Sabaragamuwa University of Sri Lanka.

2. Project overview
The aim of the project is to implement a Student Management System suitable for
Sabaragamuwa University specially for Applied Faculty, providing flexibility to adapt to
new and changing requirements. This Student Management System is an automated
version of manual Student Management System and using this application means securing
the activities of the Student Management. The vision is to provide a progressive and
expandable information service to staff, and lecturers.

3. Problem Statement and Motivation

The current Student Management System has to handle records for many number of
students and maintenance was difficult. Though it has used an information system, it was
totally manual. And all the information of the students is not available in one place. The
examination details are available in examination branch, attendance details are in relevant
department and mahapola, bursary and hostel details are in student affairs branch. Hence
there is a need to upgrade the system with a computer based information system.
According to prevailing system, searching and upgrading the details is a tedious task.
Further all the details of the student should be maintained in a single record. Also there
are rooms for errors.
This project helps in maintaining the database of the students in our university. We can
easily access any students information at any time and can be kept safely for long period
of time without any damage.

4. Background and Related Work.

The web system is going to be carried out solutions for human resource and time
management. The intent of the Student Management System is to decrease the paper work
and help easier record maintenance by having a particular centralized database system and
to increase the performance. By hosting the system in web I hope to provide access to all
the users (lecturers, secretary etc.) to the system through the internet and by providing
different privileges for each user respectively, enabling the system to provide information
with the user friendly manner.
The system facilitates to verify the procedures that occur during the university life. The
system can generate various reports such as attendance details, GPA details, medical and
hostel reports according to the client needs. Authorized people can edit and update data in
systematic way.
The Student Management System can handle all the details about students. The details
include basic student details, course details, students personal details, academic details
etc., The Student Management System is an automated version of manual Student
Management System. It allows authorized members to access the record of academically
registered students.

5. Scope
A project scope statement is a useful tool to outline the project's deliverable and identify
the constraints, assumptions and key success factors. This web based system helps to
record the students details efficiently, to find students details by authorized person when
needed and make the university stable with providing reports and facilities.
Offers security to the system and data integrity. Further, provides dynamic way of user
management of adding new user, edit or delete when needed. User log-in and activities
can be traced through session handlings.
By developing the system, we can attain the following features:

Easy to handle and feasible

Cost Reduction
Fast and Convenient
User friendly interface
Fast access to database
Less error
More Storage Capacity
Search facility
Look and Feel Environment
Quick transaction

Objectives

Effective student record management which means from student registration to till
the time of student leaving the university.
Provide greater end user (i.e. Staff and lecturers) interaction with key processes
through using the student management system.
Provides various types of report in one click (such as attendance details, GPA
details etc...)
Improve the university's academic administration processes - leaving more time to
concentrate on our core activities of teaching, learning and research.

6. Methodology
The proposed system is to be developed using PHP. The user requirements will be
specified according to the goal of the system and various components of the architecture.
After requirement gathered, the system is designed.

Once the proposed design finished, the implementation occurs by using Waterfall model.
Waterfall approach was first SDLC Model to be used widely in Software Engineering to
ensure success of the project. The Waterfall model is chosen because requirements are
clearly known. In "The Waterfall" approach, the whole process of software development
is divided into separate distinct phases. In Waterfall model, typically, the outcome of one
phase acts as the input for the next phase sequentially.
