Thank you again for your interest in working with us to address your e-commerce
requirements and to take your website to the next level! We look forward to
helping you to streamline your sales process while also improving your search
engine presence, refining your lead capture methods, and generally maximizing
the overall experience for customers using your website.
Because we recognize that certain details relating to any approach we might
take are still under internal consideration at TerraGo, this is a somewhat “high
level” proposal based upon our current understanding of your needs. Nonetheless,
we are confident that the deliverables we outline will bring TerraGo’s web
presence to the next level--allowing you to save money, improve customer
satisfaction and simplify your approach to processing tactical orders, while
providing a clear roadmap for extending your e-commerce presence in future.

Statement of Work
Project Overview:
TerraGo seeks a vendor to provide technology and consulting to enable the
company to achieve a single, integrated approach to its corporate Web and e-
commerce needs. The company needs an easily-maintained and effective
website to drive demand for its software solutions, and the ability to fulfill that
demand with an integrated e-commerce solution. This solution should allow orders
to be completed online, with a minimum of employee involvement from TerraGo,
and should allow processing of credit card information, generation of valid
product license key information through integration with TerraGo’s existing SafeNet
solution, and integration of order information with the company’s CRM system. The
solution should also enable interfacing with the company’s chosen accounting
system (e.g., Microsoft Great Plains).

This proposal assumes that Extra-U will be working in tandem with Red House USA,
who will provide overall brand direction and designs for the completed web
project. However, we also provide a proposal for development and production of
website design, which may be based on documented information architecture or
wireframes, in case this should be useful to TerraGo or to Red House.

Extra-U Tasks and Deliverables:


Core Site Functionality (Deliverable #1)
Extra-U will develop an enhanced TerraGo website, using content from the current
site. We will implement the site using the Drupal Content Management System
(CMS), with appropriate modules to support key site functionality. This functionality
should include:
Integral content management
• Single domain and toolset for e-commerce and “brochure” content pages
• Single interface for maintenance of site pages and product information
• Online administration of tags and content taxonomy
• Client-definable user roles; for example, provide product management access
to one role, site content or blogging access to another
• Web-based, “What you see is what you get” tools for maintaining and creating
content
• Simple file management for maintaining brochure library and other digital files
• Optionally, restrict content to users with specific roles, such as registered
users or customers
• Ability to post press releases for display in specific news section
• All content can be categorized and searched
• Online administration of tags, content taxonomy, page descriptions and other
key data
• Easy access to bulk actions on content – delete, update, rename, etc.

Search-engine friendliness “built in”


• Admin-definable, SEO-friendly URLs for all pages, including product listings and
product pages
• Tagging of all content, including images, documents, etc., with appropriate
keyword data.
Integrated Google Analytics, for a better understanding of the nature of visitors to
the site
• Ability to configure analytics to exclude specific roles or pages from reporting;
for example, to prevent TerraGo employees from contributing to Analytics results
Integrated site search, with keyword-based search of all content and products
Streamlined Feedback Forms
• Strong visual feedback on all user interactions
• Enhanced lead capture, with verification of valid user information
Integral reporting
• Top search terms
• Web server log entries
• Top 404 pages
• Available updates to utilized modules (useful for ongoing support and stability)
Simple web forms
• Newsletter signup form, with CSV output
Configurable, site-wide contact form
Consistent branding
• We will build a custom “theme” for Drupal which will provide the overall site
design elements, and enable all new content / product pages / etc. to
automatically utilize the client’s branding.
Content Porting
• Transfer of all appropriate information from existing TerraGo website. Updating or
creation of up to twenty (20) pages of content.
Training
• Extra-U will provide a 4 hour onsite training session for use of Content
Management tools for creating and updating content. Additional training
available on request.

Core e-Commerce Functionality (Deliverable #2)


Software Product management, with online administration access to maintain:
• Product name / description
• Product price
• Image library
• Categories
• Admin-definable product attributes; we will work with you to define these
Shopping cart functionality with configurable, single-page checkout for rapid
conversion
Secure Checkout
• Single screen for rapid checkout

• Enable purchase of multiple licenses at one time


• Software purchases with time-restricted download periods
• Integration with client’s preferred payment gateway – note, we will discuss
preferred gateway options with the client; esoteric payment gateways will
require additional development effort.
• Enable separate ship-to and bill-to addresses; allow customer to indicate that
ship-to and bill-to addresses are the same.
• Customer can review full order before completing order
• Automated, branded email sent to customer on completion of order
• Account generation, for simplified future orders
• Optionally allow customers to view order history/status online
• Automatic production of printable invoices
• Online order administration for administrators, for order processing, etc.
Promotions management, with online administration access to administer:
• Product bundling
• Marked Discounts

SafeNet Integration (Deliverable #3)


“Near Real-Time” license generation
• Extra-U will develop a process that will integrate with TerraGo’s SafeNet solution
to enable the creation of a unique license key for the user, for each product
license purchased. This license key will then be stored against the order record
for view within an order history screen, and emailed to the user in “near real
time”--i.e. as soon as possible after the order is placed.
• This deliverable will require development of interaction with established APIs
provided by TerraGo for the SafeNet application; this proposal assumes that
such APIs currently exist, together with adequate documentation and
availability of appropriate TerraGo resources to provide implementation support
and testing/validation of generated license information.
Documentation and Process Training
• Extra-U will document integration points between the web/e-commerce
component and SafeNet, and will identify contingency planning to prepare for
circumstances where the SafeNet application might be unavailable for real-
time interaction.

Salesforce.com (SFDC) Integration (Deliverable #4)


“One-way” integration of leads, contacts and accounts
• Extra-U will develop processes to integrate leads (website registrants), contacts
and accounts (users who purchase software via the TerraGo website) into SFDC.
For the initial phase of development we propose that this be a one-way
integration process, which Extra-U will document and implement. This will
encompass:
• Creation of leads in SFDC for all website inquiries, TerraGo Toolbar
downloads, Information Request forms
• Creation/update of contacts/accounts in Salesforce whenever a
customer purchases software via the TerraGo website
• Creation of contract information within Salesforce, for future distribution to
a back-end accounting system, of all purchases, with SKU information,
pricing details, etc.

• For the initial rollout phase we do not recommend addressing TerraGo’s need to
manage dynamic pricing/maintenance renewals; this functionality is discussed
in the “future development options” section of this document.

Website Design (Optional - Deliverable #5)


To support the overall website development initiative, Extra-U can provide design
services that range from wireframing of content sites to design and production of
multiple design templates. For guidance, this proposal provides an estimate for
development of a homepage design, a primary-level internal page design (e.g.
for solution suite information), and a second-level page design (e.g. for a press
release), with three revision phases for design work. More detailed pricing can be
provided upon request.

Technical Details
To achieve the best balance between functionality and quick, cost-effective
development, we propose the use of the Drupal content management system.
Drupal is an open source solution with a world-wide network of developers,
consultants, and users. Wherever possible, we will use existing modules to provide
core functionality, which we will customize to suit TerraGo’s brand and functional
requirements.
The engagement will involve the development of a core TerraGo “theme,” which
will ensure consistent branding throughout the website and will be automatically
applied to all new products and content contributed to the site.
The proposed framework provides a platform for future traffic-generation
opportunities; for example, this platform will facilitate generation of future
“microsites” for dedicated lead generation campaigns.
We recommend the use of the Ubercart module for e-commerce; Ubercart is a
free and open source plug-in to Drupal which is itself supported by a number of
modules that can be implemented to provide additional functionality. The
combination of Drupal and Ubercart provides an ideal mix of content
management with e-commerce functionality which will enable TerraGo to address
both of these needs with a single integrated solution.

Design/Technical Consulting and Support


Throughout the project, it can be difficult to clearly define the scope on every
specific part or need as they arise. To help maximize your creative investment
throughout the project, Extra-U can offer design and technical consulting services
for everything from brainstorming, creative/technical strategy, production and
support.
A Note on Support: We have chosen to develop this site with trusted tools that
have vast online communities and forums for the novice through professional. We
want our clients to understand the tools and be able to use them to their fullest
ability. It is often very difficult to quantify what sort of time commitment that takes.

For this reason, we can offer consulting at an hourly rate of $100/hr post-launch,
should the need arise.

Phase Two Recommendations:


Your website will be a continually evolving tool for you as you move forward with
your efforts. Once the site is live, we will work with you to scope out the next steps
in engaging your audience and maximizing the benefit of your e-commerce
solutions. Some ideas we talked about in our initial meeting included:
• Salesforce.com integration for ongoing maintenance to allow generation of
maintenance quotes by TerraGo personnel, which can be accessed by
customers on the site. $6-10k
• Integration with financial systems (Great Plains, etc.) - Most likely
implemented as a process between Salesforce.com and accounting software;
protected behind firewall; batch process. $8-12k

TerraGo Responsibilities:
• Provide any project designs, graphics, content or other information to be
incorporated into the web site pages.
• Provide a single point of contact for deliverable review, testing and approval.
• Provide technical parameters for integration points, hosting requirements etc. as
needed

Gulf Power / Southern Company


Gulf Power engaged Extra-U to refresh the look and feel of its website. Working
from established design guidelines and the existing site, we reworked the site,
starting from the homepage, to enhance its visual appeal, maximize traffic to key
areas, and provide key interactive Flash elements wherever needed.
Extra-U also worked with Southern Company to incrementally refresh existing forms
and navigational elements on their websites, providing usability guidance and
driving additional website registrations.

I Important Note To Our Client:


This assignment will be produced on a fixed time & fixed price basis, except where
noted. Should we be awarded this project, our time will be reserved and your
budget committed. It is extremely important that you understand that delays in
content submission will mean extensions to the deadline and additional costs will
be incurred. To accommodate minor variations in supplier costs or delays in
receipt of input, a Contingency Budget should be set aside. A Contingency
Budget of 10% of the Production Cost Estimate is considered an industry norm. This
means that your acceptance of this proposal and the acceptable delivery of the
web site's production, as specified in the Design Analysis Document that is
approved by you, means that you agree that your actual cost can exceed the
Production Cost Estimate by as much as 10%. If the cost to accommodate your
requirements will exceed 10%, you will be notified and presented with an Estimate
of additional costs for review and approval prior to the work proceeding. Our
terms are an Initiation Payment of 1/2 the total amount, with the remainder due
Net 30 days after completion of the assignment. Costs for original photography,
third-party licensed software, etc., are not included, and would be billed as
needed, if client cannot provide the necessary material to Extra-U. Any other out
of scope items are listed in the project details.

Overages and Services Rendered Beyond the Scope of Work


The prices quoted in this Scope of Work are for the Services described above. The
services will be rendered in accordance with the following:

Travel and Expenses


Extra-U will bill for any reasonable travel expenses (e.g. airfare, car rental, hotel,
taxis, etc.) for work performed at the Client facility. The cost of will be submitted
directly to Client for reimbursement. Please note that travel expenses are not
included in the fees due to Extra-U for services rendered for the duration of this
engagement. Client will provide authorization prior to any travel by Extra-U Group
staff.
1. Extra-U will render the appropriate invoice after Client’s acceptance of the
milestone deliverable, as agreed upon by Client and Extra-U.
2. The invoice will carry 30 day payment terms.
3. Client may delay payment at any time if not satisfied with Extra-U’s progress.
Timely payment would then resume upon resolution.
4. If applicable, travel related expenses will be represented on all invoices as a
separate line item.

Pricing Considerations
1. Prices quoted above are based upon current understanding of the scope of
work and the level of effort required to create the deliverables described in
this proposal.
2. Pricing for Extra-U services are based upon 2 review cycles. Additional
changes made to the project after the second review cycle will be billed for
time and expense incurred. Overages will be billed at a rate of $100USD/hr.
