Department of Music
The UNCW Summer Jazz Workshop
PROCEDURES, REGULATIONS, EMERGENCY AND GENERAL INFORMATION
I. a) Orientation Procedures
Check-in will occur on Sunday in the lobby of the Cultural Arts building, followed by an orientation
meeting for parents and students in the Beckwith Recital hall (see enclosed schedule). At this time you
will become acquainted with the staff and briefly tour the area you will be using during the week. A
daily itinerary will be presented to you and your parents(s) at this time. On-campus residence check-in
will be immediately following the orientation. Theory, improvisation, and ensemble audition placements
will be immediately after dinner.

b) Residence Hall Procedures:

Residence hall check-in will be immediately following the orientation (see above). At this time you
will receive your room key in order to get established in your room (please note that a $30 room key
deposit will be collected by the campus residence staff at check in and returned to the
participant at check out upon receipt of the key). Please count your linen to be sure you have two
sheets, pillow and case, two bath, two hand, and two face towels. If any item is missing, notify a staff
person immediately so you will not be charged for that item at Sunday checkout. There will be a $5
charge per piece of missing linen to be paid during Friday checkout.
After you check in, any changes you feel are absolutely necessary (concerning your room location
or roommate) can be discussed with the Jazz Workshop Director after Sunday dinner. You may not
change your room or exchange keys with anyone without the approval of the Director (who must keep a
written record of each room occupant).
You will return to your residence hall between 9:00-10:00 each night with lights out at 10:00 PM.
You will rise each day at 7:00 AM and be ready to go to the cafeteria for breakfast by 7:30 AM. All of
the workshop's activities will be in the Cultural Arts building.
Parents should meet students at 6:00 P.M. on Friday for checkout (load luggage, return room keys,
and pay for lost room keys, linen and/or deliberately damaged equipment).

II. a) General Regulations

All UNCW Jazz Workshop students will be under the supervision of the UNCW Jazz Workshop staff
from 2:00 PM Sunday, until after the final concert on Friday night and the Director and staff will be
responsible for each student's well-being.
Students are expected to adhere to their itinerary (which may vary slightly due to rehearsal and
concert scheduling) without exception (except during cases of injury or illness).

b) Residence Hall Regulations:

While in residence hall, students must adhere to an open-door policy when socializing. No room
visitation with closed doors is allowed. Students may not invite anyone not connected with the Jazz
Workshop onto their floor or into their room at any time for any reason. At 10:00 PM, staff will check
each room to be sure students are ready for bed and students have locked their residence hall rooms.
University police will lock all outside residence hall doors at 11:00 PM nightly. Once students are in
for the night they may not leave their floor or the residence hall itself. There can never be more than
two students (designated roommates) sleeping in a room. Any problems or concerns at any time must

be addressed to the staff. Students will become acquainted with the staff's room location and nighttime
emergency procedures during orientation.
The student and/or parent must make travel arrangements. UNCW does not have residence hall
space or adult supervision available prior to check-in or following checkout. Early arrivals or late stayovers may make arrangements in advance with the nearby motels (Comfort Inn, 910-791-4841)

c) Infractions of Regulations
If a Jazz Workshop student does not adhere to the procedures and regulations listed here, their
parent will be called and appropriate actions taken. If it is deemed necessary to expel a student from
the Jazz Workshop, no refund or partial refund will be granted. If a student is expelled, their
participation in all activities will cease immediately and parents will be required to make arrangements
for their child to leave the Jazz Workshop and UNCW.
Also, please keep in mind that equipment provided (i.e., baritone saxophones, etc.) for your use, as
well as the living area assigned, should be treated appropriately. If the staff observes a student
deliberately abusing either one of the above, the student will be charged a fee accordingly, and it is to
be paid at the Friday checkout.

III. Emergency Information

a) Students may be contacted during business hours (8:00 AM 5:00 PM) by calling the UNCW
Department of Music (910) 962-3390 or the Public Service and Continuing Studies office (910) 9623195. State the student's name and the phone number and time they can return your call. We will be
able to tell you where the student is at the time of your call and what time they will be able to return
your call. We will then get your message to the student and staff. Between 5:00 PM and 8:00 AM, call
the University Police (910) 962-3184 and state the student's name, their residence hall, and the phone
number the student should call to reach you.
b) In case of an injury or illness that requires treatment other than application of basic first aid, the student
will be treated appropriately and taken to the nearest medical facility for medical attention. Parent(s)
will be contacted via phone numbers listed on the student's registration form. Actions will be taken
according to parent's wishes. A formal accident/illness report will be filed with the UNCW Safety Office.
UNCW does not carry accident insurance for Jazz Workshop students.

IV. General Information

a) There will be certain instruments available for student use based upon ensemble audition results at no
charge, including two baritone saxophones, two tenor saxophones, and one string bass. Students may
rent other instruments, if necessary, by contacting the Department of Music (910) 962-3390 to reserve
an instrument. Since the quantity of available instruments is limited, instruments will be reserved on a
first-come, first-served basis. The rental deposit fee for instrument use during the week is $50 and
should be paid at the time of orientation check in.
b) Lockers will be available for on-campus students needing to secure their instruments overnight at no
charge. Students will need to supply the lock.
c) If a student must leave for any reason, no refund of any type will be issued.
d) It is advisable to leave valuable items such as jewelry at home. Items such as watches, cameras, and
tape recorders will have to be your responsibility at all times.

Department of Music
Ensemble Audition Information
The audition is designed to ascertain the student's proficiency on their instrument so as to place the student in
the ensemble that is best suited for the student's abilities. Be prepared to play the following for your audition:
1. Major scales, one octave (C, G, F, Bb, D, A, Eb scales), as well blues, and dorian modes (same
keys).
2. Sight-read
3. Play a prepared piece of your choice (either a jazz solo transcription, an etude, or a concert
piece, such as all-state band solos).
4. Drummers will need to demonstrate various styles (e.g., swing, Latin, Rock, or Funk).
5. Improvisation will be evaluated during the theory/improvisation session (see below).

Theory and Improvisation Placement

Placement tests in theory and improvisation are designed for the purpose of determining advanced placement
in improvisation and theory. All students will take the theory placement test in order to determine their
appropriate entry level. Students who have no or little background in theory or improvisation will be placed in
the entry-level improvisation and theory classes. Advanced students will be asked to play two choruses of a
blues in one of the following concert keys (C, F, or B-flat).
