614 Contract 2009
User agrees to the terms provided in this rental contract by and between User,
____________________________ and SECTOR 614. User agrees to indemnify and holds
SECTOR 614, Tietsort Design, Christopher and Amanda Tietsort harmless from all claims,
liability, damage, injury penalty, fine or loss, directly or indirectly, by any persons, authority, or
entity for injuries to persons, property, or damage which in any way results from the use of said
premises by user; and if any suit or proceeding shall be brought against SECTOR 614 or Tietsort
Design on account of damage, injury, omission, neglect, commission, liability claim, or loss
occasioned upon by User, guests of User, invitees, licensees, servants, or any other person, the
User, at its sole expense will defend same, and will pay any judgments which may be recovered
against SECTOR 614 or Tietsort Design
Payment / Insurance
• A 50% non-refundable deposit payable to Tietsort Design and a signed contract are
necessary to guarantee the rental space and date.
• The initial non-refundable deposit is due at the time of the signing of the contract; the
remaining 50% of the rental is due 30 days before the event.
• User may place a preliminary hold on the rental space that gives a User first refusal
rights; but in the case of a conflict, the hold must be changed to a guarantee (i.e. 50%
non-refundable deposit and a signed contract).
• Tietsort Design and the preferred caterer must be named in the insurance as “hold
harmless” and receive a copy of the Certificate of Insurance (COI). You can obtain an
event insurance policy from your homeowner’s insurance agency.
• Because of insurance restrictions, User, caterers, and liquor providers must supply
certificates of insurance.
• If User contracts with one of the Preferred Caterers, insurance for caterer and liquor
license is already resolved.
• These certificates should be made in the name of Tietsort Design. Liquor providers must
provide proof of their state license 30 days prior to the event.
• In all cases, the insurance certificates must be received by Tietsort Design at least 30 days
prior to the event.

• The contract balance and any additional fees must be paid in full at least 30 days prior to
the event.

Caterer/Vendors
• SECTOR 614 has a Preferred Catering list. User may choose from said list (below) or
they may bring in “other” caterer. If User chooses “Other” caterer, User must pay an
additional $400.00 fee and is responsible for getting Space 614 caterer’s Certificate of
Insurance and Liquor License. Under no conditions is User allowed to use unlicensed
caterer.

• User and/or Caterer will be responsible for all dining needs and clean up including
equipment rental (i.e. tables, linens, glassware, tableware, etc.)
• User may contract with any vendor supplying tables, linens, chairs, flowers, etc. It is the
responsibility of the Vendor and User if Vendor damages any item on site.
• Vendor may drop off rented items between 8a.m. and 12p.m. the day before the
contracted event. Please note: SECTOR 614 staff will sign for items, but is not
responsible for checking the order. If the order is incorrect, it is the responsibility of the
User and the Vendor.

• SECTOR 614 can offer personal, professional assistance with regards to any Event
Advertisement / Marketing materials, i.e. flyers, mailers, email-invites, brochures etc.
you may need for your specific event. These services are separate from the actual rental
of SECTOR 614 and therefore will require an additional amount of payment above and
beyond the costs associated with the rental of SECTOR 614. Please coordinate through
our Graphic Designer Bernie Colbert.

Set Up and Take Down
Daytime events
• Judged on a case-by-case basis. The event is confined to the rental space only.
• All decorations or items provided by User must be removed the day of the event.
• All decorations or items provided by User must be approved by SECTOR 614
• CLEAN- UP – it is the User’s responsibility for the condition of the space after the event.
There will be a $500 charge to User’s credit card if the space is left in an unacceptable
manner (we ask that you leave it the way you found it).
Evening events
• SECTOR 614 will make the room available for set up by 3p.m. the day of the event.
• No combustible materials, candles, smoke, fog or bubble machines are allowed in the
building.
• No set up closer than five feet from any work of art.
• No banners placards, tape, or other materials may be attached to the walls, ceilings, or
floor without permission.
• All decorations or items that are not owned by SECTOR 614 must be removed from the
rental space the evening of the event unless other arrangements are made.
• All decorations or items provided by User must be approved by SECTOR 614
• User must arrange for all rentals to be picked up between 8a.m. and 12p.m. the following
day.
• SECTOR 614 reserves the right to deny any activity or equipment usage that could
potentially damage the gallery or its contents.
• The event and clean-up must be completed by 1:00am on the date following the date of
the event

Building Usage

systems
• Smoking anywhere in the building and entry ways is strictly prohibited.
• Rental Times:

Rental time 3pm-1:00am (10 hours)
Event time is a max of five (5) hours with enough time to be cleaned up by
1:00am
All events must be concluded by 12:00am (midnight), regardless of start
time.
o Day Rental time/event time
Rental time 7am- 2:59pm
Event time max of six (6) hours with enough time to be cleaned up by
2:59pm

RENTAL CONTRACT DOCUMENT CHECK LIST
To reserve SECTOR 614 for your event, you must submit the following items 30 days prior to
your event:

• Please note that if you are charging people to come to you event, the Alcohol
Beverage Law Enforcement Commission says you must have a liquor license for your
event. Some restaurants and caterers have the license, and hiring them is much easier
than applying for an event license with ABC. A list of liquor providers licensed by
the state of Oklahoma to serve alcoholic beverages is available by calling the ABC at
405.521.3484.

Your rental will be confirmed once all documentation is received.
Rental Rates
All events are considered “per day” due to preparation and set-up.
Pricing can change with out prior notice.
SECTOR 614 cannot be responsible to any damage that may occur to vehicles on premises.

1. Staff and Security Fees: Security is REQUIRED for any event that is serving alcohol or
any event with 100 people or more, regardless of alcohol. ] The charge for security is
$25.00 per hour per guard. There is a minimum of four (4) hours. The number of
Security Guards required for an event will be determined by SECTOR 614 staff based on
the number of guests attending and the number of areas open to guests for the event. The
guards are basically one guard for 200ppl and less. This is subject to approval by
SECTOR 614 staff.
2. Insurance: SECTOR 614 must be named in the insurance as “hold harmless” and
receive a copy of the Certificate of Insurance (COI). You can obtain an event insurance
policy from your homeowner’s insurance agency. This information must be presented to
SECTOR 614 30 days prior to the contracted date of the event.
3. Clean-up: The User and/or caterer is responsible for cleaning tables, kitchen facilities
and other areas utilized for the event and for removing all trash and decorations from the
event. A minimum $500 clean-up fee will be processed to you if the gallery was left in
an unacceptable manner (we ask that you leave it the way you found it).
4. Caterers: SECTOR 614 has worked hard to find quality caterers available to our clients
for rentals. We have learned through experience that it is to everyone’s benefit to use
those caterers that we have an active relationship with, thus ensuring our clients receive
both the best service and food available. Additionally, these caterers are familiar with
working at SECTOR 614 and know what we expect from them as well. We, therefore,
ask that you highly consider using a preferred caterer that has been approved by
SECTOR 614. Preferred caterers have been selected for the quality of their services, their
ability to meet legal, Oklahoma liquor laws and insurance requirements, their
commitment to following the gallery’s catering/facility guidelines, and the ability to serve
customers in all budget ranges. The caterers include:

Should you choose a different caterer, it is an additional cost of $400.00. Any non-preferred
caterer is required to have certificate of insurance and a copy of liquor license to SECTOR
614 30 days prior to the contracted date of the event.
5. Alcohol: You are permitted to have alcoholic beverages at your event. SECTOR 614
however, does not have a liquor license and cannot take possession of, or store, alcohol
in any form under any circumstances. You are responsible for complying with all
applicable state and federal laws pertaining to the serving of alcoholic beverages and for
ensuring that your service provider complies with these laws as well. SECTOR 614
requires only Oklahoma state certified bartenders distribute alcoholic beverages, and we
are not responsible for any damages resulting from any failure to obtain these permits.
7. Rental Time vs. Event Time: While the RENTAL time is 10 hours, the EVENT time
cannot exceed 5 hours.
8. Miscellaneous:
a. If you are a state agency or non-profit (501c3) you may be eligible for a
discounted price. Please inquire with our SECTOR 614 staff for pricing.
b. Decorations may not consist of tinsel, glitter, confetti, birdseed, rice, hay or straw,
sand, etc., and final decorations are up to the discretion of the SECTOR 614 staff.
No decorations are allowed on the walls, windows or doors.
c. Bubbles/sparklers are not allowed indoors.
d. SECTOR 614 equipment (tables, chairs, podiums) is to be used in the indoor
spaces only.
