C) Activity Report and Evaluation :


1. Preparation ( eg. Publicity, Working schedule, Duty allocation, etc.)
For publicity, we designed a poster to distribute on each classrooms board for
promotion. After getting the design proved, we handed the poster for photocopying.
Furthermore, we asked teachers of the Scienty Society for encouraging students to
join. Besides, we also went to classrooms to introduce the activity to students at the
lunchtime.
For the working schedule, we started preparing the details of the activity in March.
We booked Room 311 in the late March. After knowing the workshops popularity,
we decided to set up an extra workshop. Therefore, we booked Cookery Room in
early April. We got our publicity ready two weeks prior to the workshop date.
For the duty allocation, we simply divided it into 3 parts. 2 committee members were
responsible for the publicity part in the workshop, including designing posters,
photocopying posters and pinning to each classrooms board, and promoting the
workshop in the classroom. The other 2 committee members were responsible for
keeping the workshop running smooth and without problems. They helped when we
need it. For example, the projector and the screen werent working on that day so the
two committees went to find the IT helper. The remaining two members were
responsible for the monetary terms in the workshop. For example, collecting money
in the start of activity.

The number of participants definitely indicates the popularity of our workshop. Our
first estimate of the number of participants was 25 as we didnt think the junior students
were willing to spend their time in an activity. However, as we have asked teachers for help
in promoting the activity, plus our fee for the workshop was rather low, there were a lot
more students who joined the programme. The response was positive and good. We can
teach them about the scientific theories about cakes and tea, and at the same time the
students could get a time to relax by having some cakes and drinks.
Nonetheless, we have also met some difficulties. As we had to offer students with hot
tea like coffee and English breakfast tea, we were in need of a large amount of hot water.
Therefore, we turned to Ms Wong for help as we cooperated with the English Society, and
finally we could successfully take hot water from the office. We would like to express our
gratitude to both Ms Wong and the office for their help.
3. Suggestions for Improvement
There is always room for improvement. And for this times workshop, the fee can be set a
little higher this time. Although there is a huge expense of purchasing ingredients, we still
set the price in a low level since we hoped more students would be more eager to join,
However, the price was a bit too low that the amount of money we could earn was very
little, and we suffered loss when preparing the food for students who didnt come to our
activity.
