1st CSG University Representation Minutes of the Meeting Date and Venue: April 23, 2013, ICT, Campion Hall Topic: Use of IT services and facilities in Xavier University
Context: The Central Student Government, as the representative of XU students, had a seat in a university meeting called by the Computing and Information Services Office (CISO) regarding the use of

IT services and facilities in the campus.


CSG representatives present: 1. Princess Kimberly V. Ubay-ubay, President 2. John Mark C. Daaca, Executive Secretary Meeting was called to order at 2:15 PM Meeting was adjourned at 4:08 PM Student matters presented by the CSG: 1. Requesting the CISO to provide an automated password recovery for the SLMIS lost accounts in order to provide a convenient and cost-efficient alternative for students to recover their SLMIS password and username in case the paper given by the Registrar Office will be lost. Through this system, students will no longer have to pay Php50.00 to the Finance Office to get another copy of the paper indicating their username and password 2. Requesting the CISO to allow the College Councils and CSG to put up a router or any internet connection device in their respective offices in order to aid the student organizations with their operations that require internet access. Considering that the university wifi does not reach these offices, there is a need for the offices to have their own internet facility. 3. Requesting the CISO to inform the student body with the possible date as to when the university email may be used by the students (i.e. juandelacruz@xu.edu.ph). Response to the matters presented: 1. The CISO said that in order to address the issue in line with the lost SLMIS accounts, they will provide an automated password recovery in the soonest time possible. The exact date, however, was not announced since they will still try to work on the matter and see its possible consequences. 2. The CISO gave the permission to the College Councils and CSG to put up a router or any internet connection device in their respective offices. However, they are required to write a formal request addressed to the Office of Student Affairs (OSA) and CISO before the device will be placed. Upon the placement of this device, the CISO also needs to check whether the device was put up properly or not. 3. The CISO said that at the early start of the 1st semester A.Y. 2013-2014, students may already be

able to use their university email. The reason why this service is not yet available up to this date is that there are students having the same first names and family names which result to a difficulty in setting up a distinct university email for each of these students. Other matters arising: 1. The CISO requested the CSG to inform the School of Business and Management, College of Engineering, and College of Computer Studies students that for their colleges, there are already available e-books that they may use for their academic needs. Students need to ask their faculty if the books that they are required to use are found in the website http://library.xu.edu.ph.2048 Books 24/7. As of the moment, other colleges do not have e-books yet, but the CISO is already working on it. 2. For offices and student organizations which may need internet facilities during major events or projects, they can request the CISO to provide them with such through a formal letter addressed to OSA and CISO indicating the intent of their request.
