Executive Summary
This assignment is to manage a project which our project team will be engaging with the Abans Organization located in Kandy City Center. This documentation is mainly divided into five categories starting with the Initiating Process where the project for this organization will be studied and all the requirement of the organization will be recorded in document format and after evaluation by our Project team and after the approval has been given by the Abans organization the Planning process will take place on which our team has identified the stake holders of the project and done a complete stake holder analysis report and the cost plan for the project has been done. Thereafter in the planning process the team contracts, scope statement, time management reports and future budget plans and the Work Break Down Structure has been developed after the preliminary investigation has taken place. After the planning process has been conducted by our project team with the involvement of the stake holders of the project, then the next part of the project is the executing process where the tasks planned are divided among the group members and practically implemented. The next process of the project is controlling the project and making sure the work of the project is headed towards progress paralleled with the time frame allocated for each and every task associated with the project. This process stage also includes an updated Gantt chart in case any changes were made during the time our project team was engaged with the tasks, and tracking the overall progress of the project. Finally the actual project will be completed within the time framed and cost which has already been planned in the initial and planning stages of the Project. The Intranet and Information Technology architecture, as in this case the planned project for Abans Organization, has been carried out and completed by our project team successfully, while adhering to the most standard ways of managing information Technology Project.

Introduction
This is an assignment on Project Management, Our Project Team has identified an organization and to undertake the responsibility to develop Intranet Infrastructure We have selected the Abans Organization which is located in the Kandy City Center Mall. Our project team members have discussed and visited the organization to identify the organization and done a preliminary investigation on what the organizations operations and requirements will be with the new Intranet Infrastructure and after conducting an interview with the appointed manager for the Abans store here in Kandy we have learnt they require a complete Intranet Infrastructure for their organization here in Kandy. This documentation includes on what basis the Intranet Infrastructure and of implementing it has been chosen by our project management group and of how this Project has been carried out by our project team. This project after development has a promising aspect to develop the business and good will of Abans while providing valuable means to reduce costs efficient communication means for the organization and to make good progress in their future market of business. The next page includes complete details of the Abans organization along with the services provided by them to their valued customers.

What is a Project? A project is a temporary endeavor which is done to create a unique product or a service. Projects are normally done to by involving several people who are interrelated by various activities. In a project only one person or thousands of people can be involved. A project may last for several days, or several years. This may be undertaken by a single organization, or by an alliance of several stakeholders. A project can be defined as an organized work towards a pre-defined goal or objective that requires effort, a unique venture having a budget and schedule. Project management is the science and arts of organizing the components of a project. Project Management is a process of knowledge, peoples, skills, tools and techniques that controls the project activities in order to meet the project requirements. Project is a group of interrelated activities carried outs to meets specific requirements. A Project is a Temporary that would have a definite beginning and a definite end. A project often request various resources from various areas, resources include such as people, hardware, software or other assets. Projects have a primary customers or sponsors. Most projects have many interested parties or stakeholders, but one specific person must take the primary role of sponsorship. A success of a project depends on an effective and efficient project manager. Project manager works with the project sponsors, the project team and the other peoples who are involved in the project to meet the project goals Project Management is a process of knowledge, peoples, skills, tools and techniques that controls the project activities in order to meet the project requirements. Integration management All aspects of project activity should be integrated & co-ordinate. The project manager should ensure that all aspects of the project are properly integrated and coordinated. Members of the project team can also contribute to this outcome. Ability to work with others on a combined task make contributions and take shared responsibility for the outcome. I n addition to integration of these element s within the project , integration should also occur in the following areas: Integration of the product scope and project scope, Inputs to the project from the various stakeholders both internal and external, Integration of the project work with ongoing operations of the organization.

Scope management Defines the scope of the project. What are the objectives we have to achieve? A project must be aligned with the organizations strategic plan and with organizations business. A project must have clearly documented objectives and scope to give the project a stable target to achieve. Word processor (create scope related documents), excel (develop charts and graphs, calculations), communication softwares (e-mails) and the project management softwares (WBS, Gantt chart) are helps to project scope management. Time management Estimate time requirements. Ability to priorities and think ahead in order to complete several tasks running simultaneously. Project time management involves the processes required to ensure timely completion. Process has 5 activities. Cost management: The total expected cost of a project should be known throughout it s life. The project manager should ensure that the project s cost estimates at each phase of the project are as accurate as the available information allows and that of the project cost forecasts are not changed without the formal approval of the project s sponsor. Quality management: Project product s should be delivered to an appropriate standard which is fit for purpose. Every project should be operating according to the local quality management environment. If necessary quality management systems should be structured so that they can be easily conformed for accept to the ISO9000 series quality standards Human resource management: Project human resource management includes the processes required to make the most effective use of the people involved with the project. Processes has 3 categories such as Recruiting a new team member to the team. Get the efficient outcome of the team member Consider the project cost, benefit, time and the goal.
Important thing of human resource management is motivate (promotions, overtime, work challenge, bonus) the people and controlling them (punishments, checking the works, check the attendance). Problem solving: working through a problem, small or large weighing up the consequences of possible action. The project manager must establish good team and stakeholder relationships. Ability to convey information to people, verbally and in writing, in such a way that it can be understood. Risk management: Avoiding the risk that activity call risk management. The goal of the risk management is to minimize potential risk while maximizing potential opportunities (time, cost, achieve goal, resource, customer satisfaction). The main risks to project success should be identified progressively as the project progresses and proposed mitigating act ions should be detailed in the project plan. Project risks should be reviewed regularly throughout the project and any potential risks identified as they appear. Project managers should develop appropriate report and risk mitigation plans to counter risk. Procurement management: Procurement means purchasing goods and services from an outside source. Procurement process (what is purchase and when, documenting product requirements, obtaining quotations, choosing from among suitable vendor, managing the relationship with vendor, complete the settlement.)

A large project can be decomposed in to several independent small projects. Each smaller project should be justified based on the specific deliverables and business outcomes that will be produced. Reliable estimates Compare the historical estimate of cost & duration between current estimate of cost & duration. And its checking whether the current estimates are reasonable and reliable. The availability and maintenance of this historical information is a sign of the maturity of the project management process. Managing change is another requirement in setting realistic expectations.

Risk Manager (Shifana Wajhadeen) Risk managers are responsible for managing the risk to the organization, its employees, customers, reputation, assets and interests of stakeholders. In the Intranet Infrastructure project the following tasks were carried out by our Risk Manager. Finance Manager (Sachitha Chandrasekara) The Financial Manager is responsible for entire finance department. Each and every transaction related to cash or bank is undergone through the Finance Manager. Our Finance Manager Sachitha Chandrasekara duties in the Project were as follows. Human Resource Manger (Insaf Ahamed) Human Resource Manager is one of the most important. The Human Resource manager plays a very important role in hierarchy and also in between the higher management and low level employees. A human resource manager looks into the necessity of man power towards the Project and identifies when and where more man power is required and makes sure it he requirement of Man power is fulfilled. User satisfaction User satisfaction is very impotent to a system which is in an organization, without user satisfaction the system will not give a good confidence to the user (sponsor) and without user satisfaction user will not like to work with the system. In our project we develop a graphical and user friendly website interface by using latest technologies. This is a multinational company so we connect the people and the organization by using this E-Commerce site. Any king of user can identify this website (because its user friendly) in worldwide. That is the main idea of the website.
Completeness The E-Commerce site covers the all work totally regarding cosmetics (pvt) ltd multinational company. And this project will fulfill the all requirements of user (sponsor) & the organization expectation. This E-Commerce site include all relevant informations which is needed by user such as understand about company, information about product, some medical advice regarding skin allergy, future carrier, they new products to the market, they branches, how to buy a product, hoe to make payments and user can give some suggestions to the company.
Relevant The particular website has to assume to be relevant to the needs of the organizations. The website informations are relevant to the organization. The website has to be validated. The E-Commerce site has to include all relevant informations regarding the company; there product, services and these are I explain in completeness part also. Using password system to the system If the company management prefers to use the Intranet system only a authorized person they can set the password. So it would be more secure to the system and it would bring more privacy to the company process. Converting the intranet to internet to view the system all around the world: We can convert the intranet into internet by implementing internet further. So company or organization staff or authorized persons can view the necessary information when they are all around the world by making an online system. 1. CONCLUSION
The objective of this assignment was to have experience to manage project, while we dealing with this assignment we could have good experience about how to manage projects. Our main intention was to design the Intranet system from the organization which is more suitable for the organizations requirements, under the organization feasibility. The first thing we did is identifying all the problems that the organization is having and listing down them to make the solutions. Identifying user requirements was not an easy task. Each of employees has different kinds of problems and requirements. So it was a difficult task to full fill all the employees problems and requirements. So we selected the main requirements and according to that we design the system. We faced many problems while we were dealing with this project. Even though we managed that task very easily by discussing as a team, and found the best solutions. When we were doing this assignment we could clearly understand managing project is not an easy job, because we had work with different kind of people and had to listen their ideas and opinion also, apart from that when we take a decision we had to discuss with all members and ask their opinion about the decision, as team each members had different I ideas, so it was bit difficult to take some decision. We had great experience by visiting and analyzing the Abans organization, the organizations process and their information system. During this assignment, we expect a chance to sharpen our skills on technical, analysis or interpersonal skills. This assignment is finished according to Project development life cycle approach and through this approach we were able to learn more on practically how to work in a project whether individually or in a group.

Gathering information: We gather information for this assignment using various methods. Form industrial visit not only we gathered information but also we gained very good knowledge and experience. After that selected the information system for the project and we gave position to team members according to their talents and skill.
