Minutes of the meeting of departmental representatives on 22nd
August, 2011 for proposal for hiring a contract for maintenance of
Air Conditioners installed at Karachi Office-(total 72 units)
A tender was floated for hiring of a contractor for maintenance of air
conditioners in local newspapers. Tender were opened in the presence of
committee and bidders.
Following companies showed their interest and quoted bides for maintenance
of 72 air conditioners installed in Karachi office:1. M/s

out rightly rejected.

Comparatives of rates quoted by above mentioned firms are attached as Annexure-A


It is evident from the comparative statement that monthly charge will be around Rs:________ for
hiring full time maintenance services for yearly basis. Committee asked AD-Finance to provide
detail up till expenses incurred till date regarding on the maintenance of air-conditions in Karachi
office. AD-Finance informed that an amount of Rs: _____ has been incurred from July, 2011 to
January, 2012,including parts and services so far which is less then amount of yearly contract.
Committee decided to with held the annual maintenance contract and decided to call fresh quotes
from difference firms including firms submitted bids against the said tender. Committee also
decided to waive off condition of GST registered firm. 12 companies were asked to submit their

proposal. However following companies showed their interest and submitted quotes/bids. One
firm was Faisalabad based and committee decided not to consider as managing affairs remotely
will not be feasible for the Commission.
Committee decided to retain following two firms for maintenance of air conditioners:M/s Techno care Engineer
M/s Cool max
Committee requested Director-Admin to call and discuss with both the parties and asked them to
agree to lowest rates quoted by both of the bidders.
Rates agreed by both the parties are annexed as annexure-B.
