MBA Program
How long is the program?
For Full time option, the MBA program lasts 16 months, whereas for Part time option, it can
be extended to 24 months.

How is the program structured?


The Academic Program consists of 2 phases:
two terms in the Fundamental Phase (Core courses + Leadership Activities)
two terms in the Customized Phase (Electives, Specializations, Fieldwork Projects,
Double Degrees, International Exchanges).

How are participants represented?


In order to ensure a good quality of communication between the MBA cohort and the
Academic Team, we organize for each intake the election of Representatives.
There are 2 Representatives per term for each section during the core phase. . The Student
Reps play a key-role by collecting and conveying comments and information from their
cohort to the Academic Team and vice versa (often via surveys).
Please refer to section 1.10 of the MBA Rules & Policies.

How are Student Reps elected?

The first stage is an Introduction of the role of a "Student Rep",


The second stage is the Candidacy, when participants volunteer and present their
program to their classmates. At this point, volunteers contact the Fundamental Phase
Coordinator so as to prepare the ballots.
The last stage is the Election, with former Student Reps and a MBA staff member.

When will we have detailed information on the Customized Phase?


Presentations will take place on the following dates:

Courses, Electives
Do I need to attend all classes?
The MBA policy considers that participants are strongly expected to attend courses,
seminars and presentations. Professors specify in their syllabus how important it is to
participate in class discussions in the learning process. As such, participation in class is part
of the grade.

What is the format of a course or an elective?


-In the Fundamental Phase, a course is either 24 or 30 hours.
-In the Customized phase, an elective is 18 hours and a backbone is 36 hours.

Can I drop a course or an elective?


In order to help you with your choice of electives, you have access to plenty of information
such as presentations, the course evaluations that prior participants have done, course
schedules, etc. Participants should also consider giving some thoughts about the consistency
between their career project and the elective they want to choose.
After making this final decision, you will not be able to change your mind and drop a course

What is the difference between the Open choice period and the
Specialization?
These two periods refer to the Customized Phase. The Open Choice period is a term during
which participants freely choose electives from a wide range of offers, based on their
personal center of interest. A Specialization is composed of a backbone and compulsory
related electives defined by the Specialization Coordinator.
For both the Open choice and Specialization periods, there are selection processes, as
detailed in the Rules and Policies Handbook.

Fieldwork Projects
What is a Fieldwork Project and why choose to do it?
A Fieldwork Project is applying in a real life situation concepts and tools youve learned all
along the program. The work you will be doing for a company is similar to a consulting
project.
All projects are tutored by an HEC faculty. They can be carried out individually, called an
Individual Project, or in teams called Team Consulting Projects (2 to 4 participants).

Companies appreciate Fieldwork Projects since they can interact with your HEC professor
during the whole project, and they usually value the professor's questioning and feedbacks.
Professors are also the key to guarantee that students will have guidance in their research
process.

How long does a Fieldwork Project last?


Please note that the minimum duration of the projects is 3 months and the maximum is 5
months.

For January Intakes: it takes place between end of December and mid-April.
For September Intakes: it takes place between mid-April and beginning of
September.

What is the best way to find a project? Do we receive assistance to find a


project?

The Career Management Center (CMC) helps you through various workshops,
conferences and career fairs.
On the intranet: "MBA focus" is a page where companies publish offers.
We also advise you to register at the HEC Alumni Association where you can easily
access a network of 45,000 alumni around the world.
Documents about Fieldwork projects are available on the Intranet under Curriculum/
Fieldwork.

If I choose to do a Fieldwork Project, what are my obligations?

Various deadlines to meet (for instance, all contracts for fieldwork projects need to
be signed by mid-December for January Intakes and mid-march for September
Intakes; if your contract isnt signed by the deadline, you will have to choose electives
instead!)
You have mandatory kick-off seminars right before you start your project,
During the Fieldwork Project, you will have to validate academic requirements, (final
reports and oral presentation) and you will be graded for your work by your HEC
tutor and by the Company.

International Exchange
How many partner Institutions are there?
36 partners (6 in Europe, 19 in North America, 2 in South America, 6 in Asia and 3 in the rest
of the world).

When can we go on an Exchange?


For the September Intake: In Spring (April to July) or in Fall (September to December).
For the January Intake: In Fall (September to December) or in Winter (January to April).

What are the Selection Criteria?


1. No F or Fx grade before leaving for an exchange (this includes electives and
seminars).
2. GPA for the first term must be greater or equal to 3.70 GPA takes languages courses
into account.
3. No probation status before leaving for an exchange.
4. All participants going on an international exchange must be in good financial standing
with HEC. This means they must have settled the totality of their tuition fees on time:
=> By November for the September intake.
=> By April for the January intake.

Are we entitled to the career services of the host institution?

Are additional options (add-ons) available?


GREM Program
The Global Real Estate Master (GREM) is a program designed for students seeking a career in
the field of global real estate.

When does it take place and how should I apply? The GREM is a 4-month program at
Wisconsin School of Business, during the fall term (from end of August to December). MBA
graduates have access to the GREM within five years of graduation.
Interested applicants will complete an application to Wisconsin School of Business and pay
the required fees.

Master of Advanced Management (MAM) Program


The Master of Advanced Management is a program at Yale School of Management available
to exceptional MBA graduates from Global Network for Advanced Management schools.
Yale seeks to track those who aspire to become global leaders for business and society.

MAM Program: How does it work? May I apply to MAM?


The MAM is a 9-month degree program that starts in mid-August and concludes in mid-May.
Students spend one full academic year on Yale's campus in Connecticut and have access to
classes across Yales School of Management and the wider University.
The application deadline is scheduled mid-January.

Certificates at HEC MSc program


Certificates are offered by the HEC MSc Program. They are programs for specific sectors. .
MBA participants can apply to the Certificates, and if admitted, they can follow the
certificate program with no additional tuition fees. Please note that the number of slots
made available to MBA participants is limited and each certificate runs its own admission
process.
Certificates courses do not substitute MBA courses and there is no transfer of credits among
programs.

Certificates run from end of April to mid-June each year.

Languages
Do I have to take a language course? :
Participants who are not fluent in French

1.

French courses are mandatory twice a week during the first 2 terms of the program.
French courses are worth 3 credits per term.
If Participants are not fluent in French, they cannot choose to take another language.
Participants who are fluent in French

2.

A third language is compulsory for the first 2 terms of the program.


Participants who do not have to take French courses will be asked to choose a third
language.
Participants who are trilingual

3.

There are two possibilities:

The Language Coordinator will determine whether or not you are trilingual. If this is
the case, you will be exempted from taking Language courses. Participants get 6
credits for the Fundamental Phase.
You decide to take a 4th language. In this case language courses become mandatory
during the Fundamental Phase. Participants will receive 3 credits per term.

Can we learn any language we want?


The language classes are organized according to the participants choices and have to meet
the language program requirements. Please note that: A language course will open if there
is a minimum of 12 participants with the same level. Once participants enroll in a language
course, they have to attend it until the end of the Fundamental Phase.
NB. In the Customized Phase, the language course becomes optional.

Course Evaluations
Why do we have to evaluate a course?
In order to assess your professors and therefore ensure the continuous improvement of the
program (cf. Rules and Policies handbook).

What is the deadline to evaluate a course?


For all courses, the evaluations are open during three working days after the last session.

What happens if I forget to evaluate a course?


You will not be able to see your grade on the intranet. However, you will see your grade
when transcripts are issued at the end of the term.

Are evaluations confidential?


Yes evaluations are strictly confidential and professors can only see them after they hand in
the grades.

Transcripts
When are transcripts issued?
After each term and once most grades are received.

Where can I obtain a copy of my transcript?


Transcripts are made available on your HEC Portal under the Document/documents
dfinitifs section only if your administrative situation is cleared, and your insurance is up to
date.
A final hard copy of your transcript will be distributed during commencement.

Grades
What is the grading policy?
Each professor will have his/her own system but it is generally based on class participation,
group work, business case assignments and/or exams. Predefined criteria are published in
each course description.

When can I see my grades?


Professors have 15 days after the exam or final assignment to hand in the grades to MBA
registrar. Grades are then entered into the system and are available on the intranet if you
have previously evaluated the course.
Grades of the courses that have been evaluated can be seen in your HEC Portal under My
final grades section.

What is the grading scale?


A: Excellent (4 grade average)
B: Very Good (3.5 grade average)
C: Good (3 grade average)

D: Satisfactory (2.5 grade average)


FX: Unsatisfactory (1 grade average)
F: Very Unsatisfactory or Incomplete (0 grade average)
Notes: Only FX and F are failing grades. There is no + or In the case of a re-take exam, E (2) is the only passing grade that can be awarded
K: Exemption
NR: No grade reported
P: Pass
Please note that some activities (MBAT, International Exchange) can be graded on a Pass/Fail
basis. This means that:
If you get a Pass, you will get the corresponding credits but it will not impact your GPA
If you get a Fail, you will not get the credits and it will impact your grade as well (exact same
impact as an F)

CMC workshops are graded on a Pass/Fail basis as well.

What is the grade distribution?


Professors are suggested to implement the following grade distribution: A: 40% of the class,
B: 50% of the class and C+D+F: 10% of the class. Deviation can occur depending on the class'
level and heterogeneity (cf Rules and Policies Handbook).

What happens if I get a failing grade?


The Jury of the Fundamental Phase validation will decide if a retake exam is possible for the
Fundamental Phase courses. There are no retake exams for the Customized phase courses.

Can I see my graded exam paper?


Within a month after receiving the grades, you can ask the professor. You can only see the
exam paper at the MBA Registrars or the professors office.

Can I get my rank amongst my peers based on my GPA?


You will receive after the Validation of the Fundamental Phase and the Degree awarding
committee the GPA distribution of your class.

Academic Committees
When does the Committee of Validation of the Fundamental Phase take place?
In May, 2016 after the end of the Fundamental Phase

When does the Degree Awarding committee take place?


There are two committees: One in May and one in September 2016.

Who participates in the committees?


Professors who taught during the concerned period (Fundamental or Customized Phase) and
academic staff.

Graduation
How many credits do I need to graduate?
Participants need to validate 120 credits and have passed all the mandatory core courses
(Fundamental Phase).

When is the Commencement Ceremony?

For Participants arriving in September 2015 - In June 2017.


For those arriving in January 2016 In June 2017.

Who can attend the Commencement Ceremony?


All the participants from a Graduating Class are invited to attend commencement, even
those who graduate in September. The latter will receive their diploma as soon as the Jury
awards it.

Academic certificates
Who do I contact if I need an academic certificate?
Please send an e-mail at least one day in advance to MBA registrars who can provide you
transcripts, attendance certificates, etc. Please specify in which language you need it.

Logistics
Why a pigeon hole?
Participants get their own pigeon hole with their name written on it. It allows them to drop
off documents, handouts needed for classes or allows the MBA Logistics to deliver course
material, name tags, etc.

When do I get the course material?


The course material is delivered in participants pigeon hole 1 to 15 days in advance
depending on the professors instructions. If a participant loses or forgets his/her handouts
or cases, they can contact the MBA Logistics, who will check if they have some left.

What about the IT?


An IT room is available for participants, on the 1st floor of the S building, office number 113
(located near the MBA Logistics office). Computers, printers, two copy machines and a
scanner are available there.

What is the procedure to book a room?


Classrooms are only available when they are not used for Academic purposes (courses).
Participants need to send an email to the MBA Logistics with a description of their needs.

What is the delay to book a Classroom?

2 days in advance for a group study or group meeting


2-3 days, for club activities, case cracking and presentation practice
1-2 days, for slide updates for Campus Vision (MBA TV Screens) and must be
approved by the MBA Communication Team (Nathalie Seill)
3 weeks, for the Computer room
2 weeks, for Conferences, Guest Speakers (with a list of all equipment along with
detailed material needs)
2 weeks, for Events and Company visits arrangements (with a list of all equipment
along with detailed material needs)

How do I get a locker?


People based outside Campus who wish to leave their belongings can ask the MBA Logistics
for a locker.

What to do in case of loss property?


If participants lose their personal belongings, they can contact either the MBA Logistics or
the S Building Main reception.

Quality
What is the role of the Quality Coordinator?
The main objective of the Quality Coordinator is to make sure that participants, faculty and
staff work together in the best possible way.
For example, a document called "Rules & Policies" has been established to present a
framework for developing constructive relationships between all of us.

What is the quality initiative?


Additionally, and in order to continuously improve the HEC MBA participant's experience, a
quality initiative wide program was launched in 2013. This allows us to share best practices
and focus on internal processes that are key to the success of the program. It covers a wide
range of subjects (admission process, organization, campus services, communication, etc.)
and involves all members of the MBA staff.
Moreover, MBA staff and Faculty meet regularly through various committees (Core Course
Committee, Tracks Committee, Rules of the Game Committee) to continuously improve the
content and organization of the program.
The Quality Coordinator regularly answers to requests from national and international
agencies (AACSB, AMBA, EQUIS, etc.) and provides academics-related data for internal and
external use.

Student life at HEC


What is the MBA council?
It is the executive committee of the MBA Community. The MBA Council bureau is renewed
in rotation every 6 months:

What is the Talent show?


The Talent Show (dance, music...) is organized by new September intake for future
graduates. The purpose is to congratulate and honor the Graduating Class. The talent Show
will take place on December 4, 2015.

What is the MBAT?


The MBA Tournament, or MBAT, is an annual sporting event for MBA students, which brings
together top-ranked MBAs in the world. Organized by HEC Paris, one of the top business

schools in Europe, the tournament is Europes largest annual gathering of MBA students
participating in a sporting event. MBAT consists of three days of sport competitions and
festivities, which take place on the HEC Paris campus and selected locations in the
surrounding area. The 2016 MBAT will be on May 5-8.

How are Cultural weeks organized?


Cultural weeks are organized by participants all year, helped by the MBA Council. They are
based on their home country culture to offer insights on their traditions, music, dance,
eating habits, etc and to discuss about business / economic issues from a local point of
view.

What if I want to practice sport on campus?


The campus is equipped with sport facilities. You can contact Jean-Gilles Vitti vitti@hec.fr or
Patrick Patureau patureau@hec.fr to know more about the facilities and the sports that can
be practiced on and outside campus. Beware that you will need to provide a medical
certificate to practice any sport.

What if Im sick?
There is a sick-room /infirmary on campus (indicated on the campus map) where you can see
a nurse, every week day from 8:30 am to 6 pm. A doctor is also on campus every
Wednesday, from 9am to 1 pm. The consultations are free of charge, and no appointment is
needed. Please note that if you are on a sick leave you will need to bring a Doctors
Certificate to attest of your absence.

Legal stay and Insurance


What insurance do I need to get?
There are 2 mandatory insurances:
Health insurance
Civil liability insurance
Participants must be covered during the whole period of their studies at HEC (even if leaving
for an exchange). Contact Student Services (studendservices@hec.fr) to learn more about
which policy suits you best (it depends on your age, nationality, etc.).

What happens if my insurance is not up to date?


In addition to the financial consequences in case of an incident, you will not have access to
your transcripts or academic certificates.

What do I need to do to stay legally in France? (For non-European participants)


There are 3 different steps, and 3 different documents:

Get the D Visa at the French Consulate of your country of residence; it is a sticker on
your passport
Undergo a medical exam at the Immigration office (OFII) once you are in France; you
will get an OFII sticker on your passport which validate your D Visa
Apply for renewal, 2 months before the expiration date of your D Visa. You will get a
residence card valid from the day after your D visa expires, until the end of your
studies. It will be issued by the Prefecture de Versailles.

Do I have to renew my visa for the Commencement Ceremony?


You will have a residence card covering you until graduation. You might need to renew it if
you graduate in September.

Can I stay in France after my MBA?


As an HEC MBA graduate, you can get a temporary authorization to stay (APS) valid for 1
year, allowing you to search for a job in France. You need to apply before the expiration date
of your residence card, with your MBA degree or attestation de russite. => Any question:

Participants can find various information on their intranet:
