Conference attendance and Fieldwork are alternatives (though candidates may apply
for both categories). Do not submit two application forms.

3. Hand the original, signed, completed application and all supporting documents and
two complete copies to your supervisor.
SECTION D to be completed by applicant’s supervisor for all applicants. Forward to Head of Dept
SECTION F to be completed by Department Administrative Officer (who retains one copy ) AND
Faculty Graduate Studies Officer or nominee (who retains one copy) for all applicants.

Postgraduate Research Travel Grant and Study Away from Monash University (interstate and overseas)
Travel grants assist with the travelling expenses of doctoral and research masters candidates who wish to interact
with researchers, undertake data collection, learn new techniques, pursue research in specialist archives, collections,
undertake field trips, surveys and interviews, and to utilise specialist equipment or resources not available at Monash
University.
Through the Postgraduate Research Travel Grant Program, candidates are given an opportunity to refine their
research prior to thesis submission by
• exposing it to national and international peer review at a conference;
• conducting fieldwork at other sites /research in other institutions or centres of learning; and/or
• engaging in professional debate with researchers of international standing.
In doing so students promote their research careers. At an institutional level, the program aims to enhance Monash’s
research reputation and promote the forging of ties between Monash researchers and those engaged in similar
activities outside Victoria. Support is available to assist with the travelling expenses of research candidates.
Travelling expenses means airfares or other fares and associated taxes but not items such as visas, travel insurance,
conference
registration or accommodation.
In exceptional circumstances, Departments may submit justification for an application from a candidate outside the
eligibility periods; for example, where conferences occur only once every four years and it is the only opportunity
available to the candidate to present their work. Full details must be provided by the supervisor in SECTION D
(Length of candidature) of this application form.
Ineligible
A candidate who is also a member of staff at Monash with appointments of 0.5 fraction or greater is not eligible unless
the research degree is being undertaken in an entirely different department/budget unit from any staff appointment.
A candidate who is eligible for a staff travel grant scheme at Monash is not eligible for a postgraduate travel grant.
A candidate who is on intermission from candidature for the period of the proposed conference/research travel is
ineligible.
External candidates
Research candidates, who are formally approved as external mode candidates and who are required to attend a
Monash University campus in order to carry out part of their research project or to present their work at a conference,
may apply for a grant to travel to the University from their approved location of external mode enrolment.
Only under these conditions would these applications be considered for a travel grant.
Applications for travel for the sole purpose of the annual mandatory period of residency at the campus of enrolment
will not be considered.
All applicants must demonstrate that the study program will contribute significantly to the research, which will be
reported in the thesis submitted for the degree.
No candidate will receive more in total than the nominated ceiling amount of $1175 from central funds over
the whole period of their candidature. This means that second and subsequent grants may not be at the full zone
rate.
Reimbursement of expenses
Applicants will receive a letter of confirmation within two (2) weeks of the application being received by Monash
Research Graduate School. Departments will be notified of the names of successful applicants and credited the
allocated central contribution amounts. SUCCESSFUL CANDIDATES SHOULD CONTACT THEIR DEPARTMENT
FOR REIMBURSEMENT OF THEIR TRAVEL COSTS.
Reimbursement claim of travel grants must be made directly to the department where the applicant is undertaking
their study program. To make a reimbursement claim, an original tax invoice/receipt which bears an ABN Number
and shows that the cost has been fully paid has to be presented to the department.
Report
A student report must be submitted to Monash Research Graduate School by the travel grant awardee upon his/her
return to home campus.

MONASH ACCESS EQUITY TRAVEL GRANT GUIDELINES
As part of its equity program, Monash University has made available up to 20 special travel grants for 2008, each up
to a value of $3000 (depending upon destination and associated costs) for travel within Australia and overseas.
Only Australian citizens and permanent residents are eligible to apply for these Equity Travel Grants.
Eligible candidates may receive central Monash Access Equity Travel Grant funding for one travel event during the
course of their candidature.
Eligible applicants may apply for both the existing Postgraduate Travel Grant and the Monash Access Equity Travel
Grant. However, successful applicants will only be able to accept ONE award with respect to any single period of
study away.
Note: If deemed ineligible for the Monash Access Equity Postgraduate Research Travel Grant, you will automatically
be considered for the standard Postgraduate Research Travel Grant which covers only airfares and other fares and
associated taxes but not items such as visas, travel insurance, conference registration or accommodation.
Applicants for an Equity Travel Grant must complete SECTION B in addition to all other sections required for their
travel application.
Guidelines and conditions for the Equity Travel Grants are set out below :

Travel Bookings
Monash University uses two preferred travel management companies, HRG (Australia) and Voyager Travel
Corporation (Voyager). As the University checks the market regularly through a tender process, the preferred
providers are always competitive. Consequently, postgraduate research students are encouraged to use the
preferred travel management companies.
Use of the university’s preferred Travel Management Company ensures automatic registration on the FlightLock
system. The Flightlock system is a traveller monitor system that enables early warning where travellers are in
areas identified by the Department of Foreign Affairs and Trade (DFAT) as potentially dangerous.

Travel Insurance
All candidates travelling on approved study away are required to register on the Insurance Services website located
at: www.firm.monash.edu.au/insurance/restrictedaccess/universitypersonalaccident/request.html
if they wish to be covered by the University Travel Insurance.
If unable to access this website contact departmental administration staff.
Successful completion of the online travel insurance form provides candidates with a confirmation of cover certificate
and an emergency telephone number if required overseas. Please note that those candidates who travel to countries
where the DFAT warning is level 4 or above may not be covered for evacuation expenses should this become
necessary.
