum, every content object including documents are identified by a unique object ID that is generated as per a specific pattern that includes in it, the repository and object type.

In SharePoint 2010, it is possible to configure the Document ID capability (to a limited extent) to choose the Document ID numbering schema. This capability allows a unique pattern to be manually chosen for each site collection where the feature is enabled. It also ensures that the Document ID is truly unique even across site collections. The Document Prefix comprises of 4-12 characters, which can be manually configured (if required) whereas the Document Suffix comprises numbers that are auto-generated by SharePoint. While it is theoretically possible for the same Document ID to be generated across site collections or web applications (in the event that we do not configure the Document ID prefix), the probability of that happening is extremely minimal. Only documents that inherit from the Document Content Type are capable of leveraging the Document ID generation feature. Documentum has a sophisticated and wellevolved framework for creating compound (or logical sets) of documents called as Virtual Documents that can be hierarchical in nature as well. Conclusion
The comparison provided by the white paper, between Documentum and SharePoint 2010 could be helpful in providing guidance to enterprises, in the following scenarios:

Greenfield implementation of Document and Records Management where neither of the products have been implemented and there is an opportunity to implement one of them. Either one of the products is already implemented in the organization and there is a need to decide whether migrating to the other product is a cost-effective option from the perspective of rationalization and reduction in ECM platform footprint. Evaluate whether both products will uniquely and best address specific problem spaces for an enterprise and therefore justifies implementing both platforms in an environment of co-existence.

The best way to take advantage of the feature comparison matrix provided in deciding to choose either product (or in some cases both products) is to assign a priority or weight to each of the features in terms of applicability and criticality as compared to a specific enterprises needs and then come up with a raw score for each product. If some features may not be relevant or critical at all, exclude such features from the evaluation. This should be followed by establishing a cut-off or threshold that either product must at a minimum score to even qualify for consideration. If one of the products clearly does not meet these minimal qualifications, it is most likely discarded from consideration. For critical or nice-to-have features that are not met by one or the other product, evaluate the options for implementing a third-party add-on or custom development of such features and incorporate into the evaluation score card. Finally factor in infrastructure, license, maintenance and support costs to arrive at a final ROI evaluation.
