We should also consider if there is any need for a full team meeting over the weekend, or if it is sucient to have just subteam meetings.

General Manager (overall), the individual Project and Department Managers as well (since theyll be responsible for orchestrating the chat.

Repeat the new communications protocol. Ensure it is being implemented.

Specics
Basically, we need to double check that everybody has an AIM account set up that they can use for the IRPO, and a primary email listed. If anybody nds any other methods, or if the group suddenly decides that something else (like skype) would be more convenient, then we can bring this up as well. If the list is 100% completed before the meeting, then this turns into a quick any suggestions section. If there arent suggestions, we can skip this section.

Sub Gantt Charts 17:16 - 18:00


Task
We need to divide into teams so that each team can create a next-level (ie more specic, and possibly realistic) gantt chart. Doing this together would be counterproductive.

Specics
This is a three group thing. Well have our two development teams and the Research & Publications team. The teams will look at the current gantt chart, and create 3 new gantt charts (1 for each team), with better detail on what actually needs to happen for their parts. Each dev team will obviously look at the coding/testing/so forth tasks, and the R&P team will look at things like research that needs to be done, presentations that need to be made (midterm reports *wink wink), and do the same thing with the gantt charts. I personally suggest that each Project Manager/Dept Head print the current chart out and bring it with. If you have trouble printing, let me know before thursday. I have b&w and color lasers at home, so I can print for people who cant (but be restrictive...color toner is $$$) I dont know exactly what to do with our Cross Functional Specialists. They should probably join a project. XFS people...think about what youd like to work with. For the Project/Department Manager/Head(s), also consider a brief introduction to familiarize yourself with the team, and them with you, as this is the rst subteam meeting.

Task
Decide on the subteam weekend meetings.

Specics
We need to meet over the weekend, and this has already been discussed. We will meet in subteams. We need to discuss this to ensure that the times are good for everyone on those teams. The Research & Publications team will meet seperately from the two development teams. Ill likely also remind everybody that if the general manager is needed in a specic teams weekend meeting, this needs to be planned in advance, as my schedule may conict with the timings that are set up.

The people who are responsible here are the two project managers(Dimas #0 & #1) and the R&P head. Please be sure that somebody in each groups takes notes that can be submitted to the minute-taker (since he cant write for all 3 groups at once).

We have two people listed as XFS (cross functional specialists). We need to decide where to put them, at least for now. We also need to get from the Project Managers information on their workforce (need more? have extra?). If you need to, you can take a few minutes at the end of the big subteam section to think about whether or not your current manpower is correct for your needs.
