NIDA Conference Approval System (CAS)


In accordance with HHS Policy on Promoting Efficient Spending, on January 21, 2014, NIDA implemented a custom application called the NIDA Conference Approval System (CAS) to submit and track requests from NIDA staff to participate in conferences and meetings. The NIDA CAS aims to complete conference requests efficiently while monitoring spending and minimizing approval times. The goal was to improve the process, provide easy entry of data, and ability to generate reports in response to frequent data calls.

Process and approve both requests for HHS Sponsored Conferences and requests to attend non-HHS Conferences Ability to download and print completed forms in PDF for HHS Sponsored Conferences (previously Attachment A) and attending non-HHS Conferences (previously Attachment C)

Ability to search for conferences and requests Reporting can export data to Excel or generate standard reports, including: Conference Summary Report Division Summary Report NIH Submission consolidates requests for NIH data call submissions

Business Roles in NIDA CAS


1. Division / Office Point of Contact (POC)
Collates conference attendance information for the Division/Office and submits the requests to host or attend a conference into CAS

2. Conference Coordinator (CC)


Works with POCs to ensure request completeness and ensures NIH data call submissions

3. Primary Approver (Budget Officer)


Confers with the Executive Officer to approve or reject the requests

4. Executive Officer
Final IC approver of all conference requests

Log in to CAS by typing the URL in your web browser Secure system access

Submitting a Conference Request


The POC begins the conference approval process by submitting a request to Host an HHS Conference or Attend a non-HHS conference.

The POC specifies the type of conference request The POC provides the information necessary to identify the conference, the conference attendees, estimated costs, and any necessary justifications. The POC may complete the entire request at once, or save a partially completed request and return to it later. Once the request is complete, the POC submits the request to the Conference Coordinator for review.
