Technology Usage Policy
Canterbury School has made a forward-thinking commitment to ensuring that all members of our school community have consistent and reliable access to up-to-date technologies that enhance our educational methods to make positive impacts on students' learning. Beginning with the 2014-15 academic year, devices that reflect rapid advances in technology will be made available to administration, faculty, staff, and students on a three-year cycle. So Canterbury faculty, staff, and administration need to be nimble users of technology, flexible and adaptable to new ideas about best practice, and fully ready to embrace innovations.
Canterbury School's primary devices are Apple (MacBooks, Macs, and iPads) and our primary operating platforms are Apple OS (Macs) and Apple iOS (iPads). All Apple devices in use at Canterbury School will consistently be upgraded to the most recent OS or iOS.
DEVICES Devices are matched to the responsibilities of specific positions rather than to individuals, so different groups of Canterbury users will be issued different devices. Decisions about modifications to this distribution profile and/or any periphery devices that might be required by specific positions will be made on a case-by-case basis.
Although you will be responsible the device(s) you are issued, Canterbury School retains full ownership of it/them.
Technology is issued to you in your current position. If you change positions, your technology may be reassigned. Upon separation from Canterbury School for any reason, all technology and accessories (i.e. cables, chargers, cases) issued to you must be returned in acceptable, reusable condition (excluding normal wear and tear).

DEVICE MANAGEMENT AND ACCOUNTS All MacBooks and iPads have been assigned a position-specific Canterbury device name and are registered through the Apple Profile Manager System. Additionally, your device(s) has/have an administrative user account. Some system preferences are locked for management purposes; these settings are managed by the IT network administrator (the computer name and sharing preferences are among a few locked settings). This account can offer remote assistance and maintenance when necessary.
Canterbury School uses Google Apps for Education. Through Google, each faculty has a unique email account (@canterburygso.org), access to Google Drive, use of Google Docs and Forms, and a portal to the Haiku Learning Management System. The Google (@canterburygso) user name and Google account should be used for all school- related correspondence (Gmail), file management (Google Drive) app management, website registration, professional social media, etc.
Users will also need to have a unique Apple ID account, specific to Canterbury-related tasks. Although many individuals already have a personal Apple or iTunes ID/ account, users should use their @canterburygso email, user name, and password for their Canterbury Apple ID/ iTunes account. Both personal and Canterbury Apple ID/iTunes accounts can be maintained on your device(s), but all school-related apps, music, etc. should be managed through your @canterburygso Apple ID. Reimbursements for a personal credit card will only be made for purchases made through the @canterburygso Apple ID.
MAINTENANCE AND REPAIR Canterbury-owned iPads and Macs have asset-tracking labels (QR codes) affixed to them. These enable IT personnel easily to scan and manage devices and assigned users as well as to track usage and/or repair issues. Do not remove or modify the identification label or add extra stickers, labels, tags, or markings to the devices, themselves. (You may, however, place stickers or other labels on device cases.)
Canterbury has purchased three-year Apple Care policies for MacBook Pros and MacBook Airs. Apple Care covers manufacture's issues or device malfunctions, as determined by Apple-authorized professionals. Apple Care does not cover costs associated with breakage or user error.
Each iPad has a one-year manufacturer's warranty that covers only factory issues. In an attempt to prevent common iPad screen or body damage, your iPad is issued with a good-quality protective case. You may choose to remove this case or to use a different case with your iPad, but you must return both the case and iPad at the end of the usage period. If you select an alternate case, be sure that it protects your iPad adequately!
Report any damage to any device promptly to a member of the IT department.
If a device is damaged during typical school usage or while it is stored in a properly secured location at school, Canterbury School may cover the repair/ replacement costs (to be determined on a case-by-case basis by Canterbury IT personnel and/or Apple professionals). Be aware that repair or replacement costs for issues caused by user error or accidental damage (i.e. dropping a device, water damage, mishandling) will almost always be completely your responsibility.
If damage occurs to a device that you have taken off school property, you are fully responsible for repair or replacement costs (whichever is less). If you plan to take your computer and/or tablet home, you are encouraged to check your homeowners' or renters' insurance policies to see if it may be possible to add a rider for employer- owned technology.
Current full replacement pricing for Canterbury-owned technology is as follows. Apple MacBook Pro: $1199.99 Apple MacBook Air: 1059.99 Apple iPad Air: $499.99 These prices are current as of April 2014 and are subject to change.
Unless advised differently by the IT department, you are responsible for running any and all system and application updates. The device(s) will prompt you when an update/updates are available, and it/ they should be installed as soon as possible after you receive this notification. You may occasionally be asked to turn your device(s) in to IT for brief periods of time for more extensive upgrades.
LOSS OR THEFT If a Canterbury-owned device is lost or stolen, you should notify an IT department member and your division director. If necessary, Canterbury School security and/or the local police may be involved in an attempt to recover the device.
If you find an iPad or Mac and are unsure of its ownership, immediately take it to an IT department member who will scan its QR code and determine where and to whom it belongs.
INTERNET AND NETWORK You have the responsibility to use the Canterbury School network in a professional, lawful, and ethical manner. Personal use of a device and the Canterbury network is permitted so long as it does not interfere with your or anyone else's job performance or have a negative affect on the device or the network.
The network may not be used to send, view, or store commercial or personal advertisements, promotions, destructive code, political lobbying, or any other unauthorized materials.
You are responsible for complying with copyright laws and applicable licenses that may apply to documents, files, photos, music, graphics, and any other material that you may wish to use, download, copy, or distribute.
To ensure security, access the Internet on campus via the school's protected network. Network bandwidth and storage capacity have finite limits, so all users connected to the network have a responsibility to conserve these resources. Refrain from actions that waste or monopolize network resources, including, but not limited to: sending mass emails or chain letters, online gaming, engaging in online chat groups, uploading or downloading very large files during peak school-day usage hours, and accessing streaming audio and/or video files (such as Pandora, Spotify, or YouTube).
Canterbury School reserves the right to monitor and/ or log all administrator, faculty, and staff technology usage, including, but not limited to: Internet sites visited, newsgroups and subscriptions, file downloads, and all communications sent and received.
SOCIAL MEDIA Social media technology can serve as a powerful tool to enhance education, communication, and learning. This technology can provide both educational and professional benefits, including preparing Canterbury School students to succeed in educational and career endeavors. But Canterbury School is committed to ensuring that all users who utilize social media technology for professional purposes do so in a safe and responsible manner. Administration, faculty and staff must maintain professional social media environments that mirror the academically supportive environments of our school.
Social media is defined as any form of online publication or presence that allows interactive communication, including, but not limited to: social networks, blogs, Internet websites, Internet forums, and wikis. Examples of social media include, but are not limited to: Facebook, Twitter, YouTube, Instagram, Tumblr, and Google+. But, due to the public and pervasive nature of social media communications, the lines between professional and personal social media use can often be blurred.
Professional social media is a work-related social media activity that is either school-based (i.e. a division director establishing a Twitter account for faculty and parent communication or a Canterbury teacher establishing a blog for his/her class), or non-school-based (i.e. an alumni establishing a Canterbury Facebook page to facilitate a reunion).
Personal social media use is a non work-related social media activity (e.g., a Canterbury adult establishing a Facebook page or an Instagram account for his/her own personal use).
professional social media site(s) If you decide to engage in professional social media activities you should maintain a distinction between your professional (@Canterburygso.org) and personal e-mail addresses. Do not use your personal e-mail address for professional social media activities; rather, you should use your @Canterburygso.org email address to ensure that this social medial is completely separate from any personal social media.
To differentiate them from your personal site(s), your professional social media site(s) should include language identifying the site(s) as professional social media for Canterbury School. For example, your professional sites might identify the school, department, or particular grade that is utilizing the site. (But do not use student first and last names, especially in relationship to any images.)
If you work with students and communicate with students through social media sites, they should be designed to address reasonable instructional, educational, or extra-curricular program matters.
You should treat professional social media space and communication like a classroom and/or a professional workspace. The same standards expected in a Canterbury School professional setting are expected on professional social media sites. If a particular type of behavior would be inappropriate in your classroom or professional workplace, then that behavior is also inappropriate on your professional social media site(s).
personal social media site(s) In order to maintain a professional and appropriate relationship with students, you should not communicate on personal social media sites with students who are currently enrolled at Canterbury School, except in the following exceptions: (a) communication with relatives and (b) if an emergency situation requires such communication (in which case you should notify your division director and IT personnel of this contact as soon as possible).
Personal social media use, including off-hours use, has the potential to result in disruption at school and/or the workplace, so, even on your personal social media site(s), you should exercise caution and common sense. As recommended practice, use appropriate privacy settings to control access to your personal social media site, but be aware that there are limitations to privacy settings. Private communication published on the Internet can easily become public. Furthermore, social media sites can change their current default privacy settings and other functions. As a result, you are responsible for understanding the rules of any social media site(s) you use. It is not recommended that you tag photos of other Canterbury School employees, Canterbury School volunteers, or Canterbury parents without the prior permission of the individual(s) being tagged.
SOFTWARE, RESOURCES, AND APPS Certain software, resources, and apps have been pre-installed on the device(s) you are issued. If you require other software, resources or specific apps for your professional use on the device(s) you manage, you should make the request directly to an IT department member. If you would like to have a particular app or resource remotely deployed to your device or to a group of devices used by students with whom you work (i.e. a grade-level app) access and fill out the App Evaluation and Request Form, available on Google Docs, for review and remote deployment ("push") via Apple Profile Manager. This procedure is true both for free and for paid apps. Cost for classroom or grade apps will be charged to a grade-level, department, or divisional curriculum budget.
If you download anything other than a free app to preview for potential use and you submit a reimbursement form, the fee for the app will be charged to your grade-level, departmental, or divisional curriculum budget. Canterbury School will only reimburse you for app costs if the download was made with your @canterburygso Apple/ iTunes account.
The Canterbury IT department cannot guarantee that apps, materials, software, or resources purchased, downloaded or installed via your personal iTunes account or for personal use on Canterbury-owned devices will be retained in the event that the device needs to be synched, reset, restored, or updated. Additionally, the IT department is not responsible for troubleshooting, restoring, or repairing personal programs, apps, email accounts, or media accounts (photos, movies, or music).
FILE STORAGE AND MANAGEMENT Canterbury School technology is intended for instructional/ professional purposes; you should have no expectation of privacy for materials you create, store, send, or receive using school-owned devices. Canterbury School reserves the right to monitor and log any and all aspects of technology use, including, but not limited to: Internet sites, email use, chat and newsgroups, and file storage/ uploads/ downloads.
Web-based storage provides a convenient way to access both personal and professional files and materials (photos, music, movies, etc.), so you are encouraged to manage materials remotely instead of saving to Downloads, Documents, Movies, Music (or iTunes) or Pictures (or iPhoto). For example, your Canterbury files and materials might be kept on your Canterbury Google Drive and shared via Drive or Haiku. Personal files and materials might reside on an alternative web-based storage site (i.e. Dropbox) or on an external hard drive.

I understand that the MacBook, iPad, equipment, and/ or accessories provided to me are the property of Canterbury School. I agree use the technology professionally, ethically, and lawfully. I have fully read and completely understand the information contained in the Canterbury School Administration, Faculty, and Staff Technology Usage Policy.
I understand that I will report any damage, loss, or theft of the technology to the Canterbury IT staff and administration. I understand that I may not be held liable for damage or breakage from regular school- related use that occurs on campus; however, I understand that I may be personally responsible for damage, theft, loss, or breakage of the technology occurring during personal use, due to negligence, or that occurs if I have the device off-campus. I understand that, in such cases, I will be liable for repair or replacement of the device (whichever is less).
