About the role


The role main focus is to support the work of Change Alliance and assist the
programme team for effective management of partnership portfolio. Also to
provide necessary administration support, coordination, communications with
various external clients and internal teams.
About you

We are seeking a candidate with relevant experience in providing administrative


support. The ideal candidate will have knowledge of development sector,
effective communication skills, data analysis and documentation.
The role may require occasional travel to meet the demands of the work.

Role definition
Role purpose

The role main focus is to support the programme team of Change Alliance and
assist the Head of Programme in managing partnerships portfolio, including data
analysis. The individual will provide necessary administrative support for the local
office team and have frequent contact with external clients and other
stakeholders, whilst supporting communications and documentation.

Role context
The Programme Support Officer (PSO) is expected to work closely with Head of Programme. The
role is key in supporting the programme team in managing programme portfolios and projects within
India. The role may have occasional travel. PSO will need to coordinate and work closely with the
internal and external stakeholders.
Key outcomes

Effective and efficient overall administrative systems and procedures including communication
support for the India Programme in place. Information and data management developed, easy
to access and circulated, especially internally
All administration related to grant approvals, transfers to partners and emergency support
work to be adhered in accordance with Change Alliance policies and procedures. All receipts,
reports and other documentation from partners accurately recorded and filed both manually &
electronically.
Support provided to the programme team with documentation for consultation and learning
events, policy papers, reports and other programme related documents.

Information provided for production of reports for institutional donors, support to programme
staff for project files maintained.

Coordinate visits of various stakeholder, and team meetings facilitated and supported

Surge capacity for programme support ensured when needed.

to the Change Alliance

Liaising with internal stakeholders and colleagues at all levels to ensure effective
support is provided to the India Programme team
Share knowledge and best practice across the organisation
Close working relationship with other country programme staff across the
International Department and with relevant staff especially in Finance, IT, HR and
Programme Performance

Works closely with country team, providing quality programme support to the India programme.
Identifies systems and compliance issues or dysfunctions or areas where additional support is
required, and takes appropriate action to rectify the situation.

Applied skills/knowledge and expertise


Essential

Educated to degree level or equivalent in a relevant discipline


Excellent English and good understanding of spoken Hindi
Considerable experience in supporting development programmes and programme staff
Sound knowledge of Office programmes including MS Word, Outlook and Excel
Experience in developing and working with technical spreadsheets for financial and
information management, including use of web / intranet-based systems.
Experience with budget monitoring and financial analysis.
Ability to work self-directed, using own initiative to identify and resolve routine problems
Excellent communication skills and ability to build cross-cultural relationships, including
remotely across geographic boundaries.
Experience in supporting the production of financial and narrative reports to donors
Ability to maintain confidentiality and use discretion where appropriate.

Desirable

Experience of working with an international NGO or with an institutional donor.
