Position Summary: The Administrative Assistant is the welcoming presence in the office and provides general support as needed to keep the staff and board running smoothly. The Administrative Assistant reports directly to the COO, and interfaces with all organization staff. Key Responsibilities: Oversee reception area, greeting visitors, offering beverages; Assist with meeting preparation; stay up to date with office meetings calendar Answer main phone line and direct calls; Receive, sort, and post mail and packages; Maintain contacts database; Coordinate logistics for special events or workshops; Supervise interns; Collect and maintain PC inventory; Maintain inventory, stock, and order supplies; receive deliveries Maintain cleanliness of office equipment and common areas (reception, conference room, kitchen, bathroom) Maintain administration files Research and implement contracts with all outside vendors; Maintain vendor contacts and files; Manage vendors, petty cash, liaising with account office Coordinate equipment repairs Key Competencies: Effective communication skills, professional etiquette, and ability to establish and maintain effective relationships internally and externally. Full-Time Position Available: Executive Assistant to President (administrative position). Based in New Delhi. Deadline for Applications: June 7, 2010 Apne Aap is seeking highly-qualified applicants for the position of Executive Assistant to the President and Board of Directors. Must be willing and able to travel within India and to the US. Position Summary: The Executive Assistant is an experienced administrator who is responsible for providing all aspects of administrative support for Apne Aaps President and Board of Directors. He/she organizes calendars, handles logistics and makes sure each has the information required for upcoming meetings and issues to be addressed. The Executive Assistant reports directly to the President, supports the Presidents advocacy efforts, interfaces between the President and Apne Aaps executive leadership, and the Boards work in carrying out its fiduciary responsibilities. Responsibilities will include meeting and event planning, internal and external communication, research and reporting, programme and advocacy support. Travel nationally and internationally as and when required. Key Responsibilities: Support the President: o Manage and maintain the Presidents calendar, prioritize daily agendas, schedule meetings and coordinate with COO, Deputy Director and others calendars where needed; o Prepare the President for meetings by conducting research and preparing briefing packages; o Organize complicated meetings and convenings, including scheduling multiple calendars, inviting attendees, booking rooms, ensuring that all presentations materials and technology are ready and in working order, ordering food, etc.; o Prepare and distribute meeting agendas and supporting materials; o Assist with meeting preparation, word processing, photocopying, filing; o Manage the Presidents travel schedule, make travel arrangements and handle logistics; accompany when needed o Prepare the Presidents expense reports. o Organize information relevant to organizations programmes and partners including donors (example: proposal summary, budget review, and accompanying materials) to inform discussions; o Develop and maintain Presidents filing system o Record meetings o Draft and proof-read correspondence Communication: o Facilitate internal relations, staff coordination and communications regarding organization activities, decisions, and relevant policy changes;

o Manage all telephone communications for the President by screening calls, taking messages, responding to inquiries and referring to others appropriately; o Manage the flow of the Presidents incoming correspondence, screen and respond to email as needed; o Draft and proofread correspondence and coordinate any follow-up; and o Handle routine press communication and coordination; and o Support all of the required follow-up from meetings and conversations. Support the Board: o Plan and carry out the logistics for Board meetings as described above; o Gather, organize and provide the President and Board with meeting agendas, relevant documents, and other materials in a timely fashion; o Take and produce minutes of Board meetings; and o Support all of the required follow-up from meetings and conversations.

Other support: o Anticipate the needs of the organization and its President; o Conduct research as needed; o Draft presentations as needed; o Organize and maintain the President and Board files; o Conduct all other activities required to ensure successful daily operations and highly effective management; and o Provide such other support as needed. Ability to maintain confidentiality at all times. Minimum of five years experience working with senior executives; experience working with a Board of Directors a plus.
