The launch of Google Apps is a key milestone in our launch of Pivotal. With this launch we are finally able to integrate members of the Pivotal organization on a common set of productivity tools in the cloud. This will lead to increased productivity for our users and lower our ongoing administrative costs of maintaining separate systems. The transition to Google for our users will take some time to get used to you can generally think of it the same as switching from a PC to a Mac, or from a Blackberry to an iPhone or Android smartphone. Things wont work exactly the same in the new environment. Youll have to get used to the new layout and how to perform basic tasks. The good news is that youll be up and running in a short amount of time and within a week or so, youll likely be quite proficient and forgetting about the old way of operating. There are a number of self-help training resources available to you as you learn the new applications and we have also setup some specific support models to make sure your questions are answered and you receive the help you need. This FAQ will cover some of the basic setup and usability questions we expect you might have. The following sections are available: 1. Where to go for basic training resources 2. They will continue to operate as before, unless a Pivotal Labs employee had an email account setup in EMC; in which case their EMC accounts would also migrate. Section 1. Where to go for basic training resources Im new to Google Apps how can I learn more about the basic applications and how to use them? o Good news is that the applications are fairly intuitive, so youll come up to speed quickly. Basic tasks in email, calendar, etc. are covered in Section 4 of this FAQ, but weve also made available some self-help online training resources.

o A great place to start is to access online training made available within the Google Apps. From Gmail, you can access the Boost eLearning curriculum by going to More Google Apps Training. There is specific curriculum here covering Gmail, Calendar, Drive, Sites and also a special course for Admins & Power Users. This training is organized by topic so you can quickly get the information you need. o Google also provides comprehensive learning resources by application here: http://learn.googleapps.com o In addition to these self study resources, we plan to send out regular tips-and-tricks emails and also offer additional training options (webinars or in person sessions) in the near future. Section 3. How to setup your user account and access Google Apps what happens to existing mail systems How do I setup my computer to work with Google Apps? o You should have received a detailed email with the steps necessary to setup your system to access Google Apps for the first time. This email lists the steps to setup the network proxy, register your userid/password, and logon to Google Apps for the first time. Make sure you refer to this email for the correct setup instructions as you must setup the proxy and access the Google Apps via the http://work.gopivotal.com link. What web browers can I use with Google Apps? o Google Apps supports the following browsers: Google Chrome Internet Explorer 7+ Mozilla Firefox 2.0+ Apple Safari 3.0 Are there any other system requirements?

o No. Because Google Apps runs in a web browser, you just need to use a supported browser. What languages does Google Apps support? o The interface for Gmail and Google Calendar are available in over 50 languages. o To setup another language follow these instructions: Open Gmail. Click the gear icon in the upper right, then select Settings. At the top of the page, select a language from the Gmail display language drop-down menu in the Language section. Click Save Changes at the bottom of the page. o The Gmail interface will appear in the language of your choice after you click Save Changes. Remember, your Gmail's display language doesn't affect the language in which your messages are sent and received. Can I access my Google email account from another client program? o Although it is technically possible to connect your Google Apps account to another client like Outlook or another IMAP or POP client, initially we are only supporting the web browser interface and recommend that you do not use a local client application. Do I need to do anything different to connect from an EMC or VMware office location? o No, once youve setup the proxy and registered your userid/password you should have a consistent user experience connecting to the Google Apps from within the EMC or VMware network. You will also be able to connect to the Google Apps from your home Internet or from any public Wi-Fi hotspot. o You will need to continue to authenticate with the EMC or VMware network as you have done in the past, so depending on which office location you may need to logon to the EMC Guest wireless or VMware guest network before you can connect to the Google Apps. Can I access Google Apps offline? o Yes, you can set up Gmail for offline access to your most recent email messages. To enable this feature, click Settings in the upper-right corner of your Mail window, click the Offline tab, and then click Enable Offline Mail for this computer. Will I be able to continue using my EMC or VMware email account? o Email will forward to new @gopivotal.com email accounts for a period of 90 days from HR cutover date. All US employees who have already cutover to Pivotal with HR will have forwarding in place for 90 days from April 22, 2013 Employees in international regions will continue to have forwarding for 90 days from the date of HR cutover

As an example, if personnel in a region are officially switched over to Pivotal on May 1, 2013, those employees will continue to have mail forwarding for 90 days from May 1, 2013 o Members of the Pivotal organization should use their @gopivotal.com calendar and email for all transactions unless there is a reason that employees MUST use their @emc.com or @vmware.com account; your team managers will inform you if you should use your legacy accounts after April 22, 2013 o EMC and VMware will activate store and forward on each employees current email account for 30 days. New incoming emails (both internally from EMC/VMware and externally from the Internet) will continue to be delivered to your current @emc.com or @vmware.com email account for 30 days, while a copy is sent to your new @gopivotal.com email address. Store and forward mode will cease operation on May 22, 2013. At this point, all email will be delivered to the @gopivotal.com account and no new emails will arrive in the @emc.com or @vmware.com email accounts. Should there be a business requirement to maintain store and forward for any individual, that individual should have their manager file a support issue with Pivotal IT support along with a business justification. o At the end of the forwarding period (90 days from HR cutover), the @vmware.com and @emc.com account will no longer receive email and the mail will no longer be forwarded to the @gopivotal.com domain account. The sender will likely not receive a bounce message and you will not be notified that someone tried to reach you. The email has effectively gone into a black hole. Users need to notify all of their contacts (customers, vendors, personal contacts, etc.) about this change before the end of the forwarding period to ensure no communication is missed. What if I have a different email domain such as Cetas or MoreVRP, how will mail forwarding work? o Users outside of the EMC or VMware domains will receive special instructions on how to activate mail forwarding from their existing Google Apps account. These instructions will also be posted to Inside Pivotal (www.pivotalInitiative.com).

What will happen to my old emails, contacts, calendar entries, etc.? o We are working on a migration of these items into the new Google Apps setup. Until your information is migrated, you can continue to access your old account on EMC or VMware systems. After the migration, all your old content should be accessible within Google Apps. o Three separate migrations are planned: EMC Exchange to Google Apps VMware Zimbra or Exchange to Google Apps Google Apps to Google Apps Cetas MoreVRP Others like Pivotal Labs will be planned after Pivotal Labs moves into the gopivotal.com domain What should I do until the migration of old email and calendar entries occurs? o We recommend that you do not attempt a self-migration of your email, calendar, etc. from your existing system. The reason is that this functionality is inconsistent from PC to Mac and from different versions of MS Office. o If you need specific emails in the new environment, you can simply forward them to your new gopivotal.com account. o For old calendar entries, it is recommended that recurring meetings be rescheduled and one-time meetings are simply forwarded to your new gopivotal.com calendar until the migration occurs. This will initially involve some manual effort, but will prevent having to maintain two separate calendars and trying to keep them in sync. New meetings, whether sent directly to the gopivotal.com userid or forwarded from the emc.com or vmware.com domains will get added to the new calendar automatically. o Users can migrate their personal contacts by exporting to a CSV file and importing into Google directly. What changes are being made to access to other EMC or VMware applications? o None at this time you will continue to access existing EMC or VMware systems as you do today. The setup of Google Apps doesnt change access to these systems. Connection methods like VPN and VDI are will needed as before. What about systems like Concur that use my email address as the userid do I need to start using my new gopivotal.com domain userid to access these systems? o Initially no. We will convert these accounts to use the new gopivotal.com userids in the near future and communication will be

sent out once this has occurred. For now, you can continue using these systems with your old userid (your old email address). How do I setup my mobile device to access my new email and calendar? o Mobile device setup instructions are provided in a separate document for iOS and Android devices. At this time Blackberry devices are not supported and the suggestion is to procure a support iOS or Android device. Can I connect any mobile device and do we have a BYOD policy? o Initially yes, any device can be connected using the setup instructions. We will be evaluating options to continue with the BYOD policy, but also to incorporate a mobile device management strategy in the near future, so the device access and setup instructions may change. I already have a personal Google account setup, can I run both at the same time? o We recommend that if you are going to run more than one Google account that you configure them to work in separate browsers (i.e. use Chrome for your @gopivotal.com domain and use Safari for your personal @gmail.com account.) There are some interoperability issues trying to run them from the same browser. Why cant I use the standard Google Apps login versus http://work.gopivotal.com? o The use of a unified Pivotal identify will allow for a singular login across various Pivotal cloud services such as the Zscaler proxy, Google Apps and future cloud based services such as Salesforce.com. Will this impact how I use VPN or VDI to access EMC systems? o No, you should continue to use your RSA SecurID FOB and CORP AD credentials for this it is not affected by the new email.

Section 4. Gmail FAQs How much space do I have for mail messages? Can I run out of space? o Your account has 100 GB of storage. Note that Google Apps restricts the size of file attachments to 20 MB, so you don't have to worry about a few large files using up your storage space. Can I access my mail offline? o Yes, you can set up Gmail for offline access to your most recent email messages. To enable this feature, click Settings in the upper-right corner of your Mail window, click the Offline tab, and then click Enable Offline Mail for this computer. How do I mark a message as "unread" in my Inbox after I open it? o Select the message. Then, in the More drop-down list, select Mark as unread. I've heard Gmail search is really powerful. How does it work?

o To search for messages, type a word that the messages contain. Note, however, that Search matches "whole words" onlythat is, it doesn't recognize partial or similar matches. For example, if you search for benefits, Search won't find benefit or benef. Also, Search doesn't recognize special search characters, such as square brackets, parentheses, currency symbols, the ampersand, the pound sign, and asterisks. o By default, Search doesn't look in your Trash or Spam folders. To search those folders also, click Show search options next to the Search field, and then, in the Search drop-down list, select Mail & Spam & Trash. Conversations and Messages Can I reply to or forward just a single message in a conversation? o Yes. Open the conversation and expand the individual message. From the drop-menu at the top-right of the message, click Reply or Forward. Can I delete a message from a conversation? o Yes, you can delete one or more messages in a conversation as follows: Open the conversation and expand the message you want to delete. Open the drop-menu at the top-right of the message. Select Delete this message. Can I open a message in a separate window from my main Mail window? o Yes, if your browser is set to display pop-ups in a new window, you can do the following: If you're reading a message, click the New Window icon in the upper-right corner of the message. If you're composing a new message, click the New Window icon in the upper-right corner of the message. How can I spell-check a message I write? o Click Check Spelling at the top of the message you're composing. Misspelled words are highlighted in yellow. Click a misspelled word to see suggested corrections. File Attachments Is there a size or type limitation for file attachments in Gmail? o Yes. To help prevent viruses, Gmail won't accept file attachments that are executable files. There's also a 20 MB size limitation for attachments. Can I drag and drop a file to attach it to a message? o Yes, if you're using a Chrome browser. Otherwise, you must browse to a file to attach it. How can I copy a file attachment from one message to another?

o Because Gmail is a web-based system, you can't drag a file attachment from one message to another. As a workaround, you can do the following: Open the message or conversation that contains the file attachment. If the file is attached to a single message, click Forward (from the drop-menu at the top of the message). If it's attached to a message in a conversation, click Forward all on the right. Delete all the "forwarded" content from original messages, which appears at the bottom of your new message. Note that the file attachment remains with the forwarded message. Then compose your new message and send it. o Alternatively, you can download the attachment and then upload it to another message. Can I attach a message or conversation to a new message? o No, you can't embed one message into another directly. As a workaround, you can do the following: To attach a single message, open it and click Forward (from the drop-menu at the top of the message). To attach a conversation, open it click Forward all on the right. Then compose your new message and send it. The earlier message will be included below your new message. o Alternatively, you can copy the text from the earlier message and paste it into a new message.

Labels There are no folders in Gmail. How do I organize my messages? o Instead of folders, Gmail has a "labels" feature. Labels are similar to folders, but are more powerful and flexible, because you can add multiple labels to a message to categorize it in several ways. How many labels can I create? o You can create up to about 200 labels. Can I apply more than one label to a single email message? o Yes, you can apply any number of labels to a message: Select the message in your Inbox, or open it, and select one or more labels in the Labels drop-down list at the top of your Mail window. Does deleting a label delete any messages that have that label? o No. All it does is remove the label from the messages. Archiving and Deleting Messages When should I delete a message vs. archiving it? o Deleting or archiving a message removes it from your inbox. If you delete a message, it's placed in the Trash and then permanently removed from your Google Apps account after 30 days. If you archive

a message, it's moved to All Mail (your archive), where you can easily find it in the future, using Google's powerful search feature. We recommend that you archive messages rather than permanently deleting them. How long do messages stay in my archive? o Messages remain in your archive forever, unless you choose to delete them How long do messages stay in the Trash? o Messages remain in the Trash for 30 days. After that, Gmail permanently deletes them. How do I move a message out of the Trash? o Find the message in the Trash and select it. Then, in the Move to dropdown list at the top of the Mail window, select Inbox. Why does a message I archived or deleted show up again in my Inbox? o If someone replies to a message you archived or trashed, that message reappears in your Inbox as a conversation, bringing the message you archived or deleted, with it. If the message has already been permanently deleted from the Trash, you'll see an option at the bottom of the message to view the deleted messages in the conversation. Should I delete or archive message in my Sent folder? o There's no need to delete or archive messages in the Sent folder. Messages remain in this folder forever, unless you delete them. Also, note that messages in the Sent folder are actually archived in All Mail, so even if you archive these messages, they stay in the Sent folder.

Email features Does Gmail have an Out of Office feature? o Yes, in Gmail, you can set up your "vacation responder," which is similar to the Out of Office feature in Outlook or Lotus Notes. Can I share my email with another employee? o Shared mailboxes aren't supported. However, you can easily set up an email filter (rule) to forward specific types of messages to another employee. Does Gmail have keyboard shortcuts? o Yes, Gmail includes a full set of keyboard shortcuts. First, you must enable keyboard shortcuts: In the upper-right corner of the Mail window, click Settings. Under Keyboard shortcuts, select Keyboard shortcuts on. Click Save Settings. Then, to see the shortcuts, press SHIFT+? while viewing your list of messages in the main Mail window. Does Gmail support shared mailboxes? o Not exactly. But as a workaround, you can create your own mailing list

(called a "group") for all the employees who want to share an email address. This requires that your administrator has enabled UserManaged groups for your domain. If user-managed groups aren't available, then you should ask your Google Apps administrator to set up a mailing list (group) for all the employees who want to share an email address. Spam How long do messages remain in my Spam folder? o Messages remain in the Spam folder for 30 days. After that, Gmail permanently deletes them. How do I prevent messages from specific senders from being tagged as spam? o If messages from a sender outside your domain are being incorrectly tagged as spam, you can prevent this from happening by creating an email filter using the Never send it to Spam option: In Gmail, click Settings > Filters > Create a new filter. Enter the person's address in the From field, and then click Next Step. Select Never send it to spam, and then click Create Filter.

Section 5. Google Calendar FAQs Setting up your Calendar How do I set the time zone for my calendar? o To change the default time zone and other settings, follow these steps: Open your Google Calendar Settings. On the General page, in the Language section, select a language. In the Country and Your current time zone sections, select the appropriate options. In the Date format section, select an option. In the Time format section, select an option. Click Save at the bottom of the page. Does Google Calendar have event reminders? o Yes, by default, Google Calendar displays a pop-up reminder 10 minutes before an event. You change the reminder time by editing the settings for your calendar. I set up reminders but still don't see them. Why not? o To receive event reminders, make sure your Calendar window is open. Can I show more than one time zone on my calendar?

o Yes, you can view two time zones in Google Calendar. To add another time zone to your calendar view, click Settings. On the General tab, under Your current time zone, select another time zone in the Additional time zone list. Scheduling Meetings Can I invite attendees from outside of my organization's domain? o Yes, you can send meeting invitations to any email address. Will I get a notification if an attendee accepts my meeting invitation? o By default, notifications are turned off. But you can turn reminders on, and choose whether to receive a pop-up notification or an email notification: Access Google Calendar. In the upper-right corner of the page, click Settings. Click the Calendars tab. Under My Calendars, click the Notifications link for your calendar. Choose the settings you want. Click Save. Can I see a list of attendees who have accepted my invitation? o Yes, open the event details to see who has accepted your invitation. What's the maximum number of invitees for a meeting? o An event can have a maximum of 500 attendees. However, an invitee can be either an individual or a Google group. You can therefore invite up to 500 groups, allowing for a virtually unlimited number of total attendees. Can I set up a recurring meeting? o Yes, Google Calendar fully supports recurring meetings. To set one up, in your meeting invitation, select an option in the Repeats drop-down list. Can I invite an optional attendee to a meeting? o Yes. Add your first guest to the event. This displays a Make some attendees optional link. Click the link, and you'll be able to select which guests are optional. Can I create "live" links in my event description? o Yes, but only if you don't let attendees edit the invitation (don't select the Guests can modify event check box). Note that, as the host, you always can edit the invitation, the links won't appear as "live" on your own calendar. However, you'll see the live links in the event confirmation message you receive. o To create a link to a website in the event description, simply type the URL, such as http://www.google.com. o You can also create linked text by using HTML tags. For example, to create the link Product Info, you would use HTML code in the format

<a href="www.some-url.com">Product Info</a>. If the HTML code is valid, Google Calendar hides the HTML when you save the event (but shows the text "Product Info"). It then creates the link in the invitation that attendees receive. Can I edit just one instance of a meeting in a recurring meeting? o Yes. Open the instance that you want to edit, make your changes, and click Save. Google Calendar then asks you whether you want to apply your changes to just the selected meeting, all meetings, or all meetings moving forward. Can I make a meeting private? o Yes, Google Calendar has privacy settings. In the event details, select Private so only others with Make changes to events privileges (or higher) for your calendar can see the event and its details.

File Attachments in Calendar Can I attach files to a meeting invitation? o Yes. The best way to do this is by enabling the Event attachments lab in your Calendar Settings. After that, an Add attachment link becomes available. Click the link to either attach a Google Doc or upload any other type of file from your computer or network (such as a Microsoft Office document, PDF, and so on). Note that you'll have to share any Google Doc you attach with guests for them to view the attachment. Will I get attachments from meetings scheduled in Microsoft Outlook? o Yes. If someone using Outlook sends you a meeting invitation that includes an attachment, you'll get the attachment in the email invitation. However, the attachment won't appear in the event on your calendar. Calendar Sharing What level of access do others have to my calendar? Is my calendar public? o By default, your calendar is shared with everyone in the gopivotal.com domain, and they can see your calendar's free/busy information only. However, you can turn off calendar sharing. o If sharing is enabled, you can specify whether they can see only free/busy information or all event details. You can also share your calendar with specific people and give them one of the following levels of access: See free/busy information only See all event details Make changes to your calendar Make changes and share your calendar with others If I want to access my manager's calendar, does that person need to give me permission? o Yes, if you want to access another employee's calendar, that person

must give you permission, by editing the settings for the calendar. If someone shares their calendar with me, can I get emailed when people accept that person's invitations? o Yes, you can set up notifications for a shared calendar. However, by default, notifications are turned off. Here's how to turn them on: Access Google Calendar. In the upper-right corner of the page, click Settings. Click the Calendars tab. On the Calendars tab, click the Notifications link for the calendar. Choose the settings you want. Click Save. If someone shares their calendar with me, can I hide the calendar? o Yes, you can hide the calendar by clicking it in your list of calendars on the left of your calendar view.

Meeting Invitations If I'm invited to a meeting, can I propose a new time for it? o Not directly. But there's an easy workaround. First, open the invitation and, under Are You Coming?, select Maybe. Then do one of the following: To propose a new time to the host only, enter your proposal in the Add a Note field. To propose a new time to all the attendees, click the Email guests link in the upper-right corner to send your new proposal in an email message to one or more attendees. Can I forward an invitation to another employee? o Yes, if the meeting host selected the option to allow guests to invite others. If so, in your meeting invitation, click Add guests, type the address to which you want to forward the invitation, and then click Save. Google Calendar will ask you if you want to send an invitation to the new guest. The new guest will then always receive updates to the meeting from the host. Note that the meeting host is notified by email that you invited another attendee. Can I accept invitations on Google Calendar that are sent from another calendar program? o Yes. If someone outside your domain sends you an invitation from another type of calendar, you can typically accept the invitation from Google Calendar. If possible, Google Calendar inserts an Add to Calendar link in the invitation. Simply click the link, and the invitation is added to your Google calendar. Otherwise, if the invitation is in the standard .ics format (such as Microsoft Outlook and Lotus Notes invitations), you can download the .ics file and upload it to Google Calendar.

Section 6. Google Contacts FAQs Accessing Contacts How do I access my list of contacts in Google Apps? o At the top-left of your Gmail window, click the Mail logo and choose Contacts from the drop-menu. Can I find contact addresses when composing messages or inviting people to a meeting? o Yes, you can open the Gmail contacts picker, which lists email addresses of all your personal contacts, as well as global contacts in your organization. When composing an email message, click the To: link. Adding Contacts Can I automatically add new contacts based on people I've corresponded with? o Yes. Whenever you send an email message to someone, your Contact Manager adds that person's email address to your Other Contacts list. To move the contact to your My Contacts list, open the Contact Manager, click Other Contacts (at the left), select the addresses you want to add, and click Move to My Contacts. Can I add a global address or company mailing list to my personal contacts? o Yes. Just open your Contact Manager's Directory list and search for the contact. When you find the contact, select it and click Move to My Contacts. After that, you can add additional information to the contact's details. Note, however, that this information appears only in your personal contacts, not the corporate contacts. o If you haven't yet sent email to a corporate list, you might need to add the group manually. Can I upload a mailing list from Outlook to my Google contacts? o Not directly, but you can quickly recreate the mailing list in Google Apps as follows: Open Outlook and display the addresses in the mailing list. In your Google contacts, click the New Group button. In the Add to group field, start typing the email address of a contact in the Outlook or Notes mailing list (refer to the open mailing list for the addresses). When the contact appears, select it. Google contact manager adds the contact to the new group. Continue adding contacts to the group.

Groups and Mailing Lists Can I create my own mailing lists in Google Apps? o Yes. Just open your contacts picker and create a new contact group. The group then appears in your personal Contact Manager. To open the contacts picker: When composing an email message: Click the To: link. When creating a meeting invitation: In the event details window, click Choose from contacts under Add Guests. If I create a contact group, can I delete members? o Sure, you can add or remove members of your own groups at any time. What about existing distribution lists? o The distribution lists from EMC or VMware email systems will not appear in the gopivotal.com directory. All current distribution lists will remain within both the EMC and VMware mail systems. Although these distribution list will continue to function, they must be specifically flagged to allow access from the Internet by default corporate distribution lists are not open to the Internet. If you try to send email to a distribution list and it doesnt work, please contact Pivotal IT support to have the DL setup for access from the Internet. If you want to use the distribution list, you can send an email to this list (e.g. to send to the GP RD distribution list from your gopivotal.com domain email, just send an email to gprd@emc.com) o Pivotal IT is exploring the best way to manage/move distribution lists from EMC and VMware mail systems into corporate groups in the pivotal.com domain and will provide more details in the future Corporate Directory Will Pivotal employees be able to see the Global directory of EMC & VMware? o Unfortunately there is no way to link the EMC and VMware user directories into Pivotals Google Apps instance at this time. Because of this limitation, Pivotal employees will not be able to view contact details, or look at free/busy information for EMC or VMware employees. o Please note that EMC and VMware employees will not be able to see the free/busy calendar information for Pivotal employees. o Pivotal IT will explore methods to allow this in the future How do I update my contact information in the Directory to add my phone numbers or other relevant details? o This information will be populated automatically from when you setup your account in the near future. Section 7. Google Drive, Google Sites FAQs How do I use Google Drive? o Please access the Boost eLearning tools available from within Google Apps under the More Google Apps Training. There is specific curriculum for Google Drive. o In addition, please refer to this link for a Getting Started guide for Google Drive: http://learn.googleapps.com/drive o The only exception for the Pivotal setup, especially if you have already used Google Drive under a different account in the past, when you try to connect the local client running on PC or Mac to your new gopivotal.com account it will ask you to authenticate directly with Google. When it does this, just enter your email address and leave the password field blank. The connection will fail and it will take you to the Pivotal logon screen where you can enter your userid and password and then the connection will work. Google Drive, Google Sites FAQs I dont see certain features in hangouts I would expect text chat, drive, apps and screen sharing why? o You have to enable your Google+ profile in order to see all these functions please ensure that everyone in the Hangout has their Google+ profile created.
