Introduction
This document provides the job description and specifies the roles and
responsibilities for the position of COM Operational Management Office
(PO) at GSS.

ROLE
The COM Operational (PO) team works with the COM HUB management
(Line Managers and COMs) to ensure overall business success by
implementing operational project management professional
approach, and to support the COM HUB management decision
making process - by providing up to date analyzed data and
projections.

Operational COM PO support management with planning, performance


optimization and risks mitigations - based on developed and
implemented best practices and tools.
COM PO to take a key role in establishing the operational infrastructure
and lead implementation of operation management processes &
tools.

2. Responsibilities of the HUB Operational

Support the COM/account in all work planning related


processes
Build and maintain the work breakdown structure (WBS)
Build & Maintain a high-level work plan for the account
(major milestones plan)
Produce Weekly schedule control reports and understand
the story behind the deviations.
Follow up financial milestones and flag for completion
notification.
Control project deliverables

Work with the COM/accounts for alignment of Business Plan


with RR

Responsible for HRMS system updates such as: RR for


accounts , IP & allocations
Produce various HRMS reports:(RR / IP, IP / Allocations,
Staff / Allocations, etc)
Reporting code & Travel budget management
Missing TS
Working with site POs/other interfaces
Maintain HRMS Account structure: versions, planning units
Invoicing- raise invoices with Finance
Purchase Orders- update Business Plans with all new
Purchase Order budgets- through Finance

Monthly Resources Planning Process
Lead the Account end to end MRP processadhering to GSS MRP guidelines, timelines and
milestones. This includes raising flags when
needed, and pushing for gap resolutions.
o Responsible for alignment with of RR & IPs & BP
numbers
Present the COM manager with the consolidated
status
including
analysis
of
resources
shortage/surplus in the Account, CC/line level
and gaps per accounts
Initiate and lead MRP Meetings, including
preparation of materials with analysis for these
meetings (Forecast etc)

Support the COM Manager in budget management of the


AOP plan
Weekly and Monthly Actual vs Plan- Report preparation,
analysis and presentation
RC maintenance/limitations etc.
Track, analyze and raise flags regarding financial targets
deviations on a weekly and monthly basis
Work with Finance and COM \ HUB management for
mitigations of financial targets deviations
Travel plan management and tracking

Work with the COM managers to ensure overall success by


planning, managing, tracking and reporting all work
activities and performance for the COM\HUB
Lead implementation of operation management processes
& tools
Keep Account related information such as timeline,
deliverables and budgets
Build and maintain executive operational/management
dashboards, reports
Own COM PMR
Support the COM Managers with AOP targets tracking &
progress control, presentations to senior management
Support the COM server/SharePoint/Document Center
infrastructure- including maintaining account\site portal on
ongoing basis

Work with the COM managers to produce operational and


management reporting

3. Measures
Performance measures will be determined annually, and are tied to the
targets of the Operation group and to the unit to which the HUB
Operational PO belongs.
The measurement parameters are:

Become the trusted partner / advisor of the Managers


Be a key player in establishment- for operational aspect
Ability to analyze the data and taking initiative to raise
flags on time
On-time delivery of all relevant and ad hoc issues
High quality of data provided, in terms of accuracy,
simplicity, format, frequency of update
Up to date Portal- Timely portal maintenance
MRP process- manage the process independently and
professionally, including gap understanding and pushing
for resolution with relevant stakeholders
RR accuracy Taking responsibility to ensure RR is
accurate and aligned with the Business Plan and/or Com
communication with the HUB
RR vs. actual preparation, analysis and raising flags on
time

Responsible for Lean program deck within timeline, clear


analysis, data accuracy etc
Responsible for budgets
Ability to learn new tools, and to coach

Cooperation with all relevant stakeholders
