MINERAL WATER --Marketing Section a) Thiru R. GOVINDARAJAN, Asst. Gen. Manager(Marketing): 1.

To identify, propose and organize for appointing distributors at various places in and around the country for PONDICHERY packaged drinking water. 2. To organize for collection of orders from distributors and arrange for placing indent with factory as per the area requirements for effecting uninterrupted supplies and inform the supply rates at which the invoice is to be raised. 3. To organize for despatch of the stocks to distributors through transporters against the agreed payment terms. 4. To monitor the collections from the distributors and remit the proceeds accordingly. 5. To collect the feed-back from the distributors regarding the brand image and development of quality factors and organize to transfer the same to factory and set right the complaints from the customers, if any. 6. To receive and reply for the letters from firms and clients pertaining to packaged drinking waterboth domestic and abroad queries. 7. To visit distributors at various locations and call on clients for brand development and organize sales strategies for promotion of brand through ad campaigns and initiate direct sales outlets at important functions and festivals. 8. To monitor the functioning of the sales staff in the section and the performance of the sales outlets in and around Pondicherry in the capacity of Direct Distributor. 9. To co-ordinate with AGM- Industries for planning of raw materials and other aspects related to production and price fixation from time to time. 10. To contact the sales tax officials at Tindivanam for T.N.G.S.T. payments, preparation of sales tax returns on monthly basis for Kottakuppam depot and extend all help in finalising sales tax assessments every year 11. To co-ordinate with other section heads regarding the requirements for ad proposals and release of advertisements through various media b) Thiru J. BOOPATHY, Depot Salesman: 1. To oganise for the execution of orders from various clients in and around Pondicherry depending on the clients payment terms in consultation with AGM-M regularly. 2. To co-ordinate with the sales staff and plan for effecting supplies to the local outlets without any delay as per their requirements. 3. To maintain sales registers of clients off-take and co-ordinate in proper remittance of payments received through helpers and clients against supplies effected with proper up-dating of receipts registers. 4. To contact with local outlets if their supplies are in time and follow up for delay in collecting payments from them.

5. To control the inflow and outflow of the stocks from the godown at H.O.by proper maintenance of stock registers. 6. To raise bills on the clients as per the orders received and supplies made. c) Helpers: 1. To contact all the local outlets in and around Pondicherry procure orders from them, co-ordinate in timely supplies to them and organize payments from them. 2. To keep informed of the problems faced with the clients requirements and develop strategies for exclusive institutions and initiate all steps for sales promotion in all the local outlets. 3. To properly maintain the collections from the clients as per the supplies effected and hand over the same to the depot salesman with details of bills. 4. To co-ordinate in effecting sales at direct outlets of the corporation at special counters for festivals and functions. 5. To maintain the indent book and log book properly and up-date on regular basis for the two wheelers under their control. d) Driver: 1. To effect supplies to various outlets in and around Pondicherry as per the instructions of the Depot Salesman and Helpers. 2. To properly maintain the vechile under his control and inform AGM-M of its functioning regularly. 3. To maintain the indent book and log book properly and up-date on regular basis. WORK ALLOCATED TO SUPERVISORS OF MINERAL WATER UNIT Control of all safety measures necessary for the plant; Maintenance of proper conducive atmosphere by cleaning / washing; Maintenance of regular production in co-ordination with AGM(Ind); Maintenance of registers of empty goods, finished goods and damage goods; 5. Maintenance of important Tools for attending normal break-downs; 6. Maintenance of raw materials related to the production of Mineral Water; 7. Proper maintenance of Filling Machine, Activated Carbon Filter and its revamping at periodical intervals, all Ultra-Violet water disinfection systems installed in the plant, Automatic Form Filling Machine, Ingersoll Rand Compressor and Shrink Wrapping Machine including its repairs; 8. Notification of shortage of production to AGM(Ind) in the case of power failure, break-down and shortage of labourers; 9. Proper following up of work schedule drawn on each employee; 10. Ensure proper stock of printing ink, printing numbers and block and setting up of Batch number, date of manufacturing and expirty date 11. Ensure proper stock of Aprons, Mouth pieces, Trolley wheels and Gum tape strapping machines 1. 2. 3. 4.

WORK ALLOCATED TO THE CHEMIST OF THE MINERAL WATER UNIT 1. Conducting of day-to-day chemical and microbiological examination on the water sample produced; 2. Collection of samples from each and every batch and keeping them safely till the expiry period ; 3. Maintenance of the records related to the laboratory; 4. Reporting of the test result of the water sample to the AGM(Ind) daily; 5. Maintenance of the laboratory with Good Hygienic Practices; 6. Supervising of the hygienic practices maintained in the production unit; 7. Supervising of the personal hygienic of the workers involved in the production; WORK ALLOCATED TO THE SR. ASST. OF THE MINERAL WATER UNIT 1. Placing of purchase order to the suppliers on requirement in consultation with AGM (Ind); 2. Settling of the bills related to the purchase orders; 3. Invoicing /Billing of the goods which are delivered for sale; 4. Maintenance of the registers related to the Central Excise; 5. Maintenance of the registers of empty goods, filled goods and damaged goods with the assistance of the Plant Supervisors; RESPONSIBILITIES OF THE AGM(IND) IN THE MINERAL WATER UNIT 1. Management of employees under his control; 2. Maintenance of regular production according to the market demand with assistance of Plant Supervisors in co-ordination with AGM (Marketing) 3. Reporting of day-to-day work to the Managing Director; 4. Maintenance of the registers related to purchase, production, sales and Central Excise with assistance of Sr. Asst.; 5. Maintenance of production units and chemical and microbiological laboratories according to the standards laid down by Bureau of Indian Standards with the assistance of Lab Analyst; 6. Control of raw material procurement, bill settlement and invoicing; 7. Periodical checking of licenses related to Mineral Water Unit; WORK ALLOCATED TO THE LABOURERS IN THE MINERAL WATER UNIT 1. Responding of the orders of the Plant Supervisors related to the production; 2. Maintenance of personal hygiene and plant hygiene as per the BIS standards; 3. Attending of duty with sincerity and punctuality;

DUTIES AND RESPONSIBILITIES OF COMPANY SECRETARY SECRETARIAL DUTIES i) Duties before, during and after the Board Meetings and General Meetings: Maintenance of minutes book of Board and General Meetings, Register of Members and Directors and their Share holdings, Share Certificates and such other Registers, annual returns filed with the Registrar of Companies and other Records prescribed under the Companies Act, 1956; to comply with the provisions of the Companies Act by filing the statutory returns with the Registrar of Companies, department of Company Affairs and State Legislative assembly, Government of Pondicherry. Accounts and Audit: Preparation and finalisation of Annual Accounts; compliance with Internal, Statutory and Government Audit applicable to a Government Company; printing of annual Reports and submission to the various Statutory authorities including the Comptroller and Auditor General of India; To hold the additional charge of the Post of Chief Accouts Officer in his absence to sign the Cheques as an authorised signatury on behalf of the Corporation; to sign the pay order / vouchers / Certificates as Drawing and Disbursing Officer; to sign the increment certificates / Service Books and Personal Records as the Head of Office. LEGAL : To attend before the Courts, legal forums and Income Tax, Sales Tax, Central Excise Authorities as the authorised Representative of the Corporation for Civil, Criminal and other proceedings on the advice of Legal Advisor, Auditors and Excise / Income Tax Consultants. GENERAL DUTIES: All the matters pertaining to the Company including supervision of Managers and PRO (Administration, Accounts, Audit, EDP, Debtors and Internal Audit); duties as the Principal officer under various statutes including the Companies Act, Income Tax Act, Central Excise and Sales Tax Act respectively; Asst. Public Information Officer under the Right to Information Act, 2005; liaison with the public, farmers, Auditors, Bankers, Advocates and Governemnt officials including the Heads of Department, Directors Share Holders and Secretaries to Government of Pondicherry; other duties as may be assigned by the Managing Director.
