Status and Handover Report

(Ahmedabad Auditions)
The LFW audition set-up seems easy on face, but if we get into minute details there are
a lot of things we need to take care off. There are a lot of changes I will be suggesting
for a smooth flow of Auditions for all future productions. Please find below the Status
and Hand Over report covering things which have been done at night, and things that
still remains to be done.
Handover to: Meet
Production Crew Responsible: Ramzan and Anees

Side Wings
o Status
Side Wings Printed and Framed lying near the set-up
Have not integrated with the backdrop yet due to fitting issues and
the frame was tilting
o Rectification Handover
The T Stand needs to be installed in the Morning
Adjust it with the backdrop (Easy no big shit)

Chairs
o Status
Around 35 Chairs have been installed
There were lot of chair covers which were dirty, and it being white
even a small spot is visible
I removed a lot of bad covers
Tolerable covers have been retained by me
The red-ribbon have been installed in most of the chairs and excess
strings removed
15 More chairs are lying in the store without cover
o

Rectification Handover
Ramzan and Anees are supposed to get at least 20 new chair covers
in the morning with red ribbons to be installed on others
Please ensure that there are no food colour spots, there could be
minor dirt ecause it being white even you put it on ground it would
catch dirty, please use your discretion, though I have screened most
of them
Cut access ribbon strings with scissors as it looks bad

Acceptable Chairs

Spots on Chairs (Change the cover )

Please dont observe every nick and corner then you might reject all
of them, please check the basic cleanliness, spots highly visible
should not be accepted

Small Strings coming out of ribbon (Cut The Same)

Green Room
o Status
Green Room is completely ready with black masking
Fans are inside it
I have cleaned some of the dust myself, from outside it looks clean
now
There might be few spots inside but that should not be a case of
worry
Rectification Handover
Extension cord required though there are two plug points get an
extension cord
Clean the Mirror inside the Green Room
Q Managers
o Status

Q managers are at the store use as you want, 4 are outside and
rest are inside the green room
o

Sound System (Other Vendor)


o Status
Sound is lying idle, no sound check has been performed, the sound
system looks unbranded
o Rectification Handover
Check the sound System thoroughly in the morning, ask the vendor
to install it asap
The other vendor has forgotten to give the console table, thankfully
we have a table with us at Hamleys so should be taken care off
Install the console on the right corner of the stage (Looking towards
it)

Sash, Plackard, Forms and Sheet


o Status
Sash is already printed on canvas, Ramzan needs to get it stitched
only

Placard is on 2mm Sunboard to arrive by 1:30pm (Ramzan)


Forms and Sheets are with Nirzar

4 LED Par
o Status
4 LED Pars at the store it should be installed tomorrow
o Rectification Handover
Adjust colour as required 1 each on side wings and 2 on backdrop
though I think you need to play with store lights as well, as too
many light will become a Gujarati Thaali, take a call accordingly
Please get the wires Masked

Some Changes made in the set-up and Points to be noted


o The Judges tables are too big so for three judges only 2 are required and
have been shifted to the right side as there is no space on left side
o Chairs have been arranged on both sides and on right corner to leave
centre for videographer and photographer
o There are lot of nails here and there please check 10 times
o Please check the ramp for any imbalance
o Videography guidelines I wont be able to give please tell Shruti to do it
herself

I hope I am not missing anything. Going further we need to make a complete 3D and
SOP. I will suggest a lot of changes to save time and make it neater. For this set-up
Ranjits and Nirzars suggestion of keeping the set-up in centre would have been better.
