HOW TO APPLY AN AIR TICKET TO JAPAN

Research Students for 2015

Application of air ticket to Japan is to be done on the designated web-site. Please inform your personal
data to your host secretariat office so that they can apply your air ticket on the web-site. The deadline of
air ticket application is 1 month prior to the expected date of departure.
When you inform your personal data to your host, please be aware of the following points.
1. Your Name: Please make sure your name is the same as shown on your passport.
2. Office / Home Address, Telephone Number, etc :
(1) E-mail address, telephone and fax number are the most important. After your flight is confirmed
and ready for ticketing, we will advise you by e-mail or fax of final flight schedule. If no e-mail or fax
is available, please let us know that of your co-researcher, family or friend.
(2) In case that you are to leave your present address earlier than the date of departure for Japan,
please inform us of your new address and contact telephone and fax number.
3. Flight Plan :
(1) Please plan to arrive in Japan during 2 weeks centering the first date of the semester of your host
university in Japan (during September - October, in principle).
(For Example) If the semester of your host university starts on October 01(Thursday),
You should arrive in Japan between September 17 (Thursday) and October 14 (Wednesday).
Besides, from a retrenchment perspective, please try to travel on weekday (i.e., Tuesday,
Wednesday and Thursday) when the travel cost is less expensive than that on weekend. In case
that you cannot travel on weekday, please contact us through your host university in Japan.
(2) Please do never reserve flights by yourself. We do reserve flights as soon as we receive your air
ticket application, with considering the regulation of Monbukagakusho Scholarship. If no direct flight
is available from your origin to Japan, we will find appropriate connecting flights.
(3) Your flight ticket will be issued by e-ticket. After we issued it, we will send it out to you by e-mail.

Summary of the regulation of Monbukagakusho Scholarship

a) Monbukagakusho provides you one way economy class air ticket from the international airport
nearest to your residence in the country you have nationality to the designated international
airport in Japan.
b) The route must be the most direct.
c) Overnight stopover other than reason of flight connection is not permitted.
d) Transportation from your arriving international airport to your host university or to the place will
reside should be taken care of by yourself.

(4) You may request us to arrange connecting local flights in Japan at the same time, but the extra cost
should be paid individually when you receive an invoice from us.
(5) Your travel grant does not cover applicable taxes and fees en route (such as airport tax, local sales
tax, etc.) and they will be on your responsibility. The tax of the international student who comes
from a Latin American district is very expensive. Ex. 60,000 Japanese yen from Peru.

4. Other information
(1) No meeting service is available on your arrival.
(2) Our Office Hour: 09:30 am 06:00 pm (Japanese Standard Time) Everyday
Except for Saturday, Sunday and National Holidays
(3) After your arrival in Japan, you will be requested to submit boarding pass stub of the flights you
took to the secretariat office of your host university, so please keep them until the submission.
