PROJECT TITLE
ONLINE VEHICLE RENTAL SYSTEM

ABSTRACT
This project is being considered in order to reduce and totally eliminate loss of customers to
competitors, and save the company from folding up. The current system is manual and it is time
consuming. It is also cost ineffective, and average return is low and diminishing. Currently,
customers can call or walk-in in order to rent or reserve a vehicle. The staff of the company will
check their file to see which vehicle is available for rental. The current system is error prone and
customers are dissatisfied. The goal of this project is to automate vehicle rental and reservation
so that customers do not need to walk-in or call in order to reserve a vehicle.
They can go online and reserve any kind of vehicle they want and that is available. Even when a
customer chooses to walk-in, computers are available for him to go online and perform his
reservation. When he choose to reserve by phone, any of the customer service representatives
can help him reserve the vehicle speedily and issue him a reservation number.
The VRS will maintain the database of all vehicles the company has. It will also keep track of all
vehicle reservation and return. Reports will be generated bi-weekly. Reports for the Accounts
Manager will detail the cost incurred to maintain each vehicle and revenue accrued on each
vehicle.
Reports for the Maintenance Manager will detail the present mileage of the car in order for him
to take care of the vehicle servicing, and when each vehicle will be due for tag renewal. The
Branch Managers report will detail total cost incurred and total revenue accrued, and the status
of each vehicle so that he can decide whether to sell the vehicle or still keep it.

INTRODUCTION
The system that is going to be developed will be known as the Online Vehicle Rental System
(OVRS) for Kabl car rentals. Currently, there is no any computerize system being used by
Kabl CAR RENTAL in handling the car rental operation. This system is going to be used by
three groups of users that are the customer, administrator and staff of Kabl car rental. The
purpose of this system is to overcome problem faced by Kabl car rental using the manual way.
Therefore, it will make all the processes regarding with car rental operation easier to manage.
Kabl is car Rental Company which will keeps records of all its cars. They also keep records of
their customers and the time they book or reserve a vehicle.
Keeping records of all financial transactions and maintaining cars information is time
consuming and chaotic thus, a database management system will help Kabl to reduce
considerably the time taken to manage cars and customers details.

The project background of the project is to develop an Online Car Rental System. This Online
Car Rental System is combined of the reservation and informational system. Hence, this system
will be focusing on the customers who would like to reserve cars and travel individually.
I conducted an interview with the key stakeholders of this project to know the various parts of
the system. The stakeholders include the manager and the secretary of KABL car rental.
The discussion was to enable me to understand the processes of the renting a car and for me to
clearly define the project deliverables.
From the discussion the various sub-tasks were prioritized so that they can be developed one
work package at a time.
The following are the work packages

Customers Information management
This will involve the following:

Recording and maintaining information on the cars and customers.


This includes the filing of personal and contact details.

Account management
This involves the following:

Recording and maintaining the vehicles.

PROJECT AIM AND OBJECTIVES


The objective of the proposed Online Vehicle Rental System, the users are able to enter the
company's website for searching and reserving their favorite cars easily through the Internet and
it can be access anywhere anytime in the world. Hence, the company is able to improve their
customer satisfaction level, increasing efficiency by provides better services to their customer.
In overall, the main objective of this system is to provide convenience to the management team
by developing a computerized system to make processes regarding car rental easier. In
distinctive, the objectives of VRS are:
View tracking history and update personal information
View cars with affordable pricing
To provide direct access to customers through web application system.
To view current status of all cars such as available, being rented or not available.

To provide report generation and analysis such as the car rental report and statistic from
time to time.
The aim of this project is to develop a system that automate and maintain information of the cars.
To produce a web-based system that allow customer to register and reserve car online and
for the company to effectively manage their car rental business.

LIMITATION
The contract form made between the customer and organization may be difficult to find
in case of misplacing or disappearing due to massive collection of data.
It takes time before reports are generated due to massive data collection.
The current system is manual and paper work throughout.

LITERATURE REVIEW
Avis Rent a Car System, LLC, better known as Avis, is an American car rental company
headquartered in Parsippany-Troy Hills, New Jersey, United States.
The company was founded in 1948 with three cars at Willow Run Airport, Ypsilanti,
Michigan, by Warren Avis (August 4, 1915 April 24, 2007). It established branch
operations across the United States over the next few years, becoming the second largest
car rental company in the country by 1953. By its tenth anniversary in 1956 it had opened
its first international offices in Europe, Canada and Mexico.

PROJECT PROBLEM
Data Growth
As we know, data increase by day. So, it is very difficult to store and maintain all the data
manually. Therefore, proper and systematic database must be used to afford these data growth
and to allow user to update or maintain data efficiently
The manual car rental system provides services only during office hour. So customers
have limited time to make any transactions or reservation of the cars.

Data security is not assured


This is due to the manual way of recording the data. As we know, in manual way, data are being
stored by recording it on paper. Therefore, it may easily get damage or misplace that will lead to
data loss.
No database to store information
By using manual system, data are only being stored in files. Therefore. The potential of data loss
is high since the file may easily get damage or lost if' it not being taken good care of.

METHODOLOGY
The project life-cycle model I have chosen for my project is the incremental model. This model
can be used when there is some core product which provides a basic working solution and which
can be elaborated to provide more and richer features. The project certainly has a core product
which is the information management system. This model is very helpful because the various
tasks in the project have been grouped into work packages which will be developed one after the
other. Some sub tasks are dependent on others, thus the interdependent tasks are put together into
a work package so that they can be developed together.
The risks in each package have been reduced greatly because they are smaller and I do not have
to work through all of them together.
As I also work through a package at a time, I learnt new ways of working quickly and
effectively which helps to reduce risk too.
The project deliverables therefore will be as follows:
A web application built in PHP and a database built with MYSQL.

Research Programme
Start date October 10, 2015
End date the end date is not yet confirmed.
The duration of the project is not specific yet therefore, I have not been able to draw a detailed
time plan but I intend to develop this later using Gantt chart to elaborate on my project schedule.

Project Deliverables
From my project background defined earlier, my project has been divided into 3 main sub- tasks.
The information management system will be developed separately because it is not dependent
on any of the sub-tasks.
The accounting system will have to be developed after the information system because it is
dependent on it. Part of the requirements needed to build the information system will be used to
build the accounting system.
The last of the sub tasks will be the reporting system. The reporting system is dependent on both
the information and accounting systems, thus this will be developed last.
The various tasks and activities for the sub-tasks are:

Analysis - I have divided this phase into two parts, the first will be requirements
gathering and the second will requirements

Requirements gathering This phase involves going to the problem domain and
identifying the various stakeholders involved in the project.
In this stage I have developed questionnaires and designed interviews in order to help
me gather the requirements for the development of the project.
Requirement validation After the requirements have been gathered they need to be
validated to remove ambiguities and also establish the final deliverables of the project.
Design - This phase will involve me choosing the appropriate platform and the tools
needed to construct the project. I have chosen to develop a web application thus this
phase will include designing the backend tables and selecting a design pattern for the
front end.
Implementation - The system will be developed using php and html, this will be the
front end. The back end will developed using MySQL.
Evaluation this is the final phase for this project and it will involve the testing of the
system against the requirements gathered to be sure that the system does what it is
expected of it.
This will involve me creating test plans and identifying and reporting bugs that will
gathered.

Resources
I will follow software developers to help me undertake the evaluation purposes. I will need the
users of the system to gather feedback on the user interface of the system.
I have already acquired the needed software and hardware to undertake this project.
I have also acquired literature on accounting systems and database management systems to
enhance my knowledge on the subject.
I will need the following hardware and software resources to accomplish this project.
The system will be developed using PHP and Html this will be the front end.
The back end will developed using MYSQL.

not left out. This Kabl Vehicle Rental System is developed to provide the following
services:
Enhance Business Processes: To be able to use internet technology to project the
rental company to the global world instead of limiting their services to their local
domain alone, thus increase their return on investment (ROI).
Online Vehicle Reservation: A tools through which customers can reserve
available cars online prior to their expected pick-up date or time.
Customers registration: A registration portal to hold customers details, monitor
their transaction and used same to offer better and improve services to them.
